Job Overview

The Transportation Services Team Manager provides oversight on the provision and operation of the Transportation Service ensuring adherence to US transportation requirements aligned to the provision of this service. They will be responsible for ensuring the ongoing operation of the transport service is in compliance with our SOW responsibilities and meets DOT standards for Operational Safety.

Your Contributions To Success Include

  • People Management: Your role is to lead, motivate, inspire, and encourage your Team as well as cross functional teams in different services.
  • Partner with our client operations management to produce a best-in-class service.
  • Recommend improvements to systems and processes to identify areas of service improvement and resourcing utilization.
  • Business Intelligence and Analytics: Perform ad-hoc analysis as well as regular business reviews to support decision making. Understand the business needs of the client to improve data systems and develop new reporting methods to provide better business visibility.
  • Project Management: Plan the work to ensure operational commitments are achieved. Collaborate on cross-functional operational initiatives. Identify process and systems gaps and partner with Milestone and the Clients operations to drive business results.

People Management

  • Partner with Recruiters on job requisition specifications and candidate qualification requirements to ensure open positions are filled in a timely manner
  • Employee On-boarding and Off-boarding responsibilities
  • Ensure continuous training and development for all Team Members
  • Management responsibility for Transport Service Dispatcher(s) and Driver(s)
  • Collaboration on new/changed HR program development, design and execution
  • Regularly scheduled 1:1s with Team Members
  • Quarterly performance review of Team Members
  • Partner with HR on employee issues

Service Provision Planning

  • Lead the execution of a quality transportation service for full-service rollout in the US across multiple locations
  • Ensure all Vehicles provisioned are delivered to the Milestone Vehicle standard agreed with the Client Planning and organizing the provision of vehicles with our US leasing Partner, Telemetric Partner, and Vehicle Decal Party
  • Work with Ops Managers to ensure correct Driver Certification of assigned employees for operation of Milestone vehicles
  • Liaise with Milestone Facility Manager and 3rd Party Insurance Agent to onboard Employee details to complete Insurance activations
  • Manage Vehicle Road Test self-declaration as required for the provision of insurance and alignment with DOT regulations detailing vehicles, drivers, and company address. This must be done to allow any safety authority can carry out audits if they wish to do so
  • Maintain an active register of all Vehicle, Driver, and Insurance details on a Milestone internal SharePoint folder
  • Schedule all Drivers for Vehicle and Safety Operational Induction training as required for Service Go Live and new driver assignments
  • Provide consistent proactive professional communications on all Vehicle Provisioning rollouts to all Milestone and Client stakeholders
  • Act as an escalation path for Milestone Leadership for any Vehicle Provision risks identified or encountered. Clear communication in a timely manner is essential
  • Track and report via Internal Kanban Planner capturing all stages of a successful Service Rollout
  • Create and maintain transportation best practice procedures

Operations Management

  • Continuously and effectively manage the daily transport operations in conjunction with Milestone Local team managers at all US locations
  • Schedule all assigned employee Transport Safety Training with the Transport Consultancy
  • Ensure the timely and successful completion of Transport Safety Training by assigned employees
  • In conjunction with the Transport Consultancy use Telemetric data to continually monitor the Safe Driving and Operation of the Milestone Vehicles
  • Support issuing of letters to drivers for any infringements if and when they arise. Ensure that all drivers perform daily Vehicle Checks using the Telemetric Mobile Application
  • Where necessary, coach for improvement through the Milestone Driver Training Program
  • Support Driver Vehicle Inspection training to ensure correct use and awareness to support Vehicle Safety
  • Assist with the Operational responsibilities for the vehicle fleet ensuring vehicle roadworthiness, servicing, and inspections are performed to ensure compliance
  • Liaise with Transport Consultancy for the support and management of Geotab Telemetrics Management (Device that digitally records its speed and distance, together with the driver's activity) downloading, analyzing, and documentation management for drivers and the vehicles. These will also be readily available for inspection upon request from the national road safety authorities in each state
  • Assist in the documentation of vehicle defects correctly and liaise with Milestone's transportation partners to ensure a swift resolution
  • Monitor monthly fuel consumption and vehicle mileage recording
  • Liaise with drivers to determine unusual cargo load plans and weight distribution according to vehicle limitations
  • Assist in carrying out route planning and engage with drivers when challenges arise regarding the safe delivery of goods, particularly to DC construction site areas
  • Engage with each of the Locations Milestone Technologies IBOS Team leads (provided under a separate SOW) regarding the traffic management system that is in place at both the DC campus and warehouse dock/parking areas
  • Liaise with each of the Locations Milestone Technologies IBOS Team leads (provided under a separate SOW) when transportation day-to-day challenges arise that may require immediate resolution
  • Ensure service-wide compliance with transportation-related policies, as well as safety rules and government regulations
  • Conduct data quality audits routinely on all service execution outputs and execute corrective actions to ensure the highest level of service quality and compliance
  • Promote safe work activities regarding the transport service by conducting safety audits and attending company safety meetings

Service Management

  • Coordinating and communicating with multiple stakeholders, managing service prioritization, execution, and budgeting
  • Directing investigations to verify and resolve customer complaints
  • Collaborating with team members to formulate and implement transportation-related procedures as well as company budget controls and service delivery objectives
  • Understand business requirements and translate into reports for the function
  • Assist in the execution of improvements to data capture and reporting to further automate and streamline these activities
  • Assist in the identification and implementation of continuous improvement opportunities and customer satisfaction opportunities
  • Support other Transport Control Tower activities and job/invoicing processing as directed by SDE
  • Lead all transportation planning and strategic activities
  • Support other Global Transport initiatives as required
  • Coordinate and respond to requests for changes from original requirements

Vendor Management

  • Conduct monthly scheduled meetings with the Transport Consultancy focused on Telemetric Data Analysis and Insights, Driver Training, Vehicle Maintenance scheduling, Billing, and general Transport Operational Priorities
  • Support other Transport Control Tower activities and job/invoicing processing as directed by SDE
  • Manage the performance of Vendors with an emphasis on productivity, efficiency, and service delivery quality

Safety

  • Works as part of a team to plan and implement safety policies and procedures in compliance with state, local, and federal Occupational Safety and Health Administration (OSHA) and Departments of Transportation (DOT) rules and regulations
  • Leads the investigation of accidents, incidents, and injuries and cooperates in the preparation of material and evidence for the company's use in hearings, lawsuits, and insurance investigations
  • Manages incident and accident case files to reduce cost exposure to the company while ensuring appropriate care is provided to injured associates
  • Complies and submits accident reports required by regulatory agencies
  • Works as part of a team to plan and implement programs to train managers, drivers, and associates in workplace safety practices, fire prevention, hazardous materials, material handling equipment (MHE), and the correct handling techniques for chemicals, toxins, equipment, and other materials found in the warehouse
  • Works with team members to provide information, signs, posters, banners, and other presentation media materials to warn of potential and actual safety hazards and prevent access to hazardous conditions
  • Works with management staff to formulate training policies, programs, and identify training needs

Vehicle Management

  • Plan and maintain proper increments of preventative maintenance actions
  • Oversee and lead maintenance procedures and actions
  • Report progress of all maintenance
  • Keep and maintain maintenance files for all vehicles per location
  • Ensure quality, compliance, and safety of company assets

Qualifications

  • Effective professional communication skills, verbal, and written
  • Problem-solving capabilities
  • Customer Relationship Management focus
  • Self-motivated and able to work on own initiative or part of a remote team
  • Proficient in the use of Excel, Word, PowerPoint, Microsoft Teams, and SharePoint
  • Ability to manage multiple workstreams simultaneously
  • North American Transportation Management Institute: (natmi.org) would be an advantage
  • Foundation in Project Management would be an advantage
  • Minimum 2 years of Client Service Management experience would be an advantage

Compensation

Estimated Pay Range: The estimated pay range for this position is USD $72,900/Yr. - USD $80,000/Yr. and is an Exempt role.
