INVENTORY OF HAZARDOUS MATERIALS –PART I

Dear Cpt. Petar,

Further to your kind request of preparing the Inventory of Hazardous Materials –Part I for the vessels
submitted, we would like to inform you as follows.

Company’s Introduction
Our company is active in marine business worldwide for more than 40 years dedicated to the
protection of marine environment and human life.

The products that we manufacture and the services that we offer give innovating and effective
solutions to the problems of our clients have established us as a very reliable and effective partner.
Our company has an autonomous fully trained and certified department dedicated to the removal and
disposal of asbestos with a great reference list of vessels and buildings that were completely cleared
from this material.

In addition our company E.P.E. S.A. has been approved by, DNV-GL for services on board ships as
HazMat Expert Company, by Lloyd’s Register Quality Assurance (ISO 9001) for
identification, sampling, reporting and preparation of Inventory of Hazardous Materials on board
vessels, by BV & Lloyd’s Register as approved Service Supplier for the preparation of I.H.M.s and
approved external specialist by ABS as regards IHM services.
Also we are certified for the preparation of IHMs on vessels according to: ISO 14001, OHSAS 18001,
ISO 16304 & SA 8000.
Furthermore, we have DNV-GL trained and certified engineers as Hazardous Materials Experts who
have already a lot of experience in making Inventories of Hazardous Materials.

1. Collection of information
Collection of relevant information from the Ship-owner (documentation, plans, manuals, etc.),
shipyard, manufacturers, etc.

2. Assessment of collected information


The information collected in previous step should be assessed. The assessment should cover all
materials listed in Table A of Appendix 1 of MEPC.269(68) (and/or Annex I of EU Regulation
1257/2013, 1 additional material compare to MEPC.269(68)). Materials listed in Table B of Appendix 1
of MEPC.269(68) (and/or Annex II of EU Regulation 1257/2013, 1 additional material compare to
MEPC.269(68)) should be listed as far as practicable.
The results of the assessment should be reflected in the visual/sampling check plan (next step).

3. Preparation of Visual/Sampling Check Plan


A plan is prepared so every item (equipment, system and /or area) of the previous step to be checked
visual or by sampling depending its classification (“contained”, “not contained”, “unknown” etc.) in step
2.
Visual/sampling checkpoints should be all points where:
- The presence of materials to be considered for the Inventory Part I as listed in appendix 1 is likely.
- The documentation is not specific, or
- Materials of uncertain composition were used.

Note: Minimum preparation time for Visual & Sampling Check Plan is 3-5 days after receipt of relevant
documentation (drawings, manuals, etc)

4. Sending Visual/Sampling Check Plan to the Classification for approval if required.

5. Approval /amendment of Visual/Sampling Check Plan (VSCP) by Classification if needed.

6. Onboard Visual/Sampling Check


It is conducted according to the approved VSCP by 1 HazMat Experts of our company. Check points
should be marked in ship’s plan.
Samples should be taken from non-eye-catching places. Non accessible areas should be classified as
PCHM (Potentially Containing Hazardous Materials).
Any equipment, system and /or area classed as PCHM may be investigated or subjected to a
sampling check at the request of the shipowner during a later survey (e.g. during repair, refit or
conversion).
Results should be recorded in the prepared VSCP.
Time estimation for on-board Visual / Sampling Check is 2-3 days.

7. Preparation of IHM Part I and related documentation
When the analysis of all samples is completed and all the items containing hazardous materials are
identified through the check, approximate quantities of them should be estimated and relevant report
and IHM to be prepared. Preparation time 4-5 weeks.

8. Delivery of IHM Part I


After the preparation of the IHM Part I, it is checked and certified by the Classification in order to be
delivered to the owner. Please keep in mind that the charge from classification for its participation and
approval is not included in this quotation.

Samples’ Analysis
In addition, we have established, on a constant base, cooperation with accredited laboratories with
ISO 17025 for the analysis of asbestos and other hazardous materials.

All the above parameters ensure a professional work based on continues and contemporary training
and a great experience in marine business.

Financial offer

For the above-mentioned scope of services, we are offering our price as per below table (traveling and
accommodation of our HazMat Experts not included, delay time to be charged at Eur 500/day).

Hazmat expert to be dispatched from Greece or China.

Payment terms: 30 days credit, upon delivering the IHM Report Part I
