IMPROVING STUDENT EXPERIENCES AND OUTCOMES. Last year, we were excited to distribute our first-ever Annual Report from Enrollment Management, sharing it with many of you throughout the UC San Diego campus community, and even a few colleagues beyond. We enjoyed the chance to give you a sense of not only the people who work within our department, but the impactful work they do and the variety of audiences they serve. A good number of us in EM leadership – myself included – are new to the campus, and we take pride in letting you know about ourselves as well as our work. This year, and in future years, we hope to begin turning the focus of the Annual Report to important stories, key metrics, and timely insights regarding this work. How is Enrollment Management learning and adapting to an ever-changing landscape? How does our work inform the shape of the incoming classes that fill your departments, classrooms, and residence halls? Can we provide insights on UC San Diego’s place in shaping college affordability and aid, and are there ways you can help us with that, making students’ costs more affordable through campus jobs? And can we share stories with you about how technology and strategic planning in which EM takes part can improve student experiences and outcomes, along with your work serving them? In regard to our HSI goals, fall 2022 was the first-ever incoming class to be more than 25% Latinx students (a mark we look poised to again surpass for Fall 2023), and for the first time, our incoming cohort included the highest number of Latinx students of any campus in the system. If you weren’t yet aware of that fact, then you have a good idea of why we think it’s time to start telling our own story more often – whether to each other, to our alumni, or the public in general. Meanwhile, we continue to make other important progress, such as progress in the enrollment of African American Undergraduates. Reaching over 1200 total undergraduates for Fall 2023, with over 400 new students (4%), are each new records over at least the last 25 years. In the pages that follow, you’ll read more about our work on these fronts and many others. We are glad for the chance to be taking steps to improve many things at UC San Diego, and we are grateful that we get to do it in collaboration with you.

OVERVIEW STRIVING TO MAKE AN IMPACT.

The great work done by scientists, artists, researchers, and innovators across campus makes UC San Diego’s global impact clear. It’s no secret that we are a community of changemakers looking to tackle some of the world’s most pressing challenges, but we also understand that making a positive impact can be achieved by recognizing the potential of each student on a personal level. Enrollment Management connects with students at every stage of their college journey. From recruitment travel and campus tours to personalized financial aid advising to enrolling students each quarter to supporting their documentation needs after graduation, each unit within EM aims to serve the unique needs of every student to impact their time at UC San Diego. In the past year, we have worked to improve the student experience through streamlining processes, implementing new technologies and programs to best support all students, especially key populations who may not have the same access as others, and providing more user-friendly options to ensure students receive the best possible service for all of their unique needs. We invite you to read on to discover more about EM’s impact on the student experience.

EXPANDING ACCESS FOR ALL STUDENTS.

The Financial Aid and Scholarships Office implemented several new programs and expanded existing programs during the 2022-23 academic year in a critical step toward awarding more funding for students.

MIDDLE CLASS SCHOLARSHIP PROGRAM

The Middle Class Scholarship (MCS) program began its expansion at the start of the 2022-23 academic year as part of the state budget agreement to increase the number of eligible students in California. The new program rules significantly expanded the number of MCS recipients at UC San Diego and across the state. Our team worked tirelessly to award new and continuing students, as we saw an approximate 800% increase in the number of eligible students– going from just over 1,200 in 2021-22 to over 11,000 during the 2022-23 academic year!

LEARNING-ALIGNED EMPLOYMENT PROGRAM

In partnership with the campus Career Center and EM Creative Services, our team worked to promote the Learning-Aligned Employment Program (LAEP) to current students, identifying those who qualify for the program, informing the students of the benefits the program provides, and encouraging them to apply for research positions on campus. The program works to expand access for California residents who demonstrated financial need and identified as first-generation college students, current/former foster youth, or homeless/at risk of being homeless. Students accepted to the program will benefit from paid positions as Research Assistants for UC San Diego faculty, ensuring vital career development and resume building.

WORK-STUDY

Recognizing many missed opportunities among employers and students who qualify for Federal Work-Study but do not take advantage of the program, informed students and units across campus of the benefits the program provides through email campaigns, flyers, and other communications. By expanding knowledge of the Work-Study program, we hope to utilize more of these federal funds to create additional experience for student workers and budget-friendly options for departments. Campus employers can utilize the Work-Study and Learning Aligned Employment Programs to actively support students who demonstrate financial need, help them earn their degree and reduce their reliance on student loans. Campus employers interested in learning more about the benefits of hiring Work-Study students–including the wage subsidy available to employers–can contact the Financial Aid and Scholarships Office leadership team for more information.

Having grown up in Southeast San Diego and attending Lincoln High School where students are constantly overlooked and doubted for their academic abilities, I am more than proud to be accepting the CASP scholarship. SCHOLARSHIPS BY THE NUMBERS

During the 2022-23 academic year, the Financial Aid and Scholarships team made more than 600 scholarship offers to incoming fall 2023 students, including athletic awards, scholarship awards, the Chancellor’s Associates Scholarship, and more. A record 2,600+ continuing students submitted the Continuing Student Scholarship Application, resulting in more than 300 scholarship award offers. This included endowed scholarships, faculty-sponsored awards, and named scholarship awards. Among the most prestigious scholarships awarded to incoming students, the Chancellor’s Associates Scholarship Program (CASP), recognizes and supports local, high-achieving, and talented students from lower income backgrounds.

UNIVERSITY REGISTRAR Providing ease of service and streamlining processes is a continual goal for staff within the Registrar’s Office in recent years. We continually explore new user-friendly options and implement steady improvements to best serve the Triton community from enrollment to graduation and beyond, and this work has continued to pay off in the 2022-23 academic year.

IMPROVED STUDENT EXPERIENCE

Increasing service and flexibility is a top priority for those we serve. Partnering with Student Financial Solutions, we have launched our eMarket project to offer additional payment options for diploma orders. By leveraging this solution we hope to simplify and streamline diploma ordering, improving the overall student experience.

INAUGURAL ADVISING COMMUNITY MEETING

This year, the office hosted an information session for the academic advising community focused on the various onboarding tasks for our incoming undergraduate students. Undergraduate academic departments and programs and college advisors joined us to hear updates from colleagues in Admissions, Financial Aid and Scholarships, Student Financial Solutions, and Housing • Dining • Hospitality related to processes and timelines such as transcript validation, holds, TritonPay 2.0, etc. Expect this to be a recurring annual event in preparation for the academic year.

SYSTEM ENHANCEMENT

The team also worked closely with Information Technology Services to implement a change to the file import feature within the eGrades application. The change enabled the import feature beyond the first submission of grades for a section for instructors of record, which had been a long-standing functionality request by instructors. Prior to this change, the import feature was only available for the first submission of grades for a section, and then was not available for later changes submitted. Going forward the ability to import a file is available for all submissions, including grade changes.

CAL-SOAP

REACHING STUDENTS WHERE THEY ARE. The main focus for staff in the California Student Opportunity and Access Program (Cal-SOAP) is to connect with students within their schools and home communities to ensure they have the tools and knowledge to explore every available avenue toward higher education, their ultimate goals for the future, and financial aid options to minimize any barriers to success. While part of UCSD Enrollment Management, Cal-SOAP is a program of the California Student Aid Commission (CSAC). The team works closely with students from low-income secondary schools in communities with historically low college participation rates, and many students we reach are the first in their families to attend college. We are proud to share the ongoing success of the students who engage with our team and our specialized programming.

Our team continued offering hundreds of virtual and in-person events throughout the 2022-23 year. During this time period, we were able to serve more than 10,000 students and families (9th-12th grades) throughout San Diego and Imperial counties, resulting in a college-going rate of 83.2%.

OFFICE OF ADMISSIONS YEAR IN REVIEW

Last year, UC San Diego received more than 150,000 applications–with roughly 130,000 first-year and 20,000 transfers applying for fall 2023 admission. Admissions officers and external readers conducted a holistic review of first-year applicants, a process that considers 13 factors approved by UC faculty. Transfer applicants were reviewed for completion of subject requirements including major preparation (where applicable), cumulative and major preparation grade point average and junior standing.

Fall 2023 yield activities, aimed at encouraging admitted first-year and transfer students to accept the offer of admission, were conducted primarily in-person with some virtual options to accommodate those unable to make it to event locations. This included our signature Triton Days events as well as regional and on-campus receptions, enhanced campus tours, virtual admitted student information sessions and participation in Alumni Office celebrations in California. Collaboration with campus partners allowed us to showcase the myriad of programs and opportunities available to undergraduate students at UC San Diego.

COMMUNITY ENGAGEMENT

The Office of Admissions engages with Community Based Organizations (CBO) throughout California in an effort to inform constituents and increase college access. A prime example of engagement in the local region includes the partnership with a San Diego consortium of CBO groups and the University of California Office of Diversity Engagement. With a mission of improving academic preparation and enrichment opportunities for African American college-bound students, UC San Diego hosts monthly meetings and together events and opportunities are planned and executed to deliver on the goals of the group. Program examples range from the UC Parent Conference @ O’Farrell Charter School in 2018, the Superintendent Summit in spring 2023 to the Black Diaspora Parent and Family Sessions held during the Office of Admissions annual Fall Showcase event in October 2023.

APPLICANT PORTAL

The Applicant Portal, which launches at the start of October each year, is a one-stop resource for applicants. In addition to being the source of information about the application process, upcoming events, and to-do items, the Applicant Portal provides self-service capabilities that allow applicants to stay engaged while they await their admission application decision. This year also marked the inaugural launch of the Enrollment Checklist within the Applicant Portal, providing an easily accessible and userfriendly experience for incoming students as they prepare for enrollment. The redesign of the Applicant Portal received rave reviews and we look forward to building upon this success in our efforts to make UC San Diego’s Applicant Portal the best in the business.

CREATIVE SERVICES The Enrollment Management Creative Services team was excited to welcome two new team members in 2022–Graphic Design and Media Specialist Katie Bailey, who designed the beautiful report you’re currently reading, and Social Media Specialist Gaby Miles, who has been instrumental in growing and managing several social media channels for Admissions and Financial Aid. Our team supports Enrollment Management in all communication and marketing needs including designing marketing brochures and digital designs, creating messaging, and executing projects including special events, website management, social media, email marketing, and more. Each year, we plan a robust communication plan to build interest in UC San Diego and generate applications from highly-qualified, competitive applicants. Once application decisions have been released, the team pivots to yield efforts, helping to ensure students attend important events, get their questions answered, and accept their offer.

MARKETING TO PROSPECTIVE AND ADMITTED STUDENTS

In the 2022-23 year, we rolled out new designs and templates to ensure EM is in line with the campus rebranding. This includes updates across the Applicant Portal, marketing emails, EM websites, brochures, digital designs, social media, and more. The team implemented a brand-new prospect email series with information tailored to the major to which a student applied, and created a robust social media campaign for admission decision release that saw a 420% increase in engagement for March 2023. We also launched a new Parents and Families page on the Admissions website, as well as new email communications to parents/families to further engage them in their student’s college search. In partnership with Financial Aid and Scholarships, we created the brand new Financing Your Education Guide brochure which was mailed to all admitted students and worked in collaboration with FAS and the Career Center to market and launch the Learning-Aligned Employment Program (LAEP) to current students.

BUSINESS OFFICE The Enrollment Management Business Office (EMBO) supports Enrollment Management (EM) on issues related to financial processing and reporting, payroll, timekeeping, safety, facilities management, and human resources. During the 2022-2023 school year, we were focused on supporting the major units of the department in servicing their resource needs during a period of record-level application and enrollment growth. Our efforts included leading recruitments on multiple new contract backfill positions in support of the Enterprise System Renewal (ESR) projects underway, including those for the Student Information System (SIS) Classroom Management System, and Student Financial Aid System projects. The department overall placed 25 new career positions, 10 of which were promotions, including Executive Directors, Directors, Associate and Assistant Directors. 16


DEPARTMENTAL RESTRUCTURING

To better support the ongoing system renewals and digital transformations, each of the three major offices is undergoing re-organizational efforts: Within the Office of Admissions, new Assistant Director positions are being created to enhance the functional leadership overseeing California Recruitment, First-Year Application Review, Transfer Application Review, Events and Programs, Athletics Admissions, and Technology Systems. Budgetary resources to support the handling of application and transcript records have been redeployed as an enhancement to the Customer Management Relationship system (Slate), as well as in-person visit experience (Campus Tours and Triton Center). The office has created three new Transfer Admissions Specialist roles to focus our outreach efforts on key community college partners including Southwestern College and Imperial Valley College. Within the Office of the Registrar, a new Associate Registrar position is under development to oversee the Academic Records and uAchieve Degree Audit teams. The Systems Operations team has been moved under the direction of the Senior Associate Registrar (Dave Garrison) to better support the design and implementation of the new Student Information System. Within the Financial Aid and Scholarships Office, the Sr. Associate Director role was elevated to Deputy Director and is now supervising the fiscal and scholarships teams. Additionally, a new lead position is being developed to oversee all student employment programs including Work Study, the Learning Aligned Employment Program (LAEP) and College Corps. The position will also supervise our Financial Aid and Scholarships Student Peer Advisers, a cohort of student employees who support our financial aid counselors to help assist students in navigating the institution to finance their educational goals and basic needs.

LOOKING FORWARD • •

We will be looking to conduct a renovation to the Student Services Multipurpose Room space in 20232024 to enhance the Campus Tours experience for our 80,000 annual guests. The EMBO has partnered with the Center for Operational Excellence to adopt the Business Office Ticketing System (BOTS) in ServiceNow. We are excited to join other administrative Academic Affairs offices throughout the campus in standardizing our service offerings and task assignments in a more 17 efficient and dynamic way.

TECHNOLOGY SERVICES

Providing ongoing service and support for EM staff In collaboration with central Informational Technology Services, EMTS handles technical requests throughout the year for EM staff. Over the past year, we oversaw implementation of several new programs, reports, and additional support to enhance office workstations and provide staff with the necessary tools to best serve students across campus.

SUPPORTING APPLICATION CHANGES

The team implemented new 2023 ApplyUC changes to the UC Student Application and managed the dataflow, reports, and integrity of data in support of a successful student admission and enrollment process. Enhancements and modifications were also made to the Transfer Selection Application to meet major screening and college assignment, allowing Admissions staff to be better informed when selecting the best possible class of transfer admits. We also continued to monitor TritonLink Student Portal to support and respond to students with application concerns.

IMPROVING THE HYBRID WORK ENVIRONMENT

By implementing the workstation conversion plan to replace desktop PCs with laptops and docking stations, we helped to provide the necessary equipment for staff to better operate, support, and function in a hybrid work environment.

SOFTWARE AND REPORTING SERVICES

EMTS managed the renewal and administration of various software products (ex. Talkdesk, ChatBot, etc.) used throughout the department to communicate and provide virtual counseling to students to meet them where they are and address their needs in a timely manner. We also created and delivered data reports for various units within EM. These reports assisted in admission decisions, financial aid compliance, and academic reporting.

ANALYTICAL SERVICES

EM Analytic Services is a new office within the Enrollment Management team. We provide data analytics and predictive modeling pertaining to recruitment, admission, and financial aid, among others. We collaborate closely with programs and offices to assist stakeholders in making insight-driven, informed decisions and support student success. The team welcomed Dr. Lucy Dai as the inaugural Director of EM Analytics in May 2023. Dr. Dai joined our team from the University of Virginia where she served as Senior Data Specialist for Institutional Research and Analytics. In her new role with UC San Diego, Dr. Dai oversees our team’s overall goals in support of all EM units and will develop and monitor long-term operational goals and integrated planning for data forecasting within the department. Future goals and support provided by EM Data Analytics will include: • Enrollment projection/modeling • Providing various reports to EM and campus partners and leadership • Collaboration across campus • Maintaining EM database, load application, and student data • Continuing support of EM units through data and reporting
