HR Generalist

Position Summary:

The Human Resources Generalist is responsible for performing human resources (HR)-related duties on a professional level and works closely with the Director of Human Resources to ensure smooth daily operations of the HR department. This role focuses on talent acquisition and recruitment but also encompasses a wide range of generalist responsibilities including on-boarding, employee engagement, compensation and benefits administration, compliance, and HRIS management.

Responsibilities:

Recruitment and Hiring:

  • Manage the full recruitment process for entry to mid-level positions, including drafting job descriptions and position announcements, meeting with hiring managers to clarify qualifications, screening criteria, and staffing needs in advance of required start dates.
  • Lead recruitment efforts utilizing web-based job boards, social media, and other posting outlets; manage internet recruiting accounts and pre-employment testing services; ensure compliance with local, Federal, and State guidelines for job postings and advertisements.
  • Conduct initial applicant screens, interviews, reference checks, and background checks; present qualified candidates to hiring managers for further consideration.
  • Schedule and conduct interviews via MS Outlook, Zoom, Teams, and in person when necessary.
  • Perform pre-employment checks and ensure compliance with all screening processes.
  • Respond in writing to all applicants, including declined candidates; prepare offer letters, wage notices, and maintain applicant records.
  • Under the direction of the Director of Human Resources, determine competitive salary offers; communicate and negotiate offers of employment with selected candidates.
  • Support and facilitate onboarding and offboarding processes for employees, ensuring a smooth transition into and out of the organization.

Employee Engagement and Relations:

  • Provide support to employees in various HR-related topics such as leaves and compensation and resolve any issues that may arise
  • Create and implement employee engagement activities and events to foster a positive workplace culture and improve employee morale.
  • Recommend improvements for employee retention and engagement initiatives.

Compliance and Administration:

  • Manage the department’s HRIS Recruitment system, ADP Workforce Now; conduct audits, run routine and ad hoc reports, troubleshoot problems, and maintain the integrity of the data housed in the system.
  • Analyze HRIS reports to track employment/hiring statistics such as vacancy, turnover, time-to-fill, etc.
  • Assist in completing compliance reporting (i.e., EEO-1 reports), census reports, and external salary and benefit surveys.
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommend best practices; review policies and practices to maintain compliance.
  • Manage DEI and EEO activities including ATS tracking of all recruitment activities, external hiring, and internal transfers/promotions to ensure complete, auditable information that follows government regulations is on file.
  • Assist in the preparation and processing of departmental billing/invoices.
  • Assume additional responsibilities as assigned by the Director of Human Resources and HR Managers. 

Qualifications And Requirements

  • Passion for and experience with work to advance sexual and reproductive health, rights, and justice. 
  • Seven years of relevant experience in Human Resources, Recruiting, or Talent Acquisition.
  • Experience recruiting and staffing in the non-profit sector preferred. 
  • Experience with professional job boards and recruiting software such as Indeed or LinkedIn. 
  • Proficiency managing and using an HRIS; experience with ADP Workforce Now strongly preferred. Proficient with Microsoft Office Suite or related software. 
  • Strong organizational and project management skills, including knowledge of Asana, to help achieve goals and deadlines. 
  • Excellent customer service skills and the ability to work with all levels of staff; must demonstrate initiative and good judgment.
  • Excellent oral and written communication skills. 
  • Thorough knowledge of employment-related laws and familiarity with COBRA, ERISA, FMLA, and related state and federal regulations required, knowledge of payroll regulations, policies, and procedures a plus. 
  • Strong analytical and problem-solving skills; knowledge of HR programs to help create efficiencies. 
  • Demonstrates a high degree of professionalism, accuracy, attention to detail, and monitors own work to ensure quality. 
  • Ability to appropriately handle and process confidential and sensitive information. 
  • Strong and effective time management skills. 
  • Highly dependable and punctual. 
  • Ability to travel to meetings and to the DC office on occasion. 

Salary And Benefits

The starting salary for this position is $86,000 to $133,925 and will be commensurate with experience. This is a non-union position. The Guttmacher Institute practices a hybrid work schedule, requiring in-office attendance 8 days per month at our NYC location. We offer excellent benefits, including medical, dental, vision, and life insurance; vacation, personal, and sick time; paid parental leave; tuition reimbursement; commuting subsidy; and a 401(k) plan with employer match. The range for this position is specific to New York and DC, but base pay may vary depending on a wide range of factors, including experience, skill sets, and training.
