Primary Purpose
Facilitate the efficient operation of the school administrative office and provide clerical services for the school’s administrative staff. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
Qualifications
Education/Certification/Licensure
High school diploma or GED
Special Knowledge/Skills
Effective communication and interpersonal skills
Working knowledge of software applications for word processing and spreadsheets
Proficient computer, typing, and word processing skills
Strong organizational and file management skills
Ability to maintain confidentiality
Experience
Minimum of 3 years secretarial experience, preferably in a public education environment

Physical Demands/Environmental Factors
Moderate standing, walking, bending, lifting; prolonged sitting and use of computer; repetitive hand motions; work with frequent interruptions
Terms: 210 days

Major Responsibilities and Duties
- Perform, organize and manage office routines and records associated with a productive office (e.g. correspondence, telephone, scheduling, etc.) in a professional manner with little supervision.
- Input STAAR data into computer and keep STAAR no-mastery data current.
- Compile information and prepare various reports for the administrator.
- Perform varied editing, typing and computer tasks in the preparation of correspondence, forms, manuals, reports, etc.
- Establish and maintain physical and computerized filing and tracking systems for Dean of Instruction.
- Coordinate registration and travel arrangements for administrator..
- Process incoming mail.
- Organize and implement textbook distribution, collection, and retention including any needed communication, reports, and tracking. Input data on student systems as requested by administrative staff.
- Exercise good telephone etiquette, take reliable messages, and route to appropriate staff.
- Assist principal, students, teachers, and parents as needed.
- Establish and maintain files and provide information from files, such as student records, teacher records, and extracurricular activities.
- Be responsible for PEIMS data accuracy.
- Maintain demographic files on students.
- Interact with truancy officer regarding student attendance.
- Be accountable for accuracy of all required enrollment forms.
- Verify accuracy of all student data.
- Deal professionally with highly confidential student and teacher information.
- Responsible for implementation and printing the following: progress reports, student rosters, grade sheets, student report cards, demographic labels, attendance reports, eligibility reports, class rosters, error reports, failure reports.
- Responsible for maintaining auditable documents and ensuring all special programs coordinators have verified and approved data.
- Handle enrollment and withdrawal forms.
- Maintain proper files to include inventory of school supplies, mailing lists, student records, visitor logs, and office communications.
- Receive, store, and issue supplies and equipment.
- Sort, distribute, or deliver mail and other documents.
- Schedule meetings and appointments and maintain calendar for administrator..
- Assist with registration and withdrawal of students.
- Attend workshops/updates for roles in your position.

- Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
- Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
- Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
- Perform other duties and accept other responsibilities as assigned.
