This chapter briefly describes Crystal EnterpriseSAP


Edition and outlines the contents and the intended
audience of this guide. It also includes a brief description of
the document conventions used within this guide.

What is Crystal EnterpriseSAP Edition?


Crystal EnterpriseSAP Edition provides you, the SAP user, with the ability to
extract the business intelligence contained within SAP Business Information
Warehouse (BW). By generating Crystal reports from SAP BW queries, ABAP
queries, and InfoSets, you can organize, format, and share your SAP data. SAP
ePortfolio allows you to share your reports over the Web, and SAP Authentication
enables Single Sign On between your SAP system and Crystal Enterprise.
Crystal EnterpriseSAP Edition consists of two main components: Crystal Reports
is the report-design tool that allows you to report off your SAP data, and Crystal
Enterprise provides the framework for managing, scheduling, and distributing
reports over the Web. This guide documents the report-design features specific to
Crystal ReportsSAP Edition, and shows how to publish and view these reports in
a Crystal Enterprise environment.

Who should use this guide?


This guide is intended for SAP users who want to use the power of Crystal Reports
to design professional reports based on their SAP data. Familiarity with your
InfoProviders (BW queries, InfoSets, and so on), with the Business Explorer (BEx)
Query Designer, and with your standard translation workflow is beneficial, but
not required.
For details on installing Crystal ReportsSAP Edition, see the Crystal Enterprise
SAP Edition Installation Guide (installguide.pdf), located in the sapdocs directory
of the product CDs.

The following is a short description of each of the remaining chapters in this guide.

This chapter introduces you to Crystal ReportsSAP Edition and the integrated
features of the SAP Tools toolbar. It shows how to create and select queries for
reports, and how to save reports to BW. It concludes with a tutorial that guides you
through the creation of a report based on the SAP DemoCube.
Chapter 3: Reporting off InfoSets and ABAP Queries
This chapter shows how to connect to SAP with the InfoSet driver in order to select
an InfoSet or an ABAP query as a data source for a Crystal report.

Document conventions

Document conventions
This guide uses the following conventions:
Commands and buttons
For easy recognition within procedures, User Interface (UI) features appear in
bold type. For example: On the File menu, click New.
Keyboard shortcuts
Delete means the Delete key, or the Del key on your numeric keypad. Enter
means the Enter, Return, or CR key, depending on which of these keys appears
on your keyboard.
Key combinations
CTRL+KEY, SHIFT+KEY, and ALT+KEY are examples of key combinations.
Hold down the first key in the combination and, at the same time, press the
second key in the combination (designated above as KEY). For example:
CTRL+C means hold the Control key down and press the letter C on your
keyboard (CTRL+C is the Windows Copy command).
Key terms are italicized when first defined.
Monospaced font indicates data that you enter using your keyboard. For
example: In the Formula Editor, type If Sales > 1000 Then crRed
Monospaced, italicized font indicates variable data that you must replace with
data appropriate to your current settings, environment, or task. For example,
in the following URL, you would replace webserver

Formatted reporting overview


With the BW Query driver, you can design formatted Crystal reports based on the
data stored in SAP Business Information Warehouse (BW). You base these reports on
the queries that you create with SAPs Business Explorer (BEx) Query Designer. Once
you have designed your Crystal reports, you can save them to BW and, if required,
target them for translation so theyre available to users in multiple languages.
This chapter briefly shows how to start SAPs BEx Query Designer from within
Crystal Reports, but focuses primarily on Crystal ReportsSAP Edition and your
task of selecting BW queries as data sources for Crystal reports. This chapter
concludes with a step-by-step tutorial that guides you through the creation of a
sales report that displays data from the SAP DemoCube.
Crystal Enterprise allows you to share Crystal reports over the Web, so that all
users can view your formatted content. For details on publishing reports to Crystal
Enterprise, see Publishing predefined reports to Crystal Enterprise on page 42.

Commands and connection settings in Crystal Reports


Crystal ReportsSAP Edition includes several integrated tools that allow you to
report off your BW data. You can access many of these tools from two locations:
click the appropriate button on the SAP Tools toolbar, or click the corresponding
command on the SAP menu. This section details the available commands and
shows how to change the related settings in Crystal Reports.
Tip: To show/hide the SAP Tools toolbar in Crystal Reports, click Toolbars on the
View menu. Select the SAP Tools check box, and click OK. Commands without
icons are available only on the SAP menu.

To change your connection settings


1 On the SAP menu in Crystal Reports, click Settings.
Tip: You can also click the corresponding button on the toolbar.
The Settings dialog box appears.

2 Select from the available options to customize the behavior of Crystal Reports:
Default template
In this field, you can specify a report (an .rpt file) that you want to use as a
template for all new reports that you create from BW queries. For details,
see Using your own reports as templates on page 14.
Prepare reports for translation on server
If you select this option, the reports that you save in BW are prepared for
translation on the SAP system. For details, see Preparing reports for
translation on page 36.

Formatted reporting overview

Automatically publish to Crystal Enterprise


If you select this option, the report is automatically published to Crystal
Enterprise when you save it in BW. You can view published reports in
several ways, such as from the SAP Easy Access Menu, the SAP Business
Explorer Browser, or SAP ePortfolio. For details, see Chapter 5: Publishing
and Viewing Reports.
Suppress save dialog
If you select this option, you are not prompted every time you save reports
to BW, and the settings that you specify here are used for all reports.

To show field descriptions and technical field names


1 On the File menu, click Options.
The Options dialog box appears, with the Layout tab active.
2 Click the Database tab.

3 In the List Tables and Fields by area, click Both.


When you select this option, the program identifies tables and fields using both
the name and the description assigned in the SAP system.
4 Click OK.

Creating new queries for reports


If you have not already defined one or more queries within BW, you can start
SAPs BEx Query Designer from within Crystal Reports. The query that you define
is automatically selected as the data source for a new Crystal report.
Tip: When you define a query, you specify the subset of data that you want to
retrieve from a particular InfoProvider that is stored in BW. Consequently, you
must be able to access at least one InfoProvider on your BW system.

To create a new query for a report


1 On the SAP menu in Crystal Reports, click Start BW Query Designer.
Tip: You can also click the corresponding button on the toolbar.
The SAP Logon dialog box appears.

2 On the System tab, select your BW system; then click OK.


Note: If your system is not displayed, click the Group or Server tab and
provide the valid BW system information. Contact your administrator if you
are unsure of the entries that need to be made.
The next SAP Logon dialog box prompts you for User Data.

3 Type your usual SAP user credentials in the Client, User, Password, and
Language fields; then click OK.
The Query Designer appears.

4 On the Query Designers toolbar, click New Query.


The New Query: Select InfoProvider dialog box displays the InfoAreas and
InfoProviders that are available on your system.

5 Select the InfoProvider whose data you want to base your query on; then click OK.
The Query Designer automatically displays the InfoProvider in Tabular
Display mode, which is required when designing Crystal reports. For details
about Tabular Display mode, see the SAP Library > Business Information
Warehouse > Business Explorer.

6 Define your query by selecting measures and characteristics from the Key
Figure and Dimensions lists and dragging them to the Columns area.

Note: For complete information about using the Query Designer, see the SAP
Library > Business Information Warehouse > Business Explorer > Query
Design: BEx Query Designer.
7 Click Save Query.
8 In the Save Query dialog box, click Roles and select the role where you want to
save the query.
9 Type a Description and a Technical Name for the query; then click Save.
The Technical Name must uniquely identify the query, meaning that the name
can appear only once across all InfoProviders in BW. The Technical Name can
be up to 30 characters long and must begin with a letter.
10 Click Quit and Use Query.
Crystal Reports generates a report that uses your query as its data source. The
report opens in the Design tab of Crystal Reports. You can now add fields, titles,
charts, and other objects to the report. For details, see Designing and
formatting Crystal reports on page 32.

Selecting existing queries for reports


If you or someone else in your organization has already defined one or more
queries for reporting purposes within BW, you can select those queries as data
sources for new Crystal reports.
Note: The Data Explorer also provides an SAP BW Query node (in its More Data
Sources folder), which can be used to connect to and select a BW query for a
report. However, it is recommended that you follow the procedure below when
you base Crystal reports on your BW queries.

To select an existing query for a report


1 On the SAP menu in Crystal Reports, click Create New Report from a Query.
Tip: You can also click the corresponding button on the toolbar.
The SAP Logon dialog box appears.

2 On the System tab, select your BW system; then click OK.

Selecting existing queries for reports

Note: If your system is not displayed, click the Group or Server tab and
provide the valid BW system information. Contact your administrator if you
are unsure of the entries that need to be made.
The next SAP Logon dialog box prompts you for User Data.

3 Type your usual SAP user credentials in the Client, User, Password, and
Language fields; then click OK.
The Select Query for your Crystal Report dialog box displays the queries that
are available through your Favorites, Roles, and InfoAreas in BW.

4 Select the query whose data you want to report off; then click OK.
Crystal Reports generates a report that uses your query as its data source. The
report opens in the Design tab of Crystal Reports. You can now add fields, titles,
charts, and other objects to the report. For details, see Designing and
formatting Crystal reports on page 32.

Saving reports to BW
After designing a report based on a query, you can save the report to a role in BW.
At the same time, you can prepare the report for translation, automatically publish
it to Crystal Enterprise, or save it as an iView.
Before saving your report, check the reports title by clicking Summary Info on the
File menu. The title that appears here is displayed for users in Crystal Enterprise.
The technical name of the query is used as the default title, but you can replace it
with a descriptive title that is more meaningful to SAP users.
Tip: Use the Save or Save As command on the File menu to save the report to disk.

To save a report to BW
1 On the SAP menu, click Save Report.
Tip: You can also click the corresponding button on the toolbar.
2 In the Save a Crystal Report to BW dialog box, select the role where you
want to save the new Crystal report.
3 Type a Description for the report; then click Save.
Depending on your connection settings, the Save to BW options dialog box
may appear.

4 Select from the available options:


Prepare this report for translation
When you select this option, the strings in your report are extracted and
made available for translation within SAP. For details, see Designing
reports for translation on page 36.
Automatically publish to Crystal Enterprise
For more information on publishing reports, see Publishing predefined
reports to Crystal Enterprise on page 42.
If you are unable to publish your report to Crystal Enterprise, you may
need to consult with your administrator about upgrading to Crystal
EnterpriseEnhanced SAP Edition.

Using your own reports as templates

Dont show this dialog again


If you select this option now, you can modify your default settings later by
clicking Settings on the SAP menu. For details, see Commands and
connection settings in Crystal Reports on page 6.
Save report as iView
Select this option to save the report as an iView in the SAP system, so the
report is available for integration with your SAP Portals Enterprise Portal.
You will be prompted to specify the role where you want to save the iView.
Export iView definition to .ivu file
Select this option to export the iView to .ivu format, so you can transfer the
iView to any SAP Portals Enterprise Portal. The resultant .ivu file contains
all the settings and parameters for the iView. You will be prompted to
specify a name and location for the .ivu file on your local hard drive.
5 Click OK.

Using your own reports as templates


By creating customized reports that serve as templates, you can speed up the
process of designing and formatting the reports that you generate from BW
queries. You can, for instance, create reports that include customized titles,
corporate logos, or contact details in the Report Header. Or, you can place
copyright information along with page numbers in the Page Footer. You can then
select one of these reports as the default template, which Crystal Reports will use
whenever you generate reports from BW queries.

To create a report to use as a template


1 Using Crystal Reports, create a blank report without specifying a data source.
2 Add the elements that you want included in the template (text objects,
graphics, hyperlinks, Special Fields, and so on).
Note:
You may add objects to the Report Header, Page Header, Report Footer,
and Page Footer sections only, for these are the sections that are merged
into the final report.
When adding graphics to a template, you can insert them as pictures or as
OLE objects (static, embedded, or linked).
You can add Special Fields to your report template, so long as the field is in
no way dependent upon your SAP data. Predefined Special Fields are
available from the Field Explorer in Crystal Reports.
3 When you have finished designing the template, save your work.

To specify a default template


1 On the SAP menu in Crystal Reports, click Settings.
Tip: You can also click the corresponding button on the toolbar.
The Settings dialog box appears.

2 In the Default template field, specify the report (.rpt file) that you want to use
as a template for all new reports that you create from BW queries.
3 Click OK.
Note: If you subsequently rename, move, or delete your report template, Crystal
Reports prompts you with an error message when you attempt to create a new
report from a BW query. You must specify a new report template (or none at all)
before you can create the new report.

Building your first report off the SAP DemoCube


This tutorial provides an introduction to Crystal Reports as you design a sales
report with the Report Expert. You begin by creating a query, which is selected as
the reports data source. You then use a Report Expert to:
Insert and move database fields.
Group and sort data.
Summarize data.
Add a title and a predefined style.

To create a new query for a report


1 On the SAP menu in Crystal Reports, click Start BW Query Designer.
Tip: You can also click the corresponding button on the toolbar.

The SAP Logon dialog box appears.

2 On the System tab, select your BW system; then click OK.


The next SAP Logon dialog box prompts you for User Data.

3 Type your usual SAP user credentials in the Client, User, Password, and
Language fields; then click OK.
The Query Designer appears.
4 On the Query Designers toolbar, click New Query.
The New Query: Select InfoProvider dialog box displays the InfoAreas and
InfoProviders that are available on your system.

5 Select the SAP DemoCube; then click OK.


The Query Designer automatically displays the InfoProvider in Tabular
Display mode, which is required when designing Crystal reports. For details
about Tabular Display mode, see the SAP Library > Business Information
Warehouse > Business Explorer.
6 Select the following characteristics from the Dimensions list, and drag them to
the Columns area:
Country
Sales employee
Material
Material group
7 Select the following measures from the Key Figure list, and drag them to the
Columns area:
Net value
Tax Amount in Doc.
Costs (SAP Demo)
The Columns area should now appear as follows:

Note: For complete information about using the Query Designer, see the SAP
Library > Business Information Warehouse > Business Explorer > Query Design:
BEx Query Designer.

To save the query in BW


1 Click Save Query.
2 In the Save Query dialog box, click Roles and select the role where you want to
save the query.
3 Type an appropriate Description, such as My sample sales query
4 Type an appropriate Technical Name, such as SALES_DEMO_QUERY
The Technical Name must uniquely identify the query, meaning that the name
can appear only once across all InfoProviders in BW. The Technical Name can
be up to 30 characters long and must begin with a letter.
5 Click Save.

To create a new report based on the query


1 Click Quit and Use Query.
Crystal Reports generates a report that uses your query as its data source. The
report opens in the Design tab of Crystal Reports. You can now add fields, titles,
charts, and other objects to the report.

Tip: To ensure that Crystal Reports displays technical names and/or


descriptions for SAP tables and fields, click Options on the File menu. Click the
Database tab, and make your selection in the List Tables and Fields by area.
2 On the Report menu, click Report Expert.
3 When you are prompted to confirm the command, click Yes.
The Create Report Expert displays its Data tab. You have already selected
your BW query as the data source for the report, so it appears automatically in
the Tables available for report area.

4 Click Next to proceed to the Fields tab.

To select fields for the report


1 In the Available Fields area, double-click the following fields to add them to
the Fields to Display area:
Sales employee Text
Material Text
Costs (SAP Demo)
Net value
Tax Amount in Doc.

Tip: The fields in the Fields to Display area appear in the same order, from top
to bottom, as they are displayed in the report, from left to right. You can reorder
them now using the up and down arrow keys.
2 In the Fields to Display area, click Costs (SAP Demo).
3 In the Column Heading field, delete the default textwhich is Costs (SAP
Demo)and type Costs in its place.
This changes the default column heading that is displayed in the report.
4 Click Next to proceed to the Group tab.

To group and sort the reports data


1 In the Available Fields area, double-click the following fields to add them to
the Group By area:
Country
Material Text

2 In the Group By area, select the Material Text field.


3 Click the Sort Order list and select in original order.
When you view this report, the records are first grouped according to the
values in the Country field. The resultant groups are then displayed in the
report in ascending alphabetical order. The records in each Country group are
further divided into secondary groups based on the values in the Material Text
field. The resultant groups are displayed in their original order.
4 Click Next to proceed to the Total tab.

To summarize the data


1 In the Available Fields area, double-click the following fields to add them to
the Summarized Fields area:
Costs (SAP Demo Value)
Net value
Tax Amount in Doc.

2 In the Summarized Fields area, select each field and ensure that sum is
selected in the Summary Type list and that Add Grand Totals is selected.
When you view the report, the Costs, Net value, and Tax Amount values are
summarized for each Country group.
3 Click Next to proceed to the Style tab.

To select a style for your report


1 In the Title field, type the text you want to display as the title of the report,
such as Sales grouped by country and material
This title is inserted into the Page Header when you preview the report.

2 In the Style list, click one of the available styles.


A preview of the selected style is displayed next to the Style area.
3 Click Finish.
Crystal Reports refreshes the report against the query in BW and displays your
newly designed report in the Preview tab.
4 Before making further modifications to the report, click Save Report on the
SAP menu and save the report to a role in BW. For details, see Saving reports
to BW on page 13.
You may want to resize or reposition report elements, or further modify the
reports design. You can, for instance, select and drag the borders of columns and
column headings in order to resize them in the Preview tab; or, you can quickly
display only a subset of the data by filtering the records with the Select Expert.

Connecting to SAP with the driver


Before you can select an InfoSet or an ABAP query for your report, you must
connect to SAP with the InfoSet driver. There are two ways to select a driver in
Crystal Reports: use one of the Report Experts, or select Log On Server from the
File or Database menu. Both methods are described below.

Using the Report Experts


1 On the File menu, click New.
The Crystal Report Gallery appears.

2 If its not already selected, click Using the Report Expert.


3 In the Choose an Expert list, click Standard; then click OK.
Tip: To create a specific type of report, select the appropriate Expert.
4 On the Report Experts Data tab, click Database.
The Data Explorer appears.

5 Expand More Data Sources; then expand SAP R/3 Info Sets.
The SAP R/3 Logon dialog box appears. For more details, see Logging on to

Tip: If the SAP R/3 Logon dialog box does not appear, double-click Make
New Connection, or close and re-open the SAP R/3 Info Sets node.

Using the Log On Server command


1 On the File menu (or Database menu, if a report is already open), click Log
On/Off Server.
The Data Explorer appears.
2 Expand More Data Sources; then expand SAP R/3 Info Sets.
The SAP R/3 Logon dialog box appears. For more details, see Logging on to
the SAP server on page 25.
Tip: If the SAP R/3 Logon dialog box does not appear, double-click Make
New Connection, or close and re-open the SAP R/3 Info Sets node.

Logging on to the SAP server


Regardless of the driver you select, you must specify the SAP system that you want
to report off and then provide valid user credentials for that system. Each driver
prompts you for this logon information before it allows you to select the elements
that you want to include in the report. Your user credentials are also requested
when you run any existing reports built off SAP data sources.

To logon to the SAP server


1 Once youve selected a data source and a driver, the SAP R/3 Logon dialog
box appears.

2 On the R/3 System tab, select the SAP system that you want to report off.

Note: If your SAP administrator has not configured SAP Logon, your SAP
system will not appear on the R/3 System tab. In this case, click the Group or
Server tab and provide the valid SAP system information. Contact your SAP
administrator if you are unsure of the entries that need to be made.
3 Click OK.
The next SAP R/3 Logon dialog box prompts you for User Data.

4 Type your usual SAP user credentials in the Client, User, Password, and
Language fields.
5 Click OK.
Crystal Reports logs you onto the SAP system and displays the Allow Reporting
On dialog box. Use this dialog box to filter the data that is returned from the SAP
system. For details, see Selecting an ABAP query or an InfoSet on page 26.
Note: If you can log on to your SAP system but the Allow Reporting On dialog
box does not appear, check your configuration options. For details, see
Configuration options on page 29.

Selecting an ABAP query or an InfoSet


The combined InfoSet/ABAP Query driver allows you to use an existing ABAP
query or InfoSet (also known as a Functional Area) as a source of data for a Crystal
report. The main advantage of this driver is that the ABAP query or InfoSet is built
within SAP by a content expert, who then makes the data set available to the
business user. The user can then design multiple reports by quickly referencing the
same query or InfoSet.
Another advantage is that an InfoSet can be built on top of the logical databases in
SAP. This allows the InfoSet to inherit all of the business logic and security that is
programmed into the logical database. The disadvantage of using this driver is
that reports can contain only as much data as the ABAP query or InfoSet has been
designed to retrieve.
Reports based on ABAP queries and InfoSets behave similarly to reports based on
stored procedures in mainstream databases. You can include only one query or
InfoSet per report; however, you can insert subreports based on different queries
or InfoSets into the main report.

Your ABAP queries and InfoSets may contain parameters that you can use to limit
the data returned from the SAP system. For example, you might specify a date
range to get data for only a certain period. If parameters are included in the ABAP
query or InfoSet, Crystal Reports prompts you to specify the values that you want
to include in the query.
For information on designing ABAP queries and InfoSets, refer to your SAP
documentation.

To select an ABAP query or an InfoSet


1 Connect to SAP with Crystal Reports, select the combined InfoSet/ABAP
Query driver, and provide your user credentials. (For details, see Connecting
to SAP with the driver on page 24.)
The Allow Reporting On dialog box appears.

Note: If you log on to the SAP system but the Allow Reporting On dialog box
does not appear, check your Crystal Reports configuration options. For details,
see Configuration options on page 29.
2 In the Data Source area, select either SAP Info Set or SAP ABAP Query.
3 In the Work Space area, specify whether you want to search in the Global area,
the Local area, or both.
4 In the Name Filters area, use the appropriate text field to specify the data
sources that you want to make available to the report.
Use the following techniques when selecting queries or InfoSets:
Type full or partial names of queries or InfoSets.
Separate distinct names with commas.

Add wildcards to select multiple queries or InfoSets: use a percentage sign


(%) to denote any number of characters; use an underscore (_) to denote a
single character. (The % and _ wildcards correspond respectively to the *
and ? wildcards used within Windows.)
Clear the filter field and click OK to proceed without filtering. Note,
however, that there is a limit to the number of objects that can be displayed
in the Data Explorer. If the number of queries or InfoSets in SAP exceeds
this limit (which is by default 8000), you may receive an Out of Memory
error or a blank Data Explorer.
5 When you have specified the data sources that you want to see, click OK.
The Data Explorer displays the selected queries or InfoSets, along with the
descriptions defined by the SAP administrator.

Tip: The name of an InfoProvider may have a prefix (IG, IL, QG, or QL) that
indicates its type and location. The first letter (I or Q) denotes the type as InfoSet
or ABAP Query. The second letter (G or L) indicates whether the InfoProvider
is in the global or local area. (It is possible to have two InfoProviders with the
same nameone in each area.) To view additional information, right-click any
query or InfoSet and, on the shortcut menu, click Properties.
6 Double-click the query or InfoSet that you want to add to the report.
If the query or InfoSet contains parameters, the Enter Parameter Values dialog
box prompts you for information. Use the dialog box to specify the data that
you want to include, and then click OK.
7 When you are returned to the Data Explorer, click Close.
You can now add fields and continue to design your report in the usual manner.

Configuration options
When you install Crystal ReportsSAP Edition, you may need to change your
global reporting options to improve the experience of reporting off SAP. The steps
in this section show how to configure Crystal Reports to list tables and fields by
both name and description, and to prompt you for information whenever you
access a database table. Your SAP system may contain thousands of tables, each
with a predefined, non-descriptive name. These options ensure that you can select
specific tables for a report without having to search through an immense list.
If you are reporting off data sources other than SAP, you may prefer not to be
prompted for information every time you connect to the database. If so, clear the
Reprompt user when connecting option.
Note: If you are unable to connect to certain SAP tables, or if you cannot view
table or field names or descriptions, ensure that these recommended options
remain selected.

To change configuration options


1 Start Crystal Reports.
2 On the File menu, click Options.
3 Click the Database tab.

4 In the Explorer Options area, select Reprompt user when connecting.


5 In the List Tables and Fields by area, select Both.
6 Click OK.

Once you open a report in the Design tab of Crystal Reports, you can proceed with
designing and formatting your report. In general, the report-design process
consists of these main tasks:
Selecting the information that you want to display in the report.
Grouping related data and sorting the records in a useful way.
Summarizing grouped data to calculate a particular sum, average, variance,
standard deviation, and so on.
Incorporating graphical representations of data, such as charts, maps, and
cross-tabs.
Formatting report elements with predefined styles or customized formatting rules.
To accomplish these tasks, you can use a Report Expert to guide you through the
creation of a particular type of report, or you can use the diverse and powerful
design tools in Crystal Reports to customize your report. This chapter introduces
the Standard Report Expert but focuses primarily on reporting activities that are
particular to Crystal ReportsSAP Edition:

Incorporating data from multiple data sources
In an SAP environment that supports users in various languages, translation is also an
important aspect of report design. Crystal ReportsSAP Edition allows you to prepare
reports for translation, so you can design reports in one language and subsequently
translate them in SAP into any number of languages. Once you publish these reports
to Crystal Enterprise, each user is presented with reports in his or her usual logon
language. For details, see Designing reports for translation on page 36.
If you are already familiar with Crystal Reports, or if you prefer not to use the Report
Expert, use the Field Explorer to begin adding query fields to your report, creating
formulas, and so on. To access the Field Explorer, click Field Object on the Insert menu.

Using the Report Expert to build a report


The Report Expert consists of a series of tabs that guide you through the steps involved
in building your Crystal report. On any of the tabs, you can click the following buttons
to preview your report quickly, without returning all of the report data:
Design Report
Crystal Reports designs the layout of the report, generates the report using
placeholders, and displays the report in the Design tab. Crystal Reports does
not actually retrieve data from the database. To view the report with data, click
Refresh to activate the Preview tab.

Preview Sample
Crystal Reports designs the layout of the report in the Design tab. The Preview
Sample dialog box opens, enabling you to choose how many database records
you want to display on your report. Crystal Reports then retrieves the limited
record set from the database.
Crystal Reports retrieves all of the reports data when you click Finish in the Report
Expert, or when you refresh a previewed report.

To start the Report Expert


1 On the Report menu, click Report Expert.
2 When you are prompted to confirm the command, click Yes.
The Create Report Expert displays its Data tab:
If you have already selected a BW query for the report, it appears
automatically in the Tables available for report area.
If you havent yet selected a data source, click Database to start the Data
Explorer. (The BW Query driver and the InfoSet driver appear in the More
Data Sources folder.)
3 Click Next to proceed through the Experts remaining tabs.

Modifying predefined Crystal reports


A number of predefined Crystal reports may have been supplied with BW and/or
Crystal EnterpriseSAP Edition. These predefined reports are marked internally,
so Crystal Enterprise can recognize them as valid SAP content.
When you first open a predefined report in Crystal Reports, a number of standard
program features are disabled, thereby restricting the ways in which you can
modify the report. For instance, you cannot edit the record selection formula to
modify the data retrieved by the report, nor can you change the grouping or
sorting of the reports records. You can, however, insert, modify, and format static
objects, which include text objects, pictures, OLE objects, lines, and boxes. In
addition, you can set the location of the reports data source, so it reports off the
data in your own SAP system. (You cannot, however, convert the database driver,
or add a database to the report.)
If you restrict yourself to the editing features that are immediately available to you
when you open a predefined report, then the reports internal marker remains
intact when you save your changes. Consequently, you can customize the
formatting and presentation of these predefined reports and retain the ability to
publish them back to Crystal Enterprise.
If you need to make additional modifications to the predefined reports, you can
enable all Crystal Reports features by clicking SAP Mode on the SAP menu. (This

command is available only when you open an SAP report in Crystal ReportsSAP
Edition.) This command, however, removes the reports internal marker, and Crystal
Enterprise can no longer recognize the report as valid SAP content. As a result, you
must be running Crystal EnterpriseEnhanced SAP Edition before you can publish
the newly modified Crystal report back to your production Crystal Enterprise system.
Note: Consult with your administrator if you are unsure of the Crystal Enterprise
licensing model that has been implemented with your BW system.

To modify a predefined report


1 Open the report in Crystal Reports.
Tip: If the report is already saved in BW, click the Open report from BW
button on the toolbar. Log on to BW and browse your roles for the report you
want to open.
2 Click the programs menus (Edit, View, Insert, and so on) to see the features
that are immediately available to you. Or, right-click the reports static objects
(text objects, pictures, OLE objects, lines, and boxes) to view a shortcut menu
of related commands.
If you restrict yourself to these editing features, the reports internal marker
remains intact. For a full description of any particular command, press F1 to
access the Crystal Reports Online Help.
3 To remove the reports internal marker and enable full product functionality,
click SAP Mode on the SAP menu.
Note: If the SAP Mode command is unavailable, then the report you have
opened is a regular Crystal report (or a predefined report whose internal
marker has already been removed).
A confirmation dialog box appears (unless youve already selected the Dont
show again option).

4 Click OK.
All of the programs features are now available to you, and you can modify all
aspects of the report.
5 When you have finished editing the report, save it to BW and publish it to
Crystal Enterprise. For details, see Saving reports to BW on page 13.
Note: If you are unable to publish the modified report to Crystal Enterprise, you
may need to consult with your administrator about upgrading to Crystal
EnterpriseEnhanced SAP Edition.

Incorporating data from multiple data sources


Reports based on queries and InfoSets behave similarly to reports based on stored
procedures in mainstream databases. You can include only one data source per
primary report; however, you can insert subreports based on different data
sources into the primary report.
A subreport is a report within a report. With subreports, you can coordinate data
that otherwise cannot be linked and present different views of the same data in a
single report. As such, subreports enable you to incorporate data from multiple
queries and InfoSets.

To report off two different SAP data sources


1 Using Crystal ReportsSAP Edition, create two different reports, and base
each report on a different BW query.
For procedural details on creating reports based on a BW query, see Selecting
existing queries for reports on page 11.
2 Save both reports on your local drive.
3 Open the report that you want to use as the primary report, and ensure that
you are on the Design tab.
4 On the Insert menu, click Subreport.
The Insert Subreport dialog box appears.

5 Click Choose a report.


The Create a subreport option allows you to create a new subreport that
retrieves data from any data source that is accessible through the Data Explorer.

Because you have already created two reports with the SAP Tools toolbar, you
dont need to create a new subreport now.
6 In the Report File name field, type the path to the second report (.rpt file) that
you created, or click Browse to locate the report on your local drive.
7 Choose On-demand subreport to have the ability to retrieve the data on the
subreport when needed. Otherwise, all the subreport data will appear with the
report.
An on-demand subreport appears as a hyperlink in the primary report. When
you open the primary report, no data is retrieved from the on-demand
subreport until you drill down on the hyperlink.
8 Click OK.
The program displays an object frame.
9 Move the frame where you want the subreport to appear in the report, and
click once to place it.
The program creates a Subreport Design tab, which is labeled with the
subreport name. To edit the subreport, click the Design tab and make your
modifications.
10 Click the Preview tab to view the primary report with the inserted subreport.

Designing reports for translation


If your BW system supports users in multiple languages, you may want to prepare
your reports for translation within BW. Once you publish the translated reports to
Crystal Enterprise, SAP users can view reports that correspond to their logon
language. This section describes how to prepare your report for translation, and
how to use a reports LanguageCode% formula to make language-specific
modifications to reports.

Preparing reports for translation


When you save a report to BW, you are given the option to prepare the report for
translation. When you select this option, Crystal Reports extracts the string
contents from all the text objects that you have inserted into the report (and
replaces the original strings with placeholders in the .rpt file). Crystal Reports then
passes the original strings to a BW function (RSCR_SAVE_DOCUMENTATION) that is
responsible for inserting the strings into a language table in BW.
Use the standard translation transactions within BW to access the language table
that contains the original strings, and to translate them into all the languages that
you require. Once you finish this process, the translated strings can be inserted
back into the report when you publish to Crystal Enterprise.

When you publish a translated report from BW to Crystal Enterprise, the BW


Report Publisher receives a single .rpt file, the original report strings, a list of
destination languages, and all the translated report strings from BW. For each
language, the BW Report Publisher copies the original .rpt file and replaces the
placeholders with the corresponding report strings. In addition, the BW Report
Publisher marks each report with a language code (for details, see Conditional
formatting with the LanguageCode% formula on page 38). The BW Report
Publisher thus generates multiple .rpt files (one for each language), and finally
publishes each of these objects to Crystal Enterprise.
Tip: When users refresh or schedule translated reports, new data is retrieved from
BW, but the report strings are not refreshed. To update the translations of your
report strings, publish the reports again from BW to Crystal Enterprise.
Note: Your SAP administrator is responsible for the translation of the actual SAP
data that is available to the report. For instance, fields containing string values
(such as a Product Description field) are typically translated within SAP. When a
user refreshes a Crystal report that displays those string values, the SAP system
automatically returns data that corresponds to the users logon language.

To prepare all reports for translation


1 On the SAP menu, click Settings.
Tip: You can also click the corresponding button on the toolbar.
The Settings dialog box appears.

2 Ensure that Prepare reports for translation on server is selected.


This option changes your default settings, so reports are always prepared for
translation on the server.
If you prefer to select this option for individual reports, clear the Suppress
save dialog option. You are then prompted with a Prepare this report for
translation option every time you save a report to BW.
3 Click OK.

4 On the SAP menu, click Save Report and proceed as usual. For details, see
Saving reports to BW on page 13.

Conditional formatting with the LanguageCode% formula


When you initially create a report based on a BW query, Crystal Reports
automatically generates a formula named LanguageCode%. You can find this
formula in the Field Explorer. Rather than performing a calculation, this formula
consists of a string valuea single letterthat serves to associate the report with
a particular logon language.
When you first create and design your report, the formula contains the code for
your current logon language (E for English, D for German, and so on). This is
the reports master language. When you prepare reports for translation and
subsequently publish them to Crystal Enterprise, the BW Report Publisher
modifies the LanguageCode% formula in each translated report. When an SAP
user views a Crystal report or logs on to SAP ePortfolio, a Crystal Server Page (CSP
file) filters the available reports: if a translated report is available in the users logon
language, it is displayed for the user; if a translated report is unavailable, the report
appears in its master language.
The LanguageCode% formula is intended to provide you, the report designer,
with a tool for conditionally formatting reports in ways that accommodate for
users with different logon languages. For example, suppose that your report
displays values from a Product Category field, whose string values are translated
within SAP. As a report designer, your problem is that the German strings are
longer than the equivalent English strings.
To solve this problem, you could use the LanguageCode% to conditionally reduce
the font size for the translated version of the report (as demonstrated in the following
steps). Alternatively, you could insert two Details sectionseach containing the
same database fieldsand increase the width of the fields in the second section to
accommodate for the longer German strings. Your conditional formatting formula
would then show/hide the Details sections according to the reports language.

To reduce a fields font size conditionally


1 Open the report in the Design tab of Crystal Reports.
2 In the Details section of the report, right-click the field whose font you want to
conditionally format.
3 On the shortcut menu, click Font.
The Format Editor dialog box appears with the Font tab open.

4 Click the Formula button that corresponds to the Size field.


The Format Formula Editor opens a new formula and names it Font_Size.
5 In the text area, type this formula (which uses Crystal Syntax):
if {@LanguageCode%} = "D"
then 10
else 12

This formula ensures that the currently selected fields font size is reduced from
12 pts to 10 pts when the users logon language is German (or when the user
schedules a German instance of the report).
6 Click Save and close.

A number of predefined Crystal reports may have been supplied with BW and/or
Crystal EnterpriseSAP Edition. These predefined reports are marked internally,
so Crystal Enterprise can recognize them as valid SAP content.
You can publish valid Crystal report files to Crystal Enterprise in several ways:
When you open a report in Crystal Reports, you can simultaneously save it to
BW and publish it to Crystal Enterprise. For details, see Saving reports to
BW on page 13.
If you have already added a number of reports to BW, you can publish them in
batches to Crystal Enterprise. For details, see Batch publishing reports from
BW on page 42.
For information about predefined reports and the ways in which you can modify
them, see Modifying predefined Crystal reports on page 33.
Tip: Upgrading to Crystal EnterpriseEnhanced SAP Edition allows you to
publish your own, customized reports to Crystal Enterprise.

Batch publishing reports from BW


To publish large numbers of Crystal reports from within BW, you can execute the
program RSCR_ADMIN_REPORTS. In addition to having permission to execute this
program within BW, you must also have publishing rights in Crystal Enterprise. These
publishing rights are described in the Crystal EnterpriseSAP Edition Installation
Guide (installguide.pdf), located in the sapdocs directory of the product CDs.

Note: In each of the reports that you publish in this manner, the BW Report
Publisher updates the database information in accordance with your installation
parameters. This ensures that the reports are set to use the correct data source. For

located in the sapdocs directory of the product CDs.

Viewing reports
You can view Crystal reports from a number of applications depending upon how
Crystal Enterprise has been integrated with your BW system. For instance, you can
launch reports in a web browser from within the SAP Easy Access interface, or you
can log on to the SAP ePortfolio web desktop with your usual SAP credentials.
Tip: You can also save reports as iViews and include them in your SAP Portals
Enterprise Portal. For details, see Saving reports to BW on page 13.

5 Publishing and Viewing Reports

To view a published report through SAP Easy Access


1 Log on to SAP Easy Access.
2 Browse your roles to locate the reports that have been saved to BW.
Tip: Look for the Crystal report icon that is used in BW.
3 Double-click the report.
The report is displayed in your web browser. You may be prompted to log on to
the SAP Web Application Server and/or Crystal Enterprise. If so, provide your
usual SAP user name and password.

To view a published report through SAP ePortfolio


1 Go to the SAP ePortfolio main page:
http://webserver/crystal/enterprise/sapbw/eportfolio/

Replace webserver with the name of the web server that is set up for Crystal
Enterprise. You may need to check with your administrator for the web server
name or exact URL to enter.
The Log On page appears.
Tip: If you are logged on automatically with the default Guest account, click
Log On in the top-right section of the title bar.

2 In the SAP SystemID field, type the three-character System ID (SID) for your
SAP system.
Contact your administrator if you are unsure of the appropriate SID.

3 In the SAP Client field, type your usual three-digit SAP client number.
4 Type your usual SAP logon credentials in the User Name and Password fields.
5 In the Authentication list, ensure that SAP Authentication is selected.
6 In the Language field, type your usual SAP language code.
If reports are available on your system in multiple languages, their titles and
descriptions are displayed in the language that you specify here. In addition,
on-demand reports will display headings, titles, and other information in the
appropriate language, so long as the report was designed to accommodate for
multiple languages.
7 Click Log On.
The home page appears and you are logged on with your own account.

8 Click the My Roles button on the title bar for quick access to all of the Crystal
reporting content that has been saved in your various SAP roles and published
to Crystal Enterprise.
