System Requirement
For optimal performance of UBS products, please check through your PC to meet the minimum
system requirements as below.
a) Single user
 Intel Pentium IV 1GHz processor or equivalent
 1 GB of RAM or higher for Windows XP Service Pack2; 2 GB of RAM or higher for Windows
Vista
 800 MB available disk space (100 MB for installation, 200 MB for each data folder, 500 MB for
.Net Framework)
 Super VGA (1024 x 768) or higher-resolution video adapter and monitor
 Windows XP Professional with Service Pack 2, Windows Vista
 Network card running on TCP/IP protocol (required for RSS feature only)
 CD-ROM drive (For installation only)
 Windows compatible printer
 Microsoft Excel and Word 2000 or higher
 Microsoft .Net Framework 2
b) Multi user (Server)

 Intel Pentium IV 1.5 GHz processor or equivalent
 1 GB of RAM or higher for Windows XP Service Pack2; 2 GB of RAM or higher for Windows
Vista
 800 MB available disk space (100 MB for installation, 200 MB for each data folder, 500 MB for
.Net Framework)
 Windows Server 2003 and above, Windows XP Professional with Service Pack 2, Windows
Vista
 Network card (running on TCP/IP protocol)
c) Multi user (Client)

 Intel Pentium IV 1GHz processor or equivalent
 512 MB of RAM or higher for Windows XP Service Pack2; 1 GB of RAM or higher for Windows
Vista
 600 MB available disk space (100 MB for installation, 500 MB for .Net Framework)
 Windows XP Professional with Service Pack 2, Windows Vista
 Network card (running on TCP/IP protocol)
Note: Windows 2000 Pro, Windows 2000 Server below and Windows 98 are NOT officially supported.
Software Installation
1. Insert the UBS installation CD into the CD-ROM drive and wait for the UBS Software Installation
Menu to appear. If the installation menu does not appear automatically, select the CD-ROM drive
in My Computer or Computer and run the Setup.htm.
2. In the Installation menu, select the UBS program that you want to install.
3. Double click on the setup file (.exe).

Important note: For Windows Vista, right click on the setup file and Run as Administrator.
4. After the UBS program has been selected, the installation window will be prompted. On the
License Agreement page, read and select I accept the terms in the license agreement,
and then click Next.
5. On the Select Installation Type page, select one of the following:

 Server
 Client/Standalone
If you select Server Installation, the server program will be installed.

If you select Client/Standalone Installation, the client program will be installed.
6. On the Choose Components page, click Next.

7. On the Select Installation Location page :

 To change the installation folder location, click Browse.
 After the options have been defined, click Next.
8. On the Choose Start Menu Folder page, click Install to start the installation.
9. After the installation has been confirmed, the installation will be started.
10. On the Installation Complete page, click Finish.
After installation, a UBS icon will be created on the desktop.

License Activation Guide

Generate Request file
1. Log in to UBS system.
2. On Help menu, click Request License.

3. Select the license types, and then click Next.

4. On the License Agreement screen, read and tick “I accept the terms in the license
agreement” to accept the terms and conditions, and then click Next.
5. On the Profile screen, enter the following:

Company Name (Required) Customer company name.
Company Reg No / IC (Required) Customer company registration number or Identity card
No number.
Address (Required)
City (Required)
Postcode (Required)
Country (Required)
State (Required)
Contact Person 1 (Required) Contact person name.
Mobile No Mobile phone contact number.
Contact Person 2 Contact person name.
Mobile No Mobile phone contact number.
Tel No 1 (Required) Customer contact number.
Tel No 2 Customer contact number.
Fax No 1 (Required) Customer fax number.
Fax No 2 Customer fax number
Email (Required) Customer e-mail address for UBS Corp. to send out the
license file.
Email 2 Customer e-mail address.
Nature of Business (Required)
Website Business website URL.
Purchase From (Required) UBS Corp. authorised partner/associate name.
License Edition Malaysian edition or Singapore edition.
6. After all required fields have been entered, click Next.

7. On the Destination Folder screen:

 To change the request file folder, click Change.
 After request file location has been defined, click Next.
8. Click Finish to generate request file.
9. After request file has been generated, “Request file generated!” dialog box will be prompted,
and then click OK.
Congratulation! You have successfully generated the license request file.

Online Activation
1. After the request file has been successfully generated, the below message will be prompt. Click
Yes.
2. Enter the SNO and Activation code provided. Browse for the license request file generated
previously. Then, click Activate.
3. After the license has been activated, “Successfully activate license.” message will be prompted.
Click OK
4. Log out from the UBS system.

5. In the Select Company screen, click Setting.
6. Select the license type.

 For single-user environment, select Single option, then click OK.
 For multi-users environment, select Network option, enter the IP of the server and port
no. – 3737, then click OK. Quit from UBS system. Stop and restart the UBS Licenses
Service via [Control Panel > Administrative Tools > Services].
7. Log in again, Malaysia Edition and the license SNO will be displayed on the login screen.
 For single user environment, the login screen is as below.
 For multi-user environment, the login screen is as below

Activate License File (Manual)

For Single-user environment
1. Log in to UBS system.
2. On the Help menu, click Activate License.

3. On the Welcome to the License Activation Wizard for UBS System screen, click Next.
4. On the Destination Folder page:

 Click Browse to select your license file.
 After license file has been located, click Next.
5. On the Wizard Completed screen, click Finish to activate the license.

6. After the license has been activated, “Successfully activate license.” message will be prompted.
Click OK.
7. Log out from the UBS system.

9. Select Single option, then click OK.
10. Log in again, Malaysia Edition will be displayed on the login screen.
Congratulation! You have successfully activated your license.

For Multi-user environment

At the server:
2. Select Network, enter the IP of the server and port number – 3737. Click OK.
3. Quit from UBS system

4. Stop and restart the UBS Licenses Service via [Control Panel > Administrative Tools >
Services]
5. Login again, Malaysia Edition and the license SNO will be displayed on the login screen.
At the workstation:

2. Select Network, enter the IP of the server and port number – 3737. Click OK.
3. Quit from UBS system

4. Login again, Malaysia Edition and the license SNO will be displayed on the login screen
Upgrade from Standalone (Single-user) to Server (Multi-user)

This guideline is only for user who already installed and activated UBS:nine version 4
(single-user) and would like to upgrade to UBS:nine version 4 (multi-user).
At the server:
1. Insert the UBS installation CD into the CD-ROM drive and wait for the UBS Software Installation
Menu to appear. If the installation menu does not appear automatically, select the CD-ROM drive
in My Computer or Computer and run the Setup.htm.
2. In the Installation menu, select the Service Installer for the UBS program that you want to
install.
3. Double click on the setup file (.msi).
4. After the UBS program has been selected, the installation window will be prompted. On the
License Agreement page, read and select I accept the terms in the license agreement,
and then click Next.
5. The installation will start.
6. On the Installation Complete page, click Finish.

7. Go to [Control Panel > Administrative Tools > Services], you will noticed that UBS
License Services has been installed
8. Continue to setup the server and workstation using the steps for License File Activation – Multi-
user environment in the previous chapter.
License Activation for UBS HRM and UBS Assets Register

1. If you have purchased UBS Accounting, you will have the option to install UBS Assets Register.
You can use UBS Accounting license to activate UBS Assets Register.
If you have purchased UBS Payroll, you will have the option to install UBS Human Resource
Management (HRM). You can use UBS Payroll license to activate UBS Human Resource
Management (HRM).
2. Go to Help  Activate License to activate the license. The steps are the same as UBS
Accounting and UBS Payroll.
Server – File sharing

Under server computing practices, UBS folder in the server must be shared with full control
permission to workstation.
At Server:
1. Under My Computer or Windows Explorer, look for the UBS folder (e.g. ubsacc90, ubswpay90).
Right-Click the UBS folder and select Sharing and Security.
A. Simple File Sharing (Window XP Home / Pro )
IMPORTANT: Make sure you tick both Share this folder on the network and Allow
network users to change my files
B. Advance File Sharing (Window XP Pro, Server 2000 / 2003)
 Make sure to select Maximum allowed. Click Permissions, then highlight Everyone, then
tick Full Control. Then Apply.
 Go to Security, then highlight Everyone, then tick Full Control. Then Apply.
 Note: If Everyone does not exist, then click Add and type in Everyone.
2. Go into UBS. Under Select Company screen, add a new company, select it and let it generate the
data.
3. Go back to the Select Company screen, and change the Directory to the format of
\\servername \sharename \data folder. E.g. \\PC1\ubsacc90\data
4. Another way to determine the network directory is to use My Network Places to browse to the
server and to the UBS data folder, then copy the address and paste into UBS.
5. Under Select Company screen, click Setting, and then tick Country Setting. Change the
Standard Report Directory into a network path.
E.g. C:\UBSSTK90\REPORTS\REPORTS_TIMES_NEW_ROMAN\
change to: \\SERVERNAME\UBSSTK90\REPORTS\REPORTS_TIMES_NEW_ROMAN\
At Workstation
Install UBS on the workstation. Then under Select Company screen, add the company and directory
following the one already created in the server. Also, change the Standard Report Directory following
the directory on the server.
