Vac-Status Team Member QA FINAL 1-20-22
Vac-Status Team Member QA FINAL 1-20-22
Why are most Ford U.S. salaried employees being required to be vaccinated?
The science and data tell us the vaccines offer critical protection against COVID-19 and its variants and
keep our global team safe. Ford has made the decision to require vaccination for almost all of our salaried
employees, to ensure the safety of all employees, our customers and our communities.
Why is the timing of the vaccination requirement being extended to January 28, 2022?
The timing is being extended to ensure all employees who are not vaccinated or have not submitted an
accommodation request are able to speak to a member of HR before any decisions are made about unpaid
leave.
I have no intention of being vaccinated or am not able to be vaccinated. What are my options?
We take employees’ jobs, as well as health and safety, seriously. We understand there are many individual
circumstances and want to help employees work through them. If salaried employees are making a good
faith effort to comply, but they have extenuating circumstances that may prevent them from being fully
vaccinated by the deadline, we will work with them. The goal is to achieve highest possible vaccination
rate without severe consequences to any employee. At this time, salaried employees who refuse to get
vaccinated and do not have an approved medical or religious accommodation could be put on unpaid
leave. This includes up to 30 days of job protection. The maximum duration of the unpaid leave is
undetermined at this time; however, return to work will be contingent on either being fully vaccinated or
having an approved religious or medical accommodation.
How would my medical and other benefits be affected if I am placed on unpaid leave?
Ford employees may review the impacts of unpaid leaves of absence here; when reviewing this document,
please note that unpaid personal leaves of absence are not protected under the FMLA.
I see in the news that the OSHA ETS has been struck down by the Supreme Court. What does that mean
for Ford?
The Company is still proceeding with its vaccination requirement. Although the OSHA ETS was aligned to
the values of the Company on this subject, it was not the basis of the Company’s mandate. In principle, the
Company believes in actions that ensure the safety of its employees, customers and communities; the
vaccine has been proven to be the best defense against severe coronavirus illness.

Which Ford employees are now being required to have received their final dose of an initial COVID-19
vaccination series by January 28, 2022?
Salaried, non-represented employees at all U.S. locations, including remote workers (with the exception of
site-dependent employees of manufacturing plant facilities, parts depots and all Ford Motor Credit
employees), are now being required to receive their final dose of an initial vaccination series by January
28, 2022.
Why are current employees at manufacturing facilities, parts depots, and Ford Motor Credit not yet
required to receive their final dose of an initial COVID-19 vaccination series by January 28, 2022?
A cross-functional team is currently reviewing these details and will provide more information in the near
future. Given requirements specific to the hourly workforce, it is important to understand implementation
for all segments of the workforce before proceeding with the salaried workforce; particularly, within plants
and depots.
I am in (or will soon begin) the process of getting vaccinated, but will not have received my final dose of
an initial COVID-19 vaccination series by January 28, 2022. What will happen to me? Will you
immediately put me on unpaid leave of absence?
Employees in this situation are being individually contacted by Human Resources staff to obtain
information about their status and intentions. Due consideration will be made for all those who are making
a good faith effort to complete the process by the deadline. Remember to update your status in the
vaccination reporting portal as soon as you are considered “fully vaccinated”.
Can U.S. employers legally require their employees to get vaccinated against COVID-19?
Yes. The U.S. Equal Employment Opportunity Commission allows employers to mandate vaccinations for
employees, to protect the safety and well-being of the workforce. However, the Company will also
continue to monitor and be compliant with all State and local requirements that either prohibit or
otherwise restrict the Company’s mandate.

Should I update the vaccination.ford.com portal with my booster shot information?
Yes, when you receive your booster dose, you should upload that information and the documentation to
the portal.
Are agency and purchased service resources now being required to be vaccinated?
All new agency resources (regardless of U.S. work location) are required to have been vaccinated, or to
have an approved accommodation on file with their employer by February 9, 2022, prior to starting their
assignment at Ford. All current agency resources (excluding Ford Motor Credit, depots, or manufacturing
plants) are also required to be vaccinated or have an approved accommodation by February 9, 2022. We
will be communicating vaccination requirements to purchased service suppliers in the coming weeks.
Will all salaried new hires be required to be vaccinated, regardless of work location?
Yes.
I’m normally assigned to work remotely but will be going on-site to a plant for a few weeks. Am I
required to be fully vaccinated?
Yes. The vaccination requirement is based on your normal assigned work location.
What is the deadline for submitting an accommodation request and when will I be notified if it’s been
approved?
Accommodation requests can be submitted at any time using the forms and instructions available here
Life@FORD : Knowledge Base - Article Details (lifeatford.com). . By submitting your accommodation
request, you have completed everything that is required of you at this time. This means you
are not required to meet the deadline for a final vaccine dose by January 28, 2022.
What if my accommodation request is denied and I do not have enough time to meet the January 28
vaccination deadline?
Reasonable considerations will be made for all who demonstrate a good-faith effort to comply with the
vaccination requirement but are unable to do so for reasons beyond their control, such as waiting on the
determination of an accommodation request. This may include, but is not limited to, continued adherence
to existing safety protocols until compliance is achieved. Such determination will be made on a case-by-
case basis.

How and When to Report
Why is Ford requiring U.S. employees, agency resources and purchased service resources to report their
vaccination status? How will the data be used?
Employee vaccination data will aid our efforts to assess the overall vaccination level of our employee
population in order to determine appropriate measures to support employee safety.
Can I just show my proof of vaccination status instead of uploading it to the portal?
No. The size of the workforce is too large and the timeline is too short for the Company to manage
multiple processes. The portal has been set up to expedite the process.
Will Ford accept proof of COVID-19 antibodies (due to prior infection) as proof of vaccination in the
vaccination reporting portal?
No.
How should I report my current vaccination status if I’ve only had one of the two required doses?
Reporting of progress towards vaccination is not required. If you are partially vaccinated right now (you
have only received one dose of a two-dose regimen, or you have received both doses, but it has been
less than 14 days since your last dose), you should answer “No” to the question “Are you fully vaccinated?”
and retain the confirmation email you receive. After it has been 14 days since your last dose, you should
click “edit” in your confirmation email to return to the online portal, change your response, and add your
vaccination details. You may be contacted by a member of the HR team to confirm status. You can use this
opportunity to share your progress towards becoming fully vaccinated as well as the expected date for
being fully vaccinated.
Can I change my status in the portal if I get vaccinated after the reporting due date?
Yes, if your vaccination status changes, you can return to the online portal to update your information.
How should I answer the “Are you fully vaccinated” question in the portal if I am considered fully
vaccinated in my home country (outside the U.S.)?
Answer “Yes” to the question on the vaccination reporting portal and report your specific manufacturers
and dates of vaccination as you received them. You will be contacted if additional information is required.
I am a U.S. agency or purchased service team member and the vaccination reporting portal did not ask
for details of my vaccination; it only asked “yes” or “no”. Is that correct?
Yes. The vaccination status reporting portal does not request or collect vaccination details, such as dates
of vaccination or images of the vaccination card, from agency or purchased service resources.
Vaccination details for agency and purchased service team members are managed by their employers.
I was an agency resource, but now have converted to Ford full time. I already reported my status in the
vaccination portal as an agency resource. Do I have to report my status again?
Yes; you will need to access the vaccination.ford.com portal and indicate that you are a salaried employee,
so that you can provide the additional details (vaccine dates and manufacturers, and an image of your
vaccination card) requested of Ford employees.
I was vaccinated, but do not have my proof of vaccination. What should I do?
Contact your vaccine provider for a replacement card. In some locations, state or local authorities may also
have record of your vaccination and can reissue a card to you. You should still submit your vaccination
status through the portal; on the screen where it asks you to upload your card, click the
“click here” link to access an attestation screen. You will need to return to the portal and upload the proof
of vaccination when you receive it.
What should I do if I get the message "SecurID locked" when trying to report my status in the portal?
Contact the IT Help Desk.
Do I still need to report my vaccination status in the portal if I submitted (or intend to submit) an
accommodation request for exemption from any potential vaccination requirement?
Yes.
Does the vaccine reporting requirement apply to Ford's U.S. hourly workforce? If not, will the
requirement be expanded to include them?
U.S. hourly employees' conditions of employment are governed by collective bargaining agreements. At
this time, hourly employees are not required to report their vaccination status. The application of this
requirement to these populations is currently being reviewed and discussed with union leadership. We
strongly encourage all employees to report their status. Understanding the current vaccination status of
our entire population allows our medical team to assess safety protocols for locations.
Do I still need to report my vaccination status in the vaccination reporting portal if my employment will
soon be ending (e.g. retiring, voluntarily resigning, etc.)?
Yes, you are still required to report your status. The Company is conducting the data collection to help
inform our COVID strategy. Since your employment status is active, you are included in the data set being
used for this analysis.

Do I need to report my vaccination status if I am a Canadian commuter or ISE who works in the U.S.?
Yes.

authorized Human Resource personnel will have access to individual team members’ vaccination status.

Isn’t this an invasion of my privacy for the Company to collect this information?

assess the overall vaccination level of our team, in order to determine appropriate measures to support
employee safety. Team members’ personal information will be stored and used in accordance with our
Coronavirus Response Personnel Privacy Policy.
Doesn’t this request violate HIPAA?
No. Employers are not considered “covered entities” under the Health Information Portability and
Accountability Act (HIPAA). Click here to read related information on HIPAA from the U.S. Department of
Health and Human Services.
What other information can we expect the Company to request in the future?
At this time, no additional information is being collected. Ford is committed to complying with all federal,
state and local requirements. You will be notified if additional information must be collected to comply
with future requirements. We strongly encourage all employees to report their status.
Understanding the current vaccination status of our entire population allows our medical team to assess
safety protocols for locations.
