Position Purpose

The purpose of the Office Assistant is to provide support to the home office and the various departments within the organization, including but not limited to, office management, HR, payroll, IT, marketing, accounting, business development, and risk and quality assurance.

Essential Duties And Responsibilities

  • Monitor visitors and comply with all security procedures for visitors.
  • Field all incoming calls, facilitate General mailbox messages to proper staff.
  • Purchase, track, and stock office and kitchen supplies weekly and maintain cleanliness of kitchen.
  • Oversee sorting and distribution of deliveries, packages, and couriers.
  • Active participant of the Wellness Committee.
  • Work closely with building maintenance and cleaning services.
  • Set up, break down, organize, and maintain conference rooms as needed.
  • Make necessary travel arrangements and arrange transportation as needed.
  • Maintain and update various organizational directories and preferred vendors.
  • Coordinate and schedule office meetings for visitors and/or new employee orientations.
  • Order and coordinate lunch for visitors and large meetings.
  • Maintain organization of supply and maintenance invoices and supporting office documents.
  • Manage orders and deliveries for sympathy gifts, birthdays, anniversaries.
  • Maintain a positive and professional demeanor during interactions and in ongoing work-related relationships with all persons in other departments and at the Centers including but not limited to members, guests and employees as provided in the Employee Handbook.
  • Participate in Company’s HIPAA and related training.
  • Demonstrate Power Wellness Core Values & Beliefs.
  • Other duties as assigned.

Qualifications

  • High School Diploma or GED is required.
  • Minimum 1-2 years of experience in office or fitness center environments where administrative tasks were required.
  • Ability to manage projects with high level of organizational skills and efficiency.
  • Proficient writing and Microsoft Office 365 (Word, Excel, PowerPoint) skills required.
  • Ability to take direction and complete tasks on time.
  • Strong listening, communication, planning and organizational skills.
  • A team player with the commitment to be flexible and accommodating with respect to the hours we serve our team members, clients and the desire to contribute to the team effort.
