Manage operational plan

Scripts

3. Role play a telephone call with a colleague in which you give directions for the
implementation of an operational plan. Video record the role-play and submit to the
trainer/assessor for review.

John: Hello Thaynara how are you?

Thaynara: Hi John, I'm fine and you?

John: I am fine too. I'm calling you to see if you could help me with how to make an
operational plan for a project I'm participating in, I hear you have experience with this sort of
thing.

Thaynara: I can help you yes John, what stage of the operational plan are you in?

John: I'm starting now, I actually have no idea how to get started, I wonder if you could help
me with the basics.

Thaynara: Okay John, I'll do my best to help you with the basics over the phone myself. The
first thing you should do in an operational plan is to define what objective it will aim at, this
will serve as a guide for everything else you will do.

John: Got it... I think I know this part more or less, but then what?

Thaynara: Then you will need to develop a strategic plan for how to achieve this result using
the methods known to the team. To do this most effectively you will need to check the leading
indicators to reach your goal.

John: Would that be something like tools to achieve the KPIs we stipulated in the strategic
plan?

Thaynara: That's right, this is the way. Another essential thing when carrying out an
operational plan is communication with stakeholders, after all, it's no use making a perfect
plan if no one understands your point of view.

John: Got it, thanks Thaynara, I think I can start the plan now, thanks to you.

Thaynara: You're welcome John, anything can count on me.

5. Role-play a discussion in which you act as the manager and another individual acts as
an employee and have a discussion about the relocation of Digitise. Video record the
role-play and submit to the trainer/assessor for review.

Thaynara: Good morning Richard, I'm glad you came to the meeting, even though it was
scheduled at the last minute.

Richard: Okay Thaynara, as it was a last minute meeting it must be about some important
matter.

Thaynara: It really is Richard. I'm concerned about some comments I'm hearing about you
about your stance with the changes we'll be making in the coming months. You are a very
important employee of the company and would like to hear your honest opinion on the
matter.

Richard: Glad to hear that Thaynara. I am really concerned about the direction the company is
taking, the investment in the new location will be very large, as disclosed in the memo, I am
concerned about the future of the company and whether this investment will pay off, after all I
am part of the company.

Thaynara: Got it, I'll try to reassure you then. As disclosed in that same memo, our company is
growing very fast as a result of the good work done by everyone, especially the marketing
people.

Richard: I even heard that we had increased our revenue, but was it really that big?

Thaynara: I know the memo was a little vague in this regard, but it's because the fiscal year is
not over yet and we didn't want to give incomplete data, but I can assure you that with our
current performance, we can afford the investment without major risks. Even the projection
for the future is great!

Richard: It's good to hear that, but I confess that I'll only be calmer after seeing a full report.
That's not possible?

Thaynara: I'm actually hearing rumours of concern from several people. I'm going to talk to the
finance team so they can make a partial report before the end of the fiscal year.

Richard: Thanks Thaynara, I'll be calmer after that.

Thaynara: Whenever you have such concerns, you can contact me and I will do my best to
make my team feel confident about the decisions we make at work.
7. Role-play consulting a health and safety specialist about changes to organisation
policy. Video record the role-play and submit to the trainer/assessor for review.

In this roleplay Thaynara is a manager of a company and Gina is an expert health and
safety consultant

Thaynara: Good morning Gina, I'm happy to be able to see me today.

Gina: Pleasure is my Thaynara, how can I help you?

Thaynara: As I explained to you in the email, our company will be It is undergoing several
changes, including personnel and location, and to reflect these changes we have changed our
WHS policies. I would like your opinion about the new policies and some advice that might be
useful for the company.

Gina: I understand, I received your email and read the general WHS guidelines for the
company you work for.

Thaynara: And what is your opinion about the new regulation?

Gina: Firstly, it's a huge improvement over the old one, which wasn't clear and descriptive
enough. But the new one may still have some improvements.

Thaynara: Good to hear that at least it's an improvement over the old one. What could we
improve on the new one?

Gina: The first change that caught my attention was regarding the emergency evacuation
procedure. It seems very vague and not very descriptive, I believe that many people would be
confused by it which could lead to a disaster in the case of a fire, for example.

Thaynara: Really, I think the team that did this procedure didn't have much knowledge of what
the place we're going to move would be like before doing it, I'll let the people in charge know
about it. Since we're here, I'd like to ask you a question, Gina. In your experience, are workers
resistant to new approved WHS practices?

Gina: I deal with this a lot in companies with people who have worked together for a long time.
Is this the case for your company?

Thaynara: Exactly. I feel that employees are already used to doing things their way and don't
take the new rules very well. What do you suggest to get around this?

Gina: I've dealt with this a lot. The first step is to show the team how following these standards
is important, in an efficient way. I recommend intensive, immersive training with all employees
so they see firsthand the information they need.

Thaynara: I was thinking of doing a training like that. Could you apply it?

Gina: The theoretical part yes, but the training I have in mind has a theoretical and a practical
part. For the practical part I can recommend a co-worker of mine who is extremely capable for
the job.
Thaynara: I will consult with the other managers to arrange everything then. Besides that, we
have a second problem, which is the new building itself. Its space and infrastructure is
sensational, everything we need, but it's a rather old building, I think we'll need to make some
modifications to bring it in line with current WHS standards.

Gina: This is very important too, but we can use this in the training itself. I recommend that
you adapt the new building beforehand and we use these changes in practical training, my
colleague has already done this several times.

Thaynara: It really is a very good idea Gina, thank you very much. I will talk to the other
managers and get back with the answer as soon as possible, can you give me the contact of
this colleague of yours?

Gina: But of course Thaynara, here it is. I'll be waiting for your contact.
