While trying to scrimp and save tickets and hotels might seem like a good idea, it's not! Here’s why: For employees who travel extensively, their relationship with airlines is CRUCIAL. The more they fly, the more perks they get. And who doesn’t love an upgrade to first class or free extra baggage? The issue arises when bosses attempt to cut costs by using questionable booking tactics for discounts—strategies that may appear clever initially but pose long-term risks such as: ⛔️ Airline bans 📑 Legal issues 😠 Employee dissatisfaction. Case in point: I recently spoke with a company that manages over $1 billion of assets. They were super proud of their travel cost-cutting strategies, but I cautioned them about potential issues down the road. As I predicted, one of their senior managers eventually resigned because of persistent disputes with airlines over undisclosed booking practices. He was simply fed up and just wanted a job where things like booking flights were straightforward and honest. I know this first hand because this senior manager joined a company where all travel is managed by us! Today, he's thrilled; he travels weekly across the US and has never encountered any issues with airlines- it’s all smooth sailing. When they said honesty is the best policy, they meant it! Getting 24/7 support… When people are looking for a holiday or business trip, it often goes unnoticed that I offer 24/7 support when travelling. This bank holiday weekend, I responded to 17 clients across Saturday, Sunday and Monday - when most travel businesses would be closed, I was there for my clients. They don’t pay extra for me. They don’t get charged more money. It’s a very simple ethic of just being there for them and they will keep booking their trips with me and supporting my small business and family. Those biting questions just before you leave for the airport, or concerns about something we’ve arranged overseas - it’s all the little things that I can respond instantly with to give my clients peace of mind. Here’s some of the things I handled: -Urgent rebooking of flights. -Help.. we aren’t going to make it in time for dinner. Can you call ahead? -My transfer isn’t here yet. What do I do? -My passport is lost. What do I do? -We’ve had an injury in resort. What do I do? -My bag is missing. What do I do? -Can you upgrade me please? -Can you pre book our seats still? Sorry, I know it’s last minute. -Our room has issues. Can you help sort it? -Is the table booked? -Can you book those restautants you mentioned for me? Each and very client was sorted within an hour or two with advice or actions. It’s the little things that matter. It’s having someone at the other end of the phone that you know and trust. Some agents can be recruited to ‘earn extra income from home around your family’ with ‘full training’ and ‘many suppliers bookable’. They have a day or two of training and are ready to book your holiday as a ‘fully qualified’ agent. Then there are Travel Experts. Gather all facts before complaining. What seems like a major issue might have a simple explanation. 2. Follow your agent's communication protocol for efficient problem-solving. 3. Distinguish between minor inconveniences and major problems. Not everything that goes wrong is a "crisis." 4. Recognize what's beyond your agent's control (weather, airline policies, local regulations). For Travel Agents: 1. Set clear financial and timeline expectations from the outset. 2. Clarify client responsibilities for travel documents. Stress the importance of accurate information. 3. Communicate proactively. Provide regular updates, even when there's no new information. 4. Share your industry knowledge throughout the booking lifecycle to add value. When to End the Relationship: Sometimes, despite best efforts, it's necessary to part ways. Document everything 2. Communicate clearly and professionally 3. Provide transition assistance if appropriate 4. Process any due refunds promptly Handling Adverse Actions: To protect yourself and your business: 1. Maintain detailed records 2. Review and update your contracts 3. Consult legal counsel if threatened 4. Respond to negative reviews professionally and factually 5. Protect your reputation 6. Learn from each experience 7. Post-pandemic business travel is going strong, according to recent research. If you own a business, you may wonder if you can deduct the costs of having your spouse accompany you on business trips. To qualify, your spouse must be your employee. This means you can’t deduct the airfare or meals of a spouse, even if his or her presence has a business purpose, unless the spouse is an actual employee of your business. If your spouse isn’t an employee, you can still deduct the costs of driving your own car or renting one to reach your destination.
