Schedule: Monday 7am- 4pm, Tues - Thursday 7am -12pm

Essential Functions

Travel Coordination:

  • Coordinate appointments, seminars, travel arrangements and business activities as requested by the leadership.
  • Coordinate travel and hotel accommodations for other staff as requested by the leadership.
  • Research and book cost-effective travel options while considering individual preferences and company policies.
  • Provide timely and accurate travel information to employees, including travel documents, directions, and local information.
  • Track and manage travel expenses, ensuring adherence to company policies and budget constraints.
  • Handle travel-related issues providing timely support to employees who are traveling.
  • Assist other members of senior management as requested and approved by the CHRO.
  • Maintain strict confidentiality on all client and foundation matters and refer questionable issues to CHRO.
  • Ensure completion of Big 5 performance management tool by the required deadlines and use of SMART goals to support annual performance compensation review.
  • Perform additional duties as assigned and consistent with the non-exempt functions as defined in this job description.

Office Coordination

  • Represent the executive office professionally through correspondence, telephone and personal contacts.
  • Proof and edit reports, presentations and other written communication.
  • Maintain all files for the and manage the central filing system for Foundation.
  • Prepare and submit expense reports for the President/CEO.
  • Initiate, create and prepare forms, reports, templates and presentations as requested, using MS Excel, Word and Powerpoint.
  • Manage and maintain the office environment, ensuring it is organized and well-stocked along with ordering supplies as needed.
  • Act at the main point of contact for office-related inquiries and requests.
  • Assist with coordinating office events, meetings, and conferences, including room bookings, catering, and audio-visual set up.
  • Assist in onboarding new employees by issuing office access cards.

    • Above average knowledge of Microsoft Office, specifically including MS Excel, PowerPoint, Outlook calendar.

Education

    • High School Diploma or GED required
    • College degree preferred.
Experience

    • Four or more years of office management or related experience required
    • Four or more years of travel arrangement or related experience required
    • Previous experience the travel arrangements for executive level preferred
Physical Requirements

    • Sitting in normal position for extended periods of time.
    • Reaching by extending hand(s) or arm(s) in any direction.
    • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
    • Communication skills using the spoken word.
    • Ability to see within normal parameters.
    • Ability to hear within normal range.
    • Ability to lift file boxes weighing approximately 20 pounds on top of filing cabinets.
