Reporting to the Director of Membership, the Program Assistant provides event support for both in-person and virtual events across Membership and Annual Programs, ensuring the successful delivery of a core benefit of members with a goal of increasing member participation and engagement. In collaboration with members of the Membership and Annual Programs teams, the Assistant will also help to monitor traffic various stages of communications over a multitude of channels for Membership and Annual Programs.
Essential Functions
Support Member and institutional events and other audience development efforts.
Work with the Director of Membership to develop event schedules in order to meet long-term program objectives.
Manage technical logistics for virtual and in-person events, including pre-event run-throughs, working with presenters, event staff, facilities staff, etc.
Handle logistics for Membership-related events, programs, and activities; including catering, security, A/V needs, design requests, staffing, and event materials.
Coordinate logistics with curators, artists, and guest speakers as needed.
Collaborate with colleagues to support the successful execution of Member and Annual Programs events by:
creating and maintaining event webpages;
submitting requests for event related emails;
coordinating with various colleagues, including AP staff as well as the Creative Team to ensure copy has been created, vetted, and approved;
ensuring invitation lists are accurate event invitations are sent on a timely basis;
tracking responses, producing attendee lists and nametags for events;
setting up and staffing the check-in table and preparing and entering final attendance into the MFA’s database.
Coordinate Membership and Annual Program entries to the MFA’s Events Master calendar; ensure each event is updated as details are confirmed. Manage event entry and management into space-management databases and project management tools (EMS and Teams); ensure all event information is updated and accurate on an on-going basis.
Serve as primary contact for all Member events. Attend and support related MFA activities as needed and assist in planning institutional events and activities as needed.
Secondary Functions
Working closely with the Program Manager, support various aspects of interdepartmental meetings including agenda setting, meeting notes, and scheduling.
Perform other related duties as required.
Qualification Requirements And Characteristics
Bachelor’s degree or equivalent work experience.
One to three years related office experience.
Strong writing and verbal communications skills.
Solid computer skills, including facility with Microsoft products (Word, Excel, Teams) and project management software.
Able to handle confidential information with discretion.
Must be detail oriented with ability to multi-task without compromising quality
Able to work occasional nights and weekends

Salary Range
Full-time Salary, 35 hours per week
Starting Salary: $42,500
