The most effective hiring processes really starts with getting all decision makers/hiring managers on the same page before the search starts. All parties need to agree on the must haves and fit they are looking for in a candidate. If one hiring manager holds Veto power for the hire- they should be included in the interview process early on versus being the last person to meet the candidate. As well, schedules should be aligned ahead of time to ensure candidates can be interviewed in a timely manner and timeline expectations are set with the candidate. Additionally, number of interviews should correlate to the level of the position- i.e. a 4 round interview for a junior/intermediate level role is most likely an ineffective process.

There’s as many ways to do business as there are people. If you limit your methods of finding or accepting talent then you limit your candidate pool and decrease the flexibility of your process. If someone wants to air drop you a resume, accept it that way. If someone sends a resume but not a cover letter, don’t disqualify them for this alone. If they thank you at the end of the call but not in a follow up email, let it go. Be flexible and don’t add potentially meaningless obstacles to finding the best person for the role.

Utilising not just one source for hiring brings in a better mix of candidate quality to you. Try to use all possible methods that work for your industry/organisation. Best could be Referrals, Hiring Agencies, LinkedIn, Job Portals, Advertisements, Campus hiring etc. Each will bring its pros and cons, but that is a fun process, each candidate and each channel will give a new learning.

This multi-channel approach enables us to quickly adapt to varying client needs and market trends. It also increases our chances of finding candidates with unique skill sets or those who may not be actively seeking new opportunities but are open to the right offer.

Streamlining the screening process is key to enhancing flexibility in our hiring operations. Implementing efficient screening methods, such as standardized questionnaires or initial video interviews, can quickly identify the most promising candidates. This approach reduces the time spent on evaluating each application, allowing us to focus on in-depth assessments for a select few. Additionally, using applicant tracking systems (ATS) and AI-driven tools can automate parts of the screening process, further speeding up candidate shortlisting.

Most resume-reviewing software stinks. Instead, determine the top 2-3 qualifications you're looking for that can separate the most and least qualified candidates. Use that to quickly review resumes, if you find yourself with tens or hundreds to sift through.

I believe involving our team in the hiring process is crucial for flexibility and effectiveness. Each team member brings unique insights and perspectives that can enhance candidate evaluation and selection. Encouraging collaboration among recruiters, account managers, and even administrative staff in the hiring process allows for a more holistic view of each candidate. This team involvement can lead to more innovative and diverse hiring strategies, adapting to various client needs and market changes.

If you want to bring in other people (which is a good idea), spend more time than you think you need up front getting aligned on the profiles that are obvious "yes" and "no." Leave the "maybes" in a pile for discussion later.

While it's best practice to ask candidates you've interviewed for feedback, it can be tough for someone you just declined for a role to turn around and give you free advice. Instead, try requesting feedback throughout the process so candidates are still invested when they give you feedback.

Being open to feedback is the easy first step. It's important to create a manageable & scalable plan for obtaining the feedback, as well as a point person for managing the data & next steps. Often, feedback may be collected but there is little to no action taken as a result. Determine how you will best assess & address the feedback that you do receive. Candidate experience & company reputation depend on it!
