POSITION SUMMARY: Marketing Events Manager

Supports Chief Marketing Officer with event management, digital and social media marketing, and all marketing initiatives for Chevy Chase Trust in a professional, collaborative environment. Develops and coordinates logistics, timelines and event communication runways for in-person, virtual and hybrid internal and external events, both large and small.


DUTIES & RESPONSIBILITIES: Duties will include, but are not limited to the following:

  • Serves as primary point of contact through the event planning process and execution of in-person, virtual and hybrid events of varying size and complexity. Tasks include researching and inspecting venues, site visits, negotiating with vendors, assisting with program themes, parking logistics, transportation, event signage and printed materials, drafting invitations, menu and dietary restriction requirements, catering, maintaining event supplies and décor, staff/volunteer coordination, in-person and online registration, pre-and post-event briefs, surveys and polls, etc.
  • Communicates with internal teams to obtain postal and email lists for clients, prospects, intermediaries and external contacts. Regularly reviews, scrubs and updates lists to ensure they are accurate and ready for use. Serves as primary contact for the firm’s proprietary online registration platform. Provides timely event reporting updates to CMO for department updates and communications.
  • Collaborates closely with other teams to ensure business needs and quality standards are fulfilled.


Manages the planning, coordination and implementation of marketing events including:

  • Logistics coordination and regular communication with event directors and venue staff.
  • Organizes and assists with training CCT internal event volunteers. This may include drafting instructions for event processes, online registration or site-specific instructions for a variety of events.
  • Drafts, proofs, schedules and works and sends Save the Dates, invitations, reminders, confirmations, thank you emails and surveys in print and digital formats.
  • Manages invitation lists and tracks RSVPs; promptly responds to client questions via email and telephone calls, sends confirmation emails, and communicates with the necessary internal team members to keep them apprised of the event status and unique guest requirements/requests that may arise.
  • Collaborates with marketing staff on appropriate signage and other tools and supplies for events.
  • Creates pre- and post-event briefs, detailed metrics reports, survey summaries and event timeline flows.
  • Ensures event-related invoices are processed and paid in a timely manner.
  • Assists with internal employee events and orientations.
  • Maintains pulse on current event software and trends.


Manages the preparation of marketing materials for meetings and events:

  • Assembles presentations for prospective client and advisor meetings.
  • Runs Zoom webinars. The candidate must be fluent in PowerPoint, Zoom and Teams software and have demonstrated ability to schedule and run virtual presentations, as well as troubleshoot media equipment with our IT department and necessary team members.


Supports the digital and social media marketing initiatives of the department including:

  • Drafts and copy-edits website content, social media and client portal posts relating to firm events, charitable giving initiatives and sponsorships.
  • Researches social media content, posts and strategy for target audiences and competitors.


Maintains responsibility for:

  • Updates to the internal CCT Events calendar and coordination of internal staff schedules for firm events.
  • Regular monitoring of the CCT Events email and event phone line.
  • Answering initial questions from prospective clients via the website and incoming phone calls.
  • The reconciliation of all event-related client gifts and marketing expenses.


JOB REQUIREMENTS (SKILLS/ABILITIES):

  • Strong verbal and written communication skills.
  • Excellent editing, copywriting and proofing skills.
  • Demonstrated experience with social media platforms and scheduling software including Facebook, LinkedIn, YouTube, Twitter and Hootsuite.
  • Demonstrated experience and knowledge of event planning.
  • Strong ability to manage several concurrent projects of differing sizes and complexity.
  • Strong attention to detail and demonstrated initiative and follow-up.
  • Ability to work efficiently in a fast-paced environment.
  • Collaborative spirit in working with a small team.
  • A “can-do” approach to work and ability to meet deadlines.


EXPERIENCE:

  • Minimum of 4-5 years of experience in event planning.
  • High-level experience with the following programs on PC platform: Microsoft Office, (including Word, PowerPoint, Excel, Teams, Outlook and OneDrive) Box, Dropbox, SharePoint, Adobe Creative Suite, MailChimp, Apple Podcasts, Pandora Podcasts, Spotify Podcasts, SimpleCast, WordPress and WhatsApp.
  • Knowledge of general office equipment, including PC Usage, printers, fax, Ring Central, etc.


EDUCATION / LICENSES / CERTIFICATIONS:

  • Bachelor’s degree in marketing, communications, hospitality or a related field is required.
