Our client, a leading financial software company, is looking to hire an Events Coordinator in Atlanta, GA.


***This is a 1 year contract with the potential for extension or conversion***



What You’ll Do:

  • Manage incoming requests for external events through the intake process.
  • As part of this, create and manage a tracking sheet of all requests submitted and report on metrics such as volume and completed/rejected requests by team
  • Collaborate with our Sales team to plan and manage VIP dinners including venue, calendaring/scheduling, guest count, presentation prep, contracts, deliverables tracking, swag etc.
  • Help the team get organized and create and maintain playbooks that enable repeatable event and communication strategies that scale globally
  • Maintain a comprehensive annual event calendar consistently throughout the year.
  • Align with the Brand marketing calendar and share with all relevant stakeholders on a monthly basis Book team travel and arrange logistics as needed for events team members.
  • Review, negotiate and approve hotel contracts for block booking rooms for internal employees
  • Manage invitations to internal stakeholders, sending calendar invitations and event confirmations and create and share individual itineraries for internal executives attending events
  • Create internal communications to promote events and encourage employees to share social posts using assets you will create in partnership with internal communications team
  • Manage daily reporting to Marketing leadership on attendee counts and customer / prospect type versus targets for all in-person events
  • Create training packs and swag for event ambassadors to ensure they are on brand and create memorable experiences for our attendees
  • Utilize customers feedback mechanisms and sentiment analysis tools to gather qualitative data post events to share with executive leadership
  • Experience managing purchase orders for events and cross functional projects Provide general administrative support to the team as needed



Skills:

  • 1-3 years’ experience with events coordination (especially virtual and/or hybrid) and marketing
  • Ability to learn new software or experience with web conferencing (Zoom, Swoogo)
  • Experience in SaaS, technology, accounting or SMB preferred
  • Exceptional oral and written communicator
  • Ability to manage changing priorities in a high-pressure environment
  • Willingness to travel and work collaboratively and autonomously
  • Forward-thinking attitude and ability to effectively and quickly make decisions when unforeseen situations arise
  • Logistics and detail-oriented mindset
  • Comfortable rolling up your sleeves and doing the work yourself
  • Well-honed time management skills
