Studio Coordinator Position

If you are a unicorn, this job is for you. This person will be a liaison between the Sales Department and the Construction Department, reporting directly to and working directly with the Sales Director.

Mojo Home Interiors is looking to add a strong link to a well-established, growing interior design/ construction business with this position and person. Mojo Home Interiors is a woman owned and veteran owned partnership. We are established as a team- based system. To work well on our team, we are looking for a person with specific characteristics:

Primary Duties Include:

1.     Attend daily sales meeting with the role of data collection.

·       Taking data collected and turning into trackable forms for each client/ project/ Department

·       Creating next step actions from data and assigning responsibilities for completion

·       Fulfilling on the next step actions for each client/ project on a daily/ weekly basis

·       Types of Next Step Actions-

·       Scheduling appointments

·       Phone Calls to clients, subcontractors, vendors, etc.

·       Ordering Material

·       Data Entry in Excel, Word, Studio Designer, PDFs, Microsoft Outlook emails


2.     Attend weekly Job Tracking Meeting with the role of data collection and reporting in on Next Step Actions for each project

·       Record sales teams next steps and create the action plan for the sales team


3.      Attend sales team weekly meeting with the role of reporting on Next Step Actions and Follow up information

·       Agenda to review each project, next step actions and create weekly to-do lists with priorities, responsibilities and how to’s


4.     Managing the Studio Displays and Samples. This role will be keeping order to the product samples in the Studio, with sample pickups and returns. 

·       Will involve running errands for products, organizing Studio Space, and ordering new products

·       Includes ordering office supplies, kitchen supplies, bathroom supplies for Studio


5.      Assisting with the Sales Director Schedule, emails and data. This role will be to manage the Sales Director load with lead calls, studio meetings, sales meetings, design time and the follow up messages required on a daily basis

·       When Sales Director is traveling or working remotely, this role will be to coordinate Studio and Follow up Meeting with clients in person with Video Calls with the Director to continue operations

·       Creating Lead Calls to filter clients into the Sales Director Schedule

·       Sending thank you notes and referrals


6.      Entering data into Proposals and assisting with Sales Director with Bids for Construction Contracts

·       Tasks involved

o  Data Entry

o  Double checking data

o  Copies

o  Looking for missing information to be fulfilled

o  Material takes offs from 2D plans


7.      Creating Sales Folders, Forms, Sales Binders, etc. for the function of the Sales Team


8.     Assisting with Construction Teams as needed, following up to the Sold Projects moving into construction.

·       Your role will be assisting in completing all the appropriate data needed for a successful and efficient construction process. The details you help create will be an asset to the construction team, and you will have first hand knowledge to assist with questions, problems, and filling in the missing information to the construction team. You will be the first point of contact to the Construction Director to assist with the needed information in the field. 

·       Types of assistance request

o  Searching for orders

o  Calling on vendors

o  Coping of information for the field

o  Requesting information from the Sales Director

o  Delivering information to jobsites

o  Others


9.     Assisting with the construction office details such as:

·       COI, W9, Permits, Lien Waivers and Check List, Warranty and Care Packages, Project Gift, Filing for Accounting, Supply Ordering, Studio Errands, Construction Errands

·       Being on jobsites for work related stuff

o  Floor protection

o  Vacuum

o  Waiting for dumpsters

o  Waiting for vendors on delivers


10.  Other job duties as needed for projects, office, and partner support

·       Assistance with Social Media Sites

·       Assistance with photo shoots



Experience:

·       Administrative: 3-5 years

·       Computer- PC, Word, Excel, Powerpoint,

·       Drafting experience helpful in AutoCad and Chief Architect


Education: 

·       High School Diploma

·       Associate Degree (helpful)


Hours-

·       Full time or Part Time

·       No less than 30 hours per week

·       Monday- Friday


Work Location- in person
