FreshBooks Best comprehensive software
4.7
Our Take

FreshBooks is a comprehensive accounting solution with a mileage tracking capability. It logs mileage alongside your other expenses so that you can view them together in the mobile app or desktop platform.

FreshBooks’ mobile app uses GPS tracking to log miles driven automatically. You can also upload receipts for gas, meals, hotels and other expenses related to the trip in the app. FreshBooks integrates all of these expenses into the general ledger and reporting dashboard parts of the platform.

Pros and Cons
Pros Accounting software with mileage tracking feature Automatic mileage tracking Ability to search and filter trips by dates Personalized tax deduction reports Cons No reimbursement tracker or calculator Extra cost for additional users
QuickBooks Online Best ease of use
4.7
Our Take

QuickBooks Online is another accounting software with a mileage tracking feature. During our testing, we found that both the mobile app and browser version were easy to use. For mileage tracking specifically, you can turn on GPS tracking in the mobile app for automated mileage logging. You can then view these miles within the online platform alongside the other expenses for your business.

QuickBooks Online offers mileage tracking in all four of its plans. These plans also include other features that you can carry out in the mobile app, including receipt capture.

Pros and Cons
Pros Accounting software with mileage tracking feature Automatic mileage tracking Trip categorization Shareable expense reports Cons More expensive plans than some competitors Limited to one, three and five users for the first three plans
Zoho Expense Best in-house integration
4.6
Our Take

Zoho Expense is a product from the software provider Zoho that tracks expenses, including miles and receipts. You can integrate Zoho Expense with Zoho Books, which is Zoho’s comprehensive accounting software. Zoho also integrates with many third-party apps, such as QuickBooks, Xero, Uber and Lyft.

Zoho Expense’s mileage tracker comes with all plans, including the free version. There are four ways to track mileage: GPS, odometer, distance covered and point-to-point map. You can also streamline the reimbursement process by defining the mileage rates within the platform.

Pros and Cons
Pros Expense management software Automatic mileage tracking Integrations with all Zoho products Four ways to track mileage Built-in reimbursement policy for miles driven Free plan available Cons Limited to three users in the free plan Overwhelming to choose from the several Zoho Expense plans and Zoho products
Rydoo Best for tracking employee use
4.5
Our Take

Rydoo has several unique mileage tracking features, including a spending limit policy and a Google-integrated map. Your employee only needs to mark the starting and ending points of their trip, and Rydoo calculates the reimbursement automatically based on the predefined rate.

All plans come with the mileage tracking capability. However, Rydoo charges per user per month and has a minimum requirement of five users, which may get expensive if you have several employees.

Pros and Cons
Pros Expense management software Automatic mileage tracking Built-in reimbursement policy for miles driven Cons Costly with per-user-per-month pricing Minimum of five users required
Shoeboxed Best for small businesses
4.5
Our Take

Shoeboxed wins Best for Small Businesses because it helps with basic document storage tasks. Acting as a step up from Google Drive, it stores digital copies of receipts and other files, categorizing them and extracting key data points from them. It also comes with a mobile app for mileage tracking.

For mileage tracking specifically, you can record an unlimited number of miles and calculate reimbursements accordingly. The tracking process is simple — you just drop pins at the beginning and end of the trip, and the total mileage and reimbursement calculate automatically.

Pros and Cons
Pros Expense management and document storage software Automatic mileage tracking Built-in reimbursement policy for miles driven Cons Limited features More expensive plans than some competitors
Everlance Best for freelancers
4.4
Our Take

Everlance has plans for both individuals and companies. We recommend the individual plans for freelancers because they offer the basics at an affordable price. The primary function of Everlance is to track mileage, but there are some secondary features for other expenses (e.g., receipts) and reporting.

For mileage tracking, we like the ability to create policies within the platform to have expenses calculated and reimbursed automatically as employees add them. We also like that you can add notes and photos to each trip to keep track of details.

Pros and Cons
Pros Expense management software Plans for individuals and companies Free plan available Generous user limit of 15 users for the free plan Built-in reimbursement policy for miles driven Cons Manual mileage tracking only in the free plan Limited features outside of mileage tracking
SAP Concur Drive Best for medium to large enterprises.
4.4
Our Take

SAP Concur is another software provider like Zoho that has several products for businesses. Concur Drive is SAP’s mileage tracker app. SAP doesn’t offer pre-built plans with public pricing for Concur Drive. Given how larger businesses have advanced, unique needs, SAP’s ability to build custom plans works well for them.

Concur Drive has several mileage tracking features available depending on the plan you build. For instance, you can separate business and personal travel, switch between manual and automatic tracking and capture driving distance in both miles and kilometers. For automatic mileage tracking, you can set the app to only record during your predefined business hours.

Pros and Cons
Pros Expense management software Automatic mileage tracking Integrations with all SAP Concur products Customized plans Commonly used by international companies with tracking for miles and kilometers as well as 12 languages Cons No starting price on the website Overwhelming to build a Concur Drive plan and choose from the other SAP products

What Is a Mileage Tracker App?

A mileage tracker is an app that records how far employees travel for business purposes. It usually uses GPS technology to log the distance automatically so that you can track it for tax deductions and employee reimbursements.

There are two types of mileage trackers. There are all-in-one solutions that help with every aspect of business accounting and bookkeeping, including mileage tracking. There are also expense management platforms that specialize in mileage tracking. The latter is cheaper, but it only has the one functionality. If you have a larger business with advanced accounting needs, you may want the former.

How Much Do Mileage Tracker Apps Cost?

The cost of a mileage tracker app depends on the provider and plan chosen. Here is a summary of how much the apps in our review cost:

ProviderStarting CostFree Trial
FreshBooks$19 per month
QuickBooks Online$30 per month
Zoho Expense$0 per month
Rydoo$9 per user per month
Shoeboxed$23 per month
Everlance$0 per month
SAP Concur DriveContact for pricing

From this table, you can see that many providers use a monthly subscription pricing structure. Free plans are rare but not uncommon. However, free trials are the norm. Most of the monthly plans have user limits. The ones that don’t, such as Rydoo, charge by the user.

How To Choose a Mileage Tracker App

During our research of the accounting category, we conducted a survey with 200 users of accounting products. Their responses stated that — in addition to pricing — functionality, user experience and company reputation were the most important factors to consider when choosing which one to purchase.

Features

As you consider mileage tracking apps, here are the most common capabilities to look for:

  • Automatic trip logging: Look for an app that can record trips automatically using the GPS technology in your smartphone to eliminate the need for manual input.
  • Trip classification: This feature allows you to categorize trips as business or personal for accurate expense tracking.
  • Reimbursement calculation: This feature creates expense policies so that the app calculates the amount you have to reimburse your employees as their trips come in.
  • Tax deduction calculation: As an employer, you can deduct some of the business travel your employees do from your taxes. This feature calculates those deductions based on state and federal regulations.

Customer Reviews

Customer reviews give you insight into the reputation of a provider. They tell you what current and past customers have to say about communicating with the company and using the product. The more reviews you read, the more of a picture you can get about what it would be like if you chose to use the mileage tracker app from that provider.

Ease of Use

Customer reviews are one way to gather information on how easy the app is to set up and use. However, you can also opt for a free plan or free trial to test user experience for yourself. At the end of the day, you want the app to help you with mileage tracking. If you’re struggling to figure out how to use it, then it might not be the app for you.

The Bottom Line

For businesses that have traveling employees, mileage tracking is a key part of managing expenses. If you fall into this category, a mileage tracker app can help. You can opt for an all-in-one accounting solution with a mileage tracking feature, such as FreshBooks or QuickBooks Online. Or, you can choose a dedicated mileage tracker, such as Zoho Expense, Rydoo, Shoeboxed, Everlance or Concur Drive.

Frequently Asked Questions About Mileage Tracker Apps

Some mileage tracking apps, such as Zoho Expense and Everlance, have free plans. Many of them also have a free trial if you want to test the platform before you commit to paying for it.

You should get a mileage tracking app as soon as your employees start driving on the job. That way, you can keep track of how much they drive for reimbursement and tax purposes.

Some accounting software includes mileage tracking but not all. If you want comprehensive accounting software that has a mileage tracking feature, pay attention to if this is included and in which plans.
