OKRs to manage monthly focus, Big Rocks to manage weekly focus, morning success list to manage daily. OKRs are great for big hairy audacious goals (BHAGs) that are quarterly or annual north stars for success. The biggest gap I see amongst entrepreneurs and business owners is between OKRs and weekly progress. Select 3-5 Big Rocks (google it) that determine if your week is successful, driving you to that longer term success. Make sure you hit them, every week. Don't let urgent distract you from important. Then before you even open your first email, decide what you need to accomplish each day to make it a successful day. Tackle those first. Win the morning, win the day. Align Successful Days -> Successful Weeks -> Successful Quarters!

Time blocking is a wonderful way to understand how much time they have to do other activities. Time blocking also helps to understand whether we are giving time to our personal life. Time blocking ensures we have more time then we think and we schedule in the right way.

Time blocking is a great way to manage your day. It involves setting some blocks for specific tasks. For instance Use mornings for creative work when your energy is high, and afternoons for meetings or administrative tasks. This reduces the mental effort and Doing tasks on time also builds confidence . Additionally, waking up early gives you more time and helps you stay calm and organized throughout the day.

I work with two calendars: one for appointments that either I or others' set for me, and one for the "ideal" of activities. The former is driven by business priorities, typically new deal creation and client focused activities. The latter consists of pre-formatted timeblocks to remind me of what needs doing throughout my day and week. An over-indexing on either indicates some imbalance, allowing me to benchmark and adjust—seeing that either more effort needs to go into building pipeline and client activities or that more focus needs to go into foundational, business-management activities.

They're probably using tech and AI to make that advantage easier to achieve. That means that you can quickly catch up by choosing the right tools. Search for the right tools and support... look for discussion groups to join who are talking about this area of your business. What support are they using? What works for them? And what didn't?

If AI can't help you here, what help is it really of? JK - but not really. Running 1 "busi-ness" is "busy-ness" enough. Imagine running many. There is literally an app that either already has - or is capable - of taking over almost every single task you do these days. And almost everyone is trying to introduce AI into their platforms and apps. To make them more intelligent, & to automate a lot of things that humans do. Leverage that! Explore tools that can truly automate things for you, so you can focus on the creative & analytical tasks that AI cannot do well (yet). Yes, finding the right tools is also a task - but once you find the right tech - the amount of time & mental bandwidth you save is money, because "money saved = money earned".

In a small business, resources for technology—even tools that cost $15/month—can be limited. Each entrepreneur should have a sense for the basic tech stack that will support business operations. In most cases, the most basic is something akin to Google Workspace, where email communications and virtual meetings are possible. From there, it depends on the business and the offering, but I tend to focus on building manually-operated, repeatable systems and then, when a tool can either add exponential value or efficiency, or when the volume or burden becomes an obstacle, I try to bring in a new tool.

I find that a walk or run in nature gets the creative juices to flow and helps me to come up with solutions and strategies for challenging situations. Make sure to jot down the ideas because it is easy to forget them once you are back to your normal work settings.

It's important to reflect on every meaningful unit of work time (daily, weekly monthly) about what went well, what didn't and how to improve. The much shared meme of getting 1% better every day leading to 37x growth is directionally accurate. What habits are leading to more successful outcomes? What obstacles are getting in the way? Can you anticipate the obstacles or build better habits? If you treat yourself as a system that needs continuous improvement (don't we all?), then the systematic review and improvement cycle is critical to become the super hero entrepreneur that we all want to become.

Take time to reflect on your progress and adjust your approach as needed. At the end of each week, review what you’ve accomplished and identify any areas for improvement. This reflection helps you learn from experience, refine your strategies, and stay aligned with your goals. It’s like tuning an instrument – regular adjustments ensure you stay in harmony with your business objectives. Reflecting also provides a moment of pause, allowing you to celebrate small wins and keep motivation high.

I keep a daily journal to track the day's happenings. This isn't quite measurement or analysis, but the long-form summary of the day gives a basis for reflection, primarily through the general sentiment of the day's performance. Over time, though, I assess my two (timeblocked) calendars, and make adjustments to either the real or ideal based on actual experience. This allows me to shift and adjust expectations for what success looks like, and what it can, will, or should be.

You cannot run a startup with a fixed mindset. Being a tech startup founder, I constantly face challenges in product evolution and dealing with people. I constantly look for alternatives if something doesn’t work without being emotionally attached to it.

Another way I share this is as referring it to the masculine and the feminine energetics.. the flow of the water and the waterbank...I describe the flow as receiving and the structure as penetration...its not sexual or related to people these are energetics.

It's so important to be flexible and ready to adjust plans as needed! Staying Flexible means anticipating that things might change and being prepared for it from the start. While having a structured plan is helpful, the business world is unpredictable, so it's crucial to leave room for unexpected issues and opportunities. This doesn't mean reacting to every little change, but being ready to shift gears when necessary. By planning for flexibility, you can keep your team focused on the overall goals, even if you have to adjust your approach along the way. So in my opinion, it is about promoting a mindset that helps maintain progress and adaptability in any anticipated situation.

Be like water. Be like Bruce Lee. No way is the way. You may be seeking product market fit or traction or any issue that startups face from founder conflict to running out of runway. Be open to the end vision and less tied to the how that will get you there. If you are secure in the Why, your path can be wildly flexible yet perfectly positioned to lead to your win.

The only constant in entrepreneurship is change. The winds of change can shift at a moment's notice, and you need to be prepared to adapt to whatever comes your way. Don't fight the wind; work with it. Be flexible, and be willing to change course when necessary.

When you're tired, and feel like you can't think: take a break. That's your body telling you it's time to stop for a while. You don't have to force through the pain: you won't make any progress, plus you're setting yourself up for burn-out which will take a lot more time to get out of.

I have come to a realization that managing time could be a futile endeavor. So rather shift focus to managing priorities. What activity/ies move the needle at a given time period. If they're more than one, list them in order of importance and urgency. Then assign a meaningful time period to the first one and get to work immediately. If you can ask for help to make it faster, do so.

Even though that's true, as an entrepreneur, some tasks come with urgent notes and we have to prioritize them. That's why I prefer to allow extra time for each task, spare some personal time, and create a task list with 20-30 minute gaps.
