Hours: 20 - 32 hours per week, with flexibility to accommodate business needs.

Purpose of Role

We are seeking a proactive Part-time Office & People Manager to support our Senior Director, Engineering and collaborate closely with our Global People and IT teams in Warsaw. This pivotal role is instrumental in ensuring seamless office and people operations and enhancing the overall employee experience. Our Warsaw office serves as a critical hub for our global operations, fostering innovation and collaboration.

What You Will Be Doing

You will be responsible for the day-to-day management of the Warsaw office and will support recruiting, onboarding and the overall employee experience.

Key Responsibilities

Supporting HR Processes:

  • Recruitment:
    • Oversee the entire recruitment lifecycle from job advertisement to candidate onboarding working in collaboration with the People Operations team.
    • Working closely with hiring managers, HR People Partner to publish job advertisements and distribute them across multiple platforms (e.g. LinkedIn, JustJoin.it, NoFluffJob).
    • Screen CVs, conduct initial screenings, and coordinate interview logistics including facilitating candidate assessments.
    • Manage interview processes, communicate outcomes, and handle candidate offers efficiently in collaboration with People Operations.
  • Recruitment Tools Management:
    • Utilize ATS (traffit.com) to effectively manage recruitment pipelines.
    • Purchase and manage job credits on relevant portals.
  • New Employee Onboarding:
    • In collaboration with the People Operations team, coordinate new employee onboarding processes, coordinating with the Global IT team to setup and induction sessions.
    • Ensure comprehensive familiarization with company policies, mandatory training, benefits, and systems.
  • Employee Offboarding:
    • Manage offboarding procedures, including account closures and equipment returns.
    • Notify employees of contract terminations and adhere to established protocols.
  • People Operations & Administration:
    • Collaborate with People and Finance teams to review and update guidance and policies.
    • Administer the company benefits and oversee relationships with providers for the office.
    • Handle Benefits, invoice reconciliation and payments for such benefits (e.g. health insurance, Multisport cards).
    • Collaborate with the Finance Team on policies and administration.
Office Management And Administration

  • Handling Contacts & Correspondence:
    • Manage communication channels and correspondence related to office operations, acting as the contact for internal and external matters , including vendor relationships.
    • Oversee the office space, procure office supplies, IT hardware where required.
    • Internal Events and Social Activities:
    • Plan and organize internal events to foster team cohesion, manage logistics, budgets and vendor relationships.

    Miscellaneous Administrative Tasks

    • Administrative Support:
      • Assist with miscellaneous administrative tasks as required by the Senior Director, Engineering and Global People teams.
    We're Looking For

    • Proven experience in office management, HR administration, recruitment or related fields.
    • Strong organizational and multitasking skills.
    • Excellent communication and interpersonal abilities.
    • Ability to work independently and collaboratively within a team.
    • Proficiency in Google suite or Microsoft Office.
    • Experience with recruitment processes and ATS platforms will be a strong advantage.
    • Some knowledge of Polish employment laws and regulations will be an advantage.
    • Fluent in English (B2 level).

    Salary Ranges
