POSITION INFORMATION

Title: Alumni Relations Communications Specialist

Division: Alumni Relations

FLSA Status: Full-time, Exempt

Starting Annual Salary: $55,000.00 commensurate with experience

POSITION SUMMARY The Alumni Relations Communications Specialist supports the efforts to provide alumni relations programming and communications to all alumni and friends of the 10 campuses of the University of Hawai‘i System (UH) for the purpose of enhancing the life-long relationship of these constituents with their campuses and the UH administration. The Alumni Relations Communications Specialist is responsible for producing, developing and implementing a communication and marketing strategy for the University of Hawai‘i’s systemwide community of alumni. This communication strategy will support and facilitate the growth and outreach of the Alumni Relations program for the University of Hawai‘i Foundation and all alumni outreach efforts for the University of Hawai‘i.

Associate Vice President of Alumni & Community Engagement

Essential Functions

  • The Alumni Relations Communications Specialist will develop communication for the UH Foundation Office of Alumni Relations (UHFAR) to promote alumni pride for all University of Hawai‘i alumni and friends.
  • The position works closely with University and University of Hawai’i Foundation colleagues, campuses/units who wish to connect with their alumni, and alumni chapters/groups to develop multiplatform messages that effectively communicate to alumni and strengthen alumni connections to the University.
  • Email broadcasts and publications
  • Develop, write and release alumni e-newsletters and other communications for alumni. Serve as
  • point of contact for leaders from UH campuses and alumni chapters/groups to receive communication
  • requests targeted to UH alumni. These include communication for broadcast email, chapter pages and
  • career center.
  • Work closely with the UHF communications and special events team to coordinate/monitor
  • scheduling of email communications.
  • Work with UHF’s marketing and communications department to provide photos, write/edit stories,
  • class notes, and alumni events calendar for the UH Magazine and other media.
  • Adhere to production schedule and coordinate with academic units and alumni chapters/groups to
  • gather content for publication.
  • Build strategic partnerships
  • Forge strong alliances with the UH Foundation, UH campuses, units, and affiliated organizations
  • to secure greater alumni commitment to University of Hawai‘i programs and enhance services to
  • alumni and friends of these campuses.
  • Manage and organize the gathering of alumni data for direct mail, online communication and
  • alumni email broadcasts.
  • Work with the alumni team to develop alumni surveys to determine profiles and trends, identify
  • target markets, develop messaging and determine appropriate delivery channels and communication
  • vehicles.

Alumni website

  • Develop and post timely, compelling and relevant content to the alumni website. This includes
  • the introduction of new web initiatives focused on promoting engagement and user experience.
  • Marketing materials
  • Coordinate and produce UHFAR marketing materials, working with UHF graphic designer as
  • necessary.
  • Coordinate graphics, video, and other media with outside contractors and UHF multimedia
  • team.

Social media

  • Develop and implement a social media alumni engagement strategy to facilitate growth and expansion in new and existing social media channels. This includes creating the content for posts and proactively building online community engagement.
  • Analyze and continuously refine the social media strategy using statistics and other channel-specific tactics.

Special events

  • Propose and analyze communication strategies for alumni events and outreach.
  • Manage and produce pre and post alumni related event publicity, print and e-
  • communications.
  • Serve as photographer as needed.
  • Perform other related work duties as required.

EVALUATION

The Alumni Relations Communications Specialist will meet annually with his/her supervisor to put in

place a plan for the year. This plan will include specific goals for each of the basic

responsibility categories, as well as program and professional development goals. At the end of

each year, the Specialist and his/her supervisor will review progress toward the annual goals.

WORKING CONDITIONS

The University of Hawai’i Foundation Central office located at the Walter E. Dods RISE building at

1810 University Ave., Honolulu, HI. The Employee must have a valid driver’s license and acceptable

driving record. The specialist will need to work some weekends and evenings and be able to work to

the demands of the position, which may exceed a 40-hour workweek. Must be able and willing to

travel upon request.

Required Knowledge, Skills And Abilities

Bachelor’s degree, with a preference in marketing, communication or other related major

Strong team player with excellent coordination and organizational skills

Proactive collaborator and communicator

Ability to multitask and prioritize

Excellent oral and written communications skills are necessary

Work requires high energy and stamina to work long hours, including some weekends as well as some flexibility for possible travel

Prior Experience In Alumni Relations Is Preferred
