How can you effectively manage lease administration and reporting?
Set up data connections between a multitude of systems to unlock real-time portfolio intelligence. Data sources can include lease admin, attendance data (badge access, wifi, desk/room booking, sensors), HRIS data, headcount forecast, space planning, and market comps. From there, work with in-house BI data analysts or third-party experts to develop reporting that unlocks actionable insights. As is often talked about, visualization should be means to an action, rather than it being the outcome in and of itself.

How can you effectively manage lease administration and reporting?
A central system should provide push notifications for administrative items like upcoming renewals/terminations and for rent escalations. Even still, it is good hygiene to conduct ongoing detailed reviews of lease information. This could uncover favorable options to exercise (e.g., early exit clause, right of first refusal, etc). Additionally, while many corporations rely on third-party firms to conduct desktop audits, it is important to implement a well-organized internal process for tracking payment "actuals" against "expected" and to maintain a general ledger. This streamlines the process of creating rent variance reports, which helps to proactively identify any payment discrepancies.

It is imperative to use a centralized system to storing and monitoring lease data. But the first step is to abstract the lease information into a system. Historically, lease abstraction has been handled manually. But with recent AI advancements, it is possible to start with AI-powered lease abstraction, and then to have second verification step through human-powered review.
