Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. With world-renowned programming in theater, dance, music, opera, film, and much more, BAM showcases the work of emerging artists and innovative modern masters.

The Temporary Artist Services Coordinator serves as a direct liaison between BAM General Management/Artist Services and the visiting artist(s) during their time at BAM with performances in the Opera House, Harvey Theater, and Fishman Space as well as support Artist Services Manager with immigration. A successful candidate will be passionate about preparing for, welcoming, and acting as point of contact for local and international artists bringing their work to BAM.

Essential Duties And Responsibilities

  • Assist in artist pre-arrival preparations and manage the communication and coordination of company details with the visiting company manager or designated Company representative.
  • Greet visiting artists at the airport and assist with hotel check-in as necessary.
  • Liaise between visiting artists and other BAM departments.
  • Tickets: Process contractual company tickets, comps, house seats, and any additional purchases.
  • Organize artist(s) attendance to any BAM related post show toast or Opening Night event.
  • Be responsible for the budgeted expenses per show and record and report all show expenses to The Manager of Artist Services. Will be handling petty cash.
  • Assist with medical and therapeutic appointments that may need to be organized on behalf of a visiting artist. In certain cases, accompany them.
  • Provide organizational support and welcome materials for visiting companies including BAM Welcome Packs, backstage passes, and neighborhood information for restaurants, shops, and services.
  • Serve as the on-site contact for visiting artists during the run of their shows including but not limited to rehearsal periods and opening night celebrations, as determined by Artist Services Manager and Director of Artist Services.

Required Qualifications

  • At least 1 year of experience as a company manager or in a service orientated role in the Arts
  • Ability to work a flexible schedule (late afternoons into evenings and weekends required).
  • Possess a strong familiarity with New York City and Brooklyn neighborhoods
  • Familiarity with MS Word, Excel and Outlook. Excellent internet research skills
  • Customer service oriented
  • Excellent communication skills
  • Interest in working at a performing arts organization
  • Knowledge and understanding of budget processes
  • Excellent work ethic with ability to multi-task
  • Calm and effective problem solver
  • Ability to demonstrate patience and maturity and interact in a friendly and professional manner to diverse populations
  • Ability to enjoy meeting a rapid succession of new people from diverse backgrounds.

PHYSICAL REQUIREMENTS: Ability to lift up to 50 pounds and sit or stand for prolonged periods of time. This role will require movement throughout multiple facilities and venues; local travel may be required. Ability to work evenings and weekends on an as-needed basis.

COMPENSATION: The rate for this temporary position will be $23.67per hour. This will be a full-time position, non-exempt (eligible for overtime), and will not be eligible for benefits given the short-term arrangement.
