How do you handle stakeholders who insist on micromanaging every aspect of the project?

Micromanagement is a lack of trust. Whether caused by a previous employee or fellow manager, it is destructive to an organization and is unfortunately common. Be sure to follow all requests with accuracy, a professional attitude, and a respectful approach. As the article states, trust takes time to earn.

The most difficult INTAGIBLE to build in corporate is "TRUST" because it is completely against the model of how the business is generating REVENUE. But building TRUST can make your stakeholder feel at ease and reduce their impulse to MICRO-MANAGE. There's no MAGIC BULLET in building TRUST, but ABCD model can help here: A - Able = demonstrating competence B - Believable = setting realistic goals C - Connected = demonstrating empathy D - Dependable = actively communicating

Setting boundaries is easier said than DONE. This is easy when boundaries are set FROM stakeholders TO you, but the approach needs to be careful when boundaries are set FROM you TO stakeholders. Be assertive and point out to the fact that is "YOUR JOB" to figure out how to build the solution and you have CONFIDENCE you'll do it before the committed date. Things always GO WRONG when you are confident, so when you FORESEE delays in your deliverables. DON'T HESITATE and raise a red flag well in advance to the STAKEHOLDER about it. This way you are demonstrating your INTEGRITY and elevating your COMPETENCE in identifying what you don't know and what you know.

During a large-scale project, I encountered a stakeholder who frequently interfered with the team's day-to-day activities. I arranged a meeting to discuss our roles and responsibilities, explaining that constant oversight was hindering productivity. Most cases the stakeholders lean towards MICRO-MANAGING people when they FEEL that the team is not communicating enough to them and only way for them to get anything out is by doing micro-management. This is a REAL PROBLEM, the stakeholder do this as a LAST RESORT to get effective communication. When this happens, you as a responsible Lead or Manager acknowledge the communication gap and make the stakeholder FEEL HEARD and start communicating at regular intervals.

To address this, I scheduled bi-weekly update meetings where we discussed project progress, upcoming milestones, and any concerns they had. This regular engagement kept them informed and reassured, reducing their need to micromanage and allowing the team to work more independently.

This is a CLASSIC example when both parties feel like a hero and a villain in each other's perspective. In stakeholders point-of-view, you / your team is incompetent and can't make decisions on your own to understand the big picture and this JUSTIFIES them to micro-manage to get OUTCOMES / RESULTS. In your point-of-view, the stakeholder is a dictator who wants to do CONTROL-AND-COMMAND structure, treats you like coding machines that just DO what they SAY in what they feel IMPORTANT. To defuse these scenarios, demonstrating you / your team's competencies with a POC will do the trick and make the stakeholder to EMPOWER you rather than CONTROL you.
