This is classified as VHNE (Variable Hour Non-Benefit Employee), where the selected candidate will work less than 29 hours per week. This position does not provide medical benefits. This position earns sick leave in accordance with the Healthy Families and Workplace Act. OVERVIEW OF POSITION / DEPARTMENT Preschool is the start of a child's educational journey. Our goal is to provide a positive and engaging learning environment that allows children to gain an appreciation of learning. The city of Aurora is seeking a qualified Clerical Assistant to perform receptionist duties and a variety of administrative and program support duties for the operation of the Preschool Program. PRIMARY DUTIES & RESPONSIBILITIES Answer and direct questions, inquires and concerns of customers by telephone and in person Assist families with placement of students across all preschool programs- both private pay and state-funded placements, including screening students for eligibility Marketing for preschool program openings Process enrollment paperwork for placements Programs classes utilizing the city's registration software and registers students into classes Performs administrative tasks for the preschool program- taking payments, gathering supplies, answering phones Performs program tasks for the preschool program- helping students to the bathrooms, assisting with drop off/pick ups, assisting in the classroom as needed May be required to work in the classroom as a teacher/assistant as needed for classroom coverage Attends meetings as assigned by supervisor Assists Preschool Senior Supervisor with special assignments as needed Assist with day to day operations of preschool program- opening/closing centers, classroom supervision, cleaning May require working at other locations as needed. Performs other duties as assigned MINIMUM QUALIFICATIONS & WORKING CONDITIONS An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered. Education: High School diploma or GED Experience: At least 6 months of clerical training/experience working in an office/clerical setting Preferred Qualifications: Bilingual English and Spanish Experience in a preschool/childcare setting Early Childhood Teacher qualified Knowledge: Knowledge of business English, spelling and math General office equipment Personal computers and related software applications. Skills: Strong interpersonal and effective communication skills Strong customer service skills Strong organizational, planning and time management skills Proficient in Windows based programs: Work, Excel, Outlook Efficient and creative problem solving skills Abilities: Establish and maintain effective working relationships with employees and citizens Communicate effectively both orally and in writing Prioritize tasks without direct supervision Handle sensitive and/or stressful situations with tact and diplomacy Work varied schedules that includes days, evenings and weekends Licenses and Certifications Required: Once hired staff will be required to obtain and maintain all requirements/qualifications of at least as Assistant Early Childhood Teacher and provide all documentation as required by the Colorado Department of Early Childhood which includes: CBI & FBI Criminal Background checks Child Abuse and Neglect (TRAILS) check Multi-hazard Planning for Childcare Disaster Preparedness Training Pre-Service Building and Physical Premises Safety Training (within 30 days) Introduction to the Early Intervention and Preschool Special Education Programs (within 90 days) Recognizing the Impact of Bias on Early Childhood Professionals (within 90 days) Maintain all necessary requirements/trainings which include: Current First Aid/CPR/AED certificate or 1 hr First Aid certification through PDIS (every 2 years) OSHA approved Standard Precautions (Annually) Recognition and Reporting of Child Abuse and Neglect (Annually) Prevention of Shaken Baby/Abusive Head Trauma Training (every 2 years) Complete fifteen (15) hours training annually as specified by the Office of Early Childhood Maintain PDIS profile and current Credential Level Any additional training as assigned by supervisor WORKING CONDITIONS Essential Personnel: When a local announcement of emergency or disaster is declared by the City, all of city of Aurora employees may be required to work as essential personnel Physical Demands: Moderate physical work; may require ability to lift up to 50 pounds with or without assistance; some lifting and carrying objects. Frequent standing and walking May require frequent bending, stooping, pushing, pulling, and climbing Hand/eye coordination for operation of computer Clear vision to facilitate preschool curriculum, read books, reports and other written material Frequent speech communication and hearing to maintain communication with students, families, COA employees and citizens. Work Environment: Works primarily in a clean, comfortable environment Requires work both indoors and outdoors with exposure to dust, sun, odors and noise May consist of high noise volume and busy reception area Equipment Used: Frequently uses standard office equipment including personal computer and common office software such as email, internet, Word, Excel, Teams, WebEx, PowerPoint and Recreation Registration system, calculator, multi-line telephones, copy/fax machines, and credit card machines Specialized software/databases are used for childcare management, parent communication and enrollment activities This position may require the incumbent to use personal equipment (e.g. cell phone, tools, etc) in the course of their employment May be required to operate personal vehicle For Veterans preference : Please show all of your employment history, including military service and related documentation (DD214) on the application.
