As the CTE Administrative Support Specialist for the Career and College Success Division, you will provide direct administrative and program support to the Career and Technical Education Supervisor and program staff. Duties will include:

  • Perform administrative support work requiring special knowledge of program operations which involves support and technical advice to the general public;
  • Develop and maintain spreadsheet, databases;
  • Supports staff in-state and out-of-state travel processes and requisitions;
  • Assists with CTE program approval and equipment in-take; and
  • Provides administrative service to the supervisor and specialists.

Minimum Qualifications

Customer Service skills sufficient to:

  • Answer questions politely via phone, email and other written or electronic correspondence;
  • Provide guidance to other employees on handling difficult or complex problems and resolving escalated complaints or disputes; and
  • Provide effective general and specialized office support on the phone, in person and online (this requires common courtesy, tact, interested in problem solving, empathy, and the ability to organize ideas logically).

Demonstrated skills and abilities using computer software programs and word processing performance with Microsoft Office Suite (including Word, Excel, Access, PowerPoint), Microsoft Publisher, Adobe Acrobat Professional, Content Management and system interface, Microsoft Office or other email systems sufficient to provide the needed administrative support, and to design efficient processes and systems.

Data entry performance and data management skills sufficient to respond to requests for information and data, interpreting data, detecting data inconsistencies and resolving associated problems.

Typing/keyboarding skills sufficient to create, edit, and revise communications, documents, reports, training materials, etc.

Preferred Qualifications

  • Experience notetaking and summarizing action items from meetings
  • Ability to support in-person, hybrid and distance meetings
  • Experience creating accessible documents
  • Review documents for accuracy and identify discrepancies
  • Ability to clearly explain standards, policies, and procedures to internal and external stakeholders
  • Advanced proficiency in Microsoft Office Suite
  • Strong organizational skills & attention to detail
  • Experience updating website content
  • Experience collaborating in a team environment
