Front Desk - Office and Show Room Administration

All employees of Smith System are responsible for abiding by the company’s core values of servant leadership, diversity, ethical behavior, teamwork, and continuous learning. The Front Desk position is responsible for greeting visitors and answering company main phone lines.

This position will assist Inside Sales with various administrative tasks and manage/coordinate Smith System Factory Visit Experience efforts.

Additionally, this position will serve to provide support to other team management functions as required.

Responsibilities

  • Front Desk duties – fulfill receptionist duties at front desk (greeting guests and answering the phones).
  • Manage and support Smith System Factory Visit Experience efforts. Total ownership of showroom calendar for booking visits, coordinating meeting agendas with internal staff and organizing various hospitality items such as meal ordering to reserving hotel rooms for visitors.
  • Support and coordinate Factory visits with Steelcase - Grand Rapids and Dallas showroom staff.
  • Insuring showroom is ready for and picked up after events.
  • Supporting marketing in preparing mailings or samples as needed.
  • Support other Smith gatherings as needed with scheduling, food or drinks.
  • Ensure the refrigerators and cabinets in the showroom are stocked.
  • Support Smith employee travel through flight, hotel and transportation reservations as needed.
  • Support Inside Sales as needed for various visitor and planning tasks.
  • Support accounting with filing / data entry as needed.
  • All other tasks as needed in support of office.

Work Experience / Education Requirements

  • Experience as a front desk clerk and answering phones
  • Strong experience with MS Word, Excel, and Outlook.
  • Outstanding math, organizational and time management skills.
  • Excellent and professional communication abilities with aptitude in problem-solving.
  • Experience making travel reservations and coordinating customer events such as plant tours, customer meetings, scheduling multi events at the same time.
  • Computer savvy with working knowledge of internet application and Microsoft Office.
