What do you do if you need to delegate tasks for a successful motivational speaking event?

Here is a technique that I saw and loved. It's called the 'recipe booking'. I was approached by an event company for a 45-minute speaking session. They used a pre-made google-sheet that looked like a recipe book. It had different task tabs - speakers, venue, AV, etc. Each tab, clearly listed steps 1 to 5 like in a recipe book. In the tab named 'speaker list', it mentioned Step 1: Present speaker names Step 2: Contact them. Create short-list. Step 3: Negotiate fees, travel and miscellaneous with each. Step 4: Confirm bookings. Step 5: Share the timings of arrival and other important details with each speaker. The person managing the said task had to make sure he completes all steps and continually updated the steps across events.

It's not enough to simply delegate, you need to ensure that everyone has a detailed understanding of the task. It is an easy trap for an event lead to assume everyone has the same knowledge, understanding, context, or personal investment. Even in volunteer situations, written job descriptions, best practices, and overall expectations will save a great, great many headaches.

The success of any motivational speech is to know "who" you are motivating, "why" the motivation is needed, "where" (i.e. in-house event, strategic remote location, convention, etc.) the speech will be given and "when" are the results of the motivation can or will be measured. Only then, can the message be developed, your support team be inspired, and the "technical" aspects of ensuring the speech will be "on target" (.i.e. venue setup, audio-visual, etc.) can be successfully delegated.

Identify Capabilities: Determine the strengths and skills of your team members or volunteers to match tasks with their abilities. 3. Communicate Expectations: Communicate the objectives, timelines, and expectations for each task to ensure everyone understands their responsibilities. Equip your team with the necessary resources 4. Offer Support: Be avswer questions, provide guida successfullynce, and support team members. 5. Encourage Collaboration: Foster a collaborative environment where team members can collaborate.

You can only go as far as your hands can take you and you're only as good as your team. If you want to have successful events as a speaker, you must ensure that you have a strong team and that you lean on them to execute without you. The whole point in having a team is so that you can be freed up to do the things that only you can do. You can answer calls and send emails but so can someone on your team. However, that signature talk is only something you can deliver. Ensure that you outline what tasks can be handled by someone else and then delegate. Be clear on each person's role and outline their specific responsibilities. So, when something needs to be completed or followed up on you know who's who and there is no confusion.

Consider each person to present their performance. Effective delegation involves trust,and belief. They must take responsibility for the project or task

Plan it well to avoid haphazard delegation. 📌Know each task that can be delegated. This means that not all tasks should or could be delegated. 📌Know the strength of each of your members. This will determine who's fit for each task. 📌 Set deadlines. This will keep delegates checked. They have to be time conscious. 📌 Tell them what you want as the outcome. Don't assume they know it all. Tips or hints either written or verbally will tailor their thinking to the right direction. 📌 Preach collaboration or teamwork.

Once you've identified the tasks, it's time to assign roles to your team members. Consider each person's expertise, past performance, and workload before making decisions. It's important to communicate clearly why they have been chosen for specific roles and what the expectations are. Effective delegation involves trust and the belief that team members will take ownership of their responsibilities. This not only helps to ensure that all tasks are handled by capable individuals but also fosters a sense of accountability and pride in their contributions.

During the event or sessions, interactive exercises will create the best impact as they engage the audience actively. It will make them feel empowered, thinking 'OMG, I did something' rather than just receiving a monologue filled with knowledge

Tools are great, but make sure it's the right tool for the job. Don't try to fit a square peg in a round role even if the square is smaller than the whole. Research tools and leverage your people and keep your eyes open to other industries. I've learned a lot from content creation and brought that into the STEM space.

I was lead trainer for that Presidential Management Fellows Program for eleven years, coordinating all graduation training sessions for seven years. Across all events, delegation to the individual speakers was total. In situational leadership terms, if I had downshifted into the elements of Consulting, Participating, or (worst) Directing, the root cause of doing so would have been speaker selection failure. Never select less than the best for a premiere event.

It is very essential to monitor the progress of your team regularly. Event must stay on track & if any issue, addressed properly which is vital for the smooth execution of a successful motivational speaking event.

From my experience I have always encouraged feedback to improve team performances. I have always found it to result in long term success with customers. I have a service based business, and in the business feedback for not only what you can improve on, but what you are doing well. Learn what you are doing well so you can continue to do so. This way your teams will not slack in certain areas in order to improve in the areas that needed the most work.

Feedback is always a two-way communication, helping both the speaker and the audience understand each other better. It's essential to gather feedback both before and after to gauge audience expectations and refine the presentation accordingly. This process helps the speaker identify areas for improvement and better meet the audience's needs

It's been said feedback is a gift, but you need to ask for feedback AND receive it. Not all feedback is created equally but being able to receive feedback is crucial

I always aim to initiate discussion and debate after my talk, and for this, it's important to be prepared. Asking one's team (or oneself) about what the possible hot topics or questions might be, prepares me to give balanced answers which reflect both sides of the story.

This is so important. Once the event is over, as soon as possible, gather your team for a debriefing. Be honest and open. Set a tone of open communication. Praise what went well and those who did well. Give critical feedback as to what could have been done differenly or better. Celebrate your wins. Even in the most flawed events, there's something to be proud of. Think of the people who showed up, the impact that was made. Afterall, we do events to create impact not merely for the sake of putting on an event. We usually invite our team to a post event celebration zoom call. We also do the same inviting the attendees and participants to foster ongoing connection and mutual support.

I always send a follow up email, thanking the client for having me - and before I do this, I sit down and write what I learned, and what I can improve next time. Then when I email them, I have this in mind. I also send follow up material for the client so they feel they can also reflect and learn.

It is very important to engage the audience. You do not want to be a speaker who is just speaking the entire event. You want to incorporate the audience in some way, shape, or form. This can result in the audience staying focus and attentive to the topic of discussion.

One of the most important tasks is to gather information about the audience before the speaker is nominated. The more preliminary information is gathered the better chance to select the appropriate speaker is.

Motivational speaking need not just speaking alone, it involves preparations from who I will be delegating to speak. He/she must have being under my mentorship.

Delegating tasks can be a nightmare or it can be a lifesaver and the difference is in your approach.
