Job Description:

The Donor Relations Coordinator is a key member of the Stewardship & Donor Relations team, which is responsible for creating dynamic and impactful experiences for donors to the College. The Donor Relations Coordinator works closely with other members of the Stewardship & Donor Relations team and the Constituent Engagement team, reporting to the Director of Stewardship & Donor Relations. The Coordinator frequently interacts with Advancement Services, College Communications, the Alumnae Association and other campus partners to implement a broad range of stewardship activities.

  • Manage data related to endowed funds, endowed fund donors, and beneficiaries of endowed funds in current database and new CRM. As the primary point of contact for mailing list and analytic report requests from members of the donor relations team, the Coordinator will gain a thorough understanding of the current and future technology resources within the office of college relations.
  • Partner with the assistant director of stewardship to prepare data for weekly acknowledgment letters.
  • Oversee filing system (paper and electronic) for all files related to endowed funds including conversion to digital files. Coordinate with Research, Advancement Services and IT teams as needed.
  • Prepare weekly acknowledgment letters, including preliminary donor research and outreach to gift officers to ensure timely and personal language is included.
  • Play a key role in preparing and distributing reports to endowed fund donors (more than 500 annually).
  • Proofread letters and other documents.
  • Collaborate with team members to implement events, including overseeing centralized repository of event schedules, calendars, and key points of contact. Collaborate with college relations team to ensure consistent workflows are utilized for all events. Staff events on and off-campus as requested by Director.
  • Coordinate with colleagues to maintain collaborative resources such as signage, event checklists, and event collateral. Ensure event guest data is accurately recorded in CRM.
  • Maintain and track inventory of stewardship gifts and provide data to team on expenses and uses of gifts.
  • On-site supervision of student worker, including hiring, evaluation, and training.
  • Provide administrative support to staff in Stewardship & Donor Relations, including scheduling meetings and managing team calendars, processing invoices, reimbursement and budget reporting.
  • Support the College Relations office as a member of the administrative team responsible for responding to donor inquiries received via phone. Answer phones as assigned by the AVP for operations.
  • Provide additional support as needed or projects led by the Associate Vice President for Strategic Initiatives and Constituent Engagement.
  • Other assigned duties as needed.
  • Occasional evening and weekend work required.


The ideal candidate will possess:

  • Strong writing and editing skills
  • Creativity and curiosity, a good problem solver, a self-starter.
  • Excellent judgment and ability to prioritize and organize a diverse workload.
  • Technical proficiency in Microsoft Office apps and Google apps.
  • Ability to maintain discretion and confidentiality for highly sensitive information.
  • At least two years of relevant experience in a professional environment. Bachelor’s Degree preferred. Expertise with project management software preferred.
