Understanding Monday.com’s Key Features

When we tested monday CRM, we were impressed with the simple interface and ease of use with customizing different boards. Each board or tab you create has a similar setup, and you can choose to see an overview of different deals or projects in a list, Kanban board or other views. But beyond this, the additional features you have access to will depend on the plan you choose.

Contact Management 

Monday’s approach to contact management is best for teams that are looking to organize customer lists rather than store in-depth contact information. We found it intuitive to edit contacts in the overall list view, but it was more difficult to navigate through each contact entry. 

However, for segmenting contacts and creating groups, monday.com is ideal. We were able to easily add and edit groups in the contact board. It also seemed easy enough to import existing contacts from a spreadsheet file.

Lead and Deal Tracking 

Similar to the contact board, leads can be organized in a list view and attached to an existing contact in your CRM. You can set each lead status directly from the leads page, which allows you to see all current leads at a glance. Again, we think this is best suited to teams that need a bird’s eye view of current leads. We found it easy to customize the different deal stages to set a status for a new lead. Plus, if a lead isn’t an existing customer in your CRM, you can add them directly from the lead entry.

Project Management 

Monday.com includes excellent project management features that allow you to seamlessly transition won deals to projects, making it an all-in-one solution for teams who work with clients or want to track projects related to CRM contacts. 

The projects tab offers the same drag-and-drop functionality as the other boards. Across the platform, team members should find it easy to manually edit any data by simply clicking into a field. You can attach deals or contacts to each project, making it easy to navigate between the different boards.

Custom Board Views 

If the premade board templates don’t quite work for your team, you can always start from scratch. This option stood out to us when we first tested monday CRM. We could see how useful it could be for teams with specific needs that other CRMs can’t support. Whatever you want to track in your CRM, monday.com will allow you to create a board for it. 

To test this, we created a task-tracking board with multiple groups and status options. This only took a few minutes to set up and further proved monday.com’s ease of use to us.

Monday.com Integrations

Integrations are not included in every monday CRM plan. The Basic plan does not include any integrations at all, and the Standard plan excludes common CRM integrations like Mailchimp, HubSpot and Facebook Ads. If you’re looking for marketing integrations, you’ll likely need to choose at least the Pro plan. Only the Pro and Enterprise plans will give users full access to monday.com’s integration capabilities.

Where Monday.com Falls Short

Monday.com has a lot to offer, but there are a few drawbacks to keep in mind. 

Confusing or Limiting Pricing 

Monday.com offers four straightforward plan options. However, there’s no way to estimate your costs if you’re interested in the Enterprise plan, or if you need more than 40 seats. Monday only provides upfront pricing information on the first three plan tiers. 

Additionally, while there is a free version of the monday.com project management software, there’s no free version of the CRM software. 

Integrations Are Limited Depending on Plan Type 

Monday.com does not allow for integrations on all plans. If you’re looking for popular integrations like Docusign, Aircall, PandaDoc, Mailchimp, HubSpot or Facebook Ads, you’ll have to choose at least the Pro plan, which is more than twice the price of the Basic plan. 

Well-known comprehensive CRM software providers like Salesforce or HubSpot are more likely to offer common integrations like these in all plans, making it easier to feel confident you can connect the tools you need. 

Not As Suited to In-Depth Contact Info 

When we tested out monday CRM, we noticed that the customer contact profiles were a little more difficult to navigate compared to the intuitive boards and lists. If you’re looking for in-depth customer data tracking in your CRM, monday.com may feel different from comprehensive software like Salesforce. 

We’d recommend testing out the free trial of monday.com to try out their customer profiles for yourself and compare them to software like Pipedrive, which offers highly detailed customer activity tracking.

All monday CRM plans allow for unlimited users, meaning you won’t be forced to choose a higher plan if you have a larger team.

While the monday CRM Basic plan is the most affordable, we think it’s too limited. If you just need a central place to store contact information and track deals, the Basic plan should be fine. But if you have any integration needs at all or you’re looking for workflow automation, you’ll want to choose a higher plan. 

We think the Pro plan offers a great value, including access to all integrations, and the transparent pricing makes it easier to estimate what your costs will be. Just keep in mind that even if you choose the Basic, Standard or Pro plan, you’ll end up with custom pricing if you need more than 40 seats. 


Alternatives to Monday

Monday.com is easier to learn than a more comprehensive software like Salesforce, and it offers more customization options than simpler software like Pipedrive. However, all three platforms have similar feature sets. Monday is the most affordable option of the three when comparing starter pricing, but monday’s pricing may end up outpacing Pipedrive’s most expensive plan with custom options. Salesforce will likely be the most expensive option of the three, regardless of the products or add-ons you select. 

When we surveyed CRM users, respondents said workflow automation, contact activity tracking and task management were some of the most important CRM features. We’ll evaluate monday.com, Pipedrive and Salesforce based on both CRM pricing and those top features. 

How Monday Stacks Up to the Competition

Monday.com, Pipedrive and Salesforce offer similar feature sets. Both monday and Salesforce are highly customizable, though Salesforce will likely require a more intensive CRM implementation process and a steeper learning curve. Pipedrive is ideal for teams who are less concerned with customizing specific board views. When we tested out these platforms, Pipedrive stood out as a user-friendly option that would work as an “out of the box” solution with minimal setup.

With so many types of CRM software, it’s important to find a solution that works for your CRM strategy. Monday.com is a top choice CRM solution for teams that value customization and task management in addition to all the contact and deal tracking essentials. We found monday.com to be one of the more user-friendly CRM software options on our list, and it should be fairly easy to set up. 

Monday CRM does have some limitations depending on the plan you choose. If the Basic or Standard plan is a better fit for your budget, you may be limited in terms of key features like workflow automation and lead management. Integrations are also limited unless you choose either the Pro or the Enterprise plan. 

However, overall we found monday.com to be a great CRM option for small businesses, scrappy startups or any collaborative teams that want to fully customize their CRM interface.
