Scheduling Coordinator - Imaging Clinic

Experience / Qualifications

  • Knowledge of computer software, and PC skills.
  • Experience in the customer relations, scheduling, and office management.
  • Background in dealing with clients/patients preferred.
  • Experience in insurance verification and authorization.

Special Skills

  • Must be able to multi-task job responsibilities and function with minimal supervision.
  • Needs be computer literate enough to utilize special software scheduling programs.
  • Experience in working in a hospital setting with busy phones

Position Summary

The Imaging Clinic Coordinator assists in the daily workflow operation of the Imaging Outpatient Clinic. He/she ensures that all patients are scheduled correctly, have valid authorization, all priors have been obtained and all necessary clinical documentation is in the patient’s charts. He/she assists in coordinating testing procedures with other modalities and radiologists under the supervision of the Director of Imaging. Demonstrates competency in the review of procedural orders, patient records/imaging to correlate with requested procedures. Able to utilize RIS, PACS to review patients’ history required for the different procedures.

  • Demonstrates proficiency in coordinating Ultrasound (US), MRI (Magnetic Resonance Imaging), X-ray, CT (Computed Tomography), Nuclear Medicine (NM) and Neuro and Interventional Radiology (IR) procedures.
  • Participates in developing and maintaining scheduling templates for all modalities to ensure to meet scheduling needs and demands.
  • Uses scheduling templates to ensure that all procedures are scheduled according to established protocols. Coordinate procedures efficiently and accurately to maximize available resources.
  • Coordinates anesthesia cases per established scheduling protocols.
  • Collaborates with Radiologists, Nurse Practitioners, nurses, and technologists to address any concerns or changes with the schedule.
  • Reports scheduling delays, resource limitations and any other concerns to the Director of Imaging
  • Uses critical thinking skills to prioritize orders to ensure accurate and timely coordination of procedures.
  • Make appropriate arrangements to accommodate emergency and special need patients.
  • Serves as a liaison between Imaging and other departments. Uses appropriate customer service skills when interacting with all internal and external customers to build trusting relationships and gain credibility Directs necessary information to the Director of Imaging
  • Handles phone calls, responding to emails, and resolving inquiries promptly and in a professional manner. Facilitates clinical communication between Radiologists and ordering providers.
  • Communicates in a professional and positive manner that promotes a cohesive team environment.
  • Provides a comprehensive hand-off to colleagues at end of shift or during periods of relief.
  • Responsible for creating, disseminating, and reporting quality and performance reports to Director of Imaging
  • Ability to deal with ambiguity and last-minute requests.
  • Cross-train and assist as needed with other scheduling responsibilities.
  • Performs other functions as required or assigned to include statistical data collection, participation in committees, customer service and process improvement initiatives.
