Position Description

Wayzata Public Schools is seeking a dynamic individual to join our team in a new role. The Welcome Center Specialist reports to the Director of Community Ed and is responsible for implementing the operations of the WPS District Welcome Center focusing on student enrollment and data management while ensuring a high-quality customer experience at every step of the process.

Responsibilities Of The Position

  • Welcome Center Management: Oversee student enrollment and data management. Assist families and staff with enrollment, open enrollment, transfer and withdrawal processes. Train, support, and evaluate Welcome Center staff. Train and support district staff on enrollment procedures and service delivery. Establish and evaluate procedures and systems for effectiveness. Monitor the impact of enrollment practices and procedures. Ensure compliance with policies and regulations. Reviews, develops, implements and continually assesses the birth to 5-year-old census process to enhance and streamline.
  • Customer Service and Community Engagement: Establish an environment that optimizes each customer’s experience. Promote and foster high standards of customer service and cultural competence. Gather and analyze customer feedback. Conduct exit interviews with families who withdraw and provide insights to administration and the school board. Understands and completes enrollment processes, and understands Skyward database in order to support/back-up Welcome Center staff when necessary.
  • Data Management and Reporting: Manage data collection, analysis, and reporting. Maintain and update student records using the district’s student information system, ensuring data integrity and confidentiality. Analyze enrollment trends, demographic data, and other metrics to identify patterns and areas for improvement. Prepare comprehensive reports on enrollment statistics, customer feedback, and other key performance indicators. Use data insights to recommend and implement improvements to enrollment processes and customer service practices.
  • Continuous Improvement and Learning: Stay current on changing developments, trends, legislation, technologies and customer service best practices. Train staff as needed to maintain high standards of data accuracy and customer service.
  • Performs other duties of a similar nature or level.

Supervisory Responsibilities: Assign and delegate work assignments to Welcome Center employees (2.5 FTEs); troubleshoot problems and issues; instruct others in work methods and procedures; verify the work of others.

Training And Experience Requirements

  • Bachelor’s degree
  • Minimum of three years related work experience
  • Commitment to equity, diversity, and inclusion

Knowledge Requirements

  • Experience with database applications required. Proficiency in data collection, management, and analysis.
  • Prior student enrollment and registration experience preferred.
  • Proven ability to lead, train, and supervise staff.
  • High-level customer service skills and community engagement experience.
  • Experience in building relationships with parents, families, school and district staff.
  • Bilingual or multilingual proficiency is highly valued.

Skills Requirements

  • Ability to interact effectively with people of diverse educational, cultural, ethnic and socioeconomic backgrounds.
  • Excellent verbal and written communication skills for interacting with families, staff, and community.
  • Ability to collaborate effectively with various district departments and teams.
  • Proficiency in data analysis and reporting. Experience in educational enrollment analysis preferred.
  • Knowledge of federal and state laws pertaining to student data and reporting preferred.
  • Inspire trust by demonstrating competence, reliability, sincerity and caring; demonstrate adaptability and flexibility.
  • Keen attention to detail to ensure data accuracy and process compliance.
