TOPIC 2:

2.1 Why should you ensure that change and improvement processes meet
sustainability requirements?
Because business sustainability requires continuous improvement. A
sustainable firm has appropriate strategies in place and engages in continuous
improvement initiatives to guarantee that lucrative business activity can be sustained
in the future. People attain sustainability when they comprehend the economic,
environmental, and social repercussions of their activities and make purposeful
decisions that allow everyone to live a healthy, productive, and pleasurable life.
When properly managed, sustainable change may help a company go from
conscious "change initiatives" to the formation of a new, accepted "business
method," as well as build continual improvements that most people have given up as
academic dreams.

2.2 Organizations should value the insights and experiences gained through
their business activities and capture them using a knowledge management
system. This means that information captured in a system should be in a
format that is easily searched and results retrieved. Describe the following
features of a knowledge management system:

A. Best practice transfer.

The process of exchanging best practices is known as best practice transfer.
Businesses that provide the best outcomes Processes, techniques, and strategies
that have been developed and polished to the point that they can be adopted by
others are included. The process of infusing the expertise of some into the work of
many might be thought of as best practice transfer.

B. A community of practice.
A community of practice is a group of individuals who share a shared work
practice over an extended period of time. A community of practice is not an
organized team, but it does break down conventional barriers to knowledge
acquisition.

C. Expert directories.
Expert directories provide a way for those looking for information to find it.
experts. An Internet search engine can help you find experts, but
Organizations expert directory helps users to find experts who have previously
worked for the organization and are thus familiar with how it operates. Many
businesses have experts on retainer, such as legal or financial, who are the experts
of choice and may be easily discovered via an expert directory.

D. Knowledge brokers.
Knowledge brokers play an important role in connecting people and building
partnerships to meet their customers' innovation demands. A knowledge broker is
distinguished from consultancies, government agencies, and corporate intelligence
businesses by this. They act as catalysts, speeding up the process of combining
complementary knowledge and talents to address innovative issues. Knowledge
brokers can be public or scientific, industry specific, or firm specific.

E. Post project reviews.

Debriefings on lessons learned or post-project evaluations can take place at
any time. At the end of a project or endeavor, or at key stages or milestones along
the way. They determine what went well and what may be improved for the next time.
Knowledge from one project can be shared with participants in other projects,
allowing for cross-project learning.
F. Actively manage knowledge.
A key strategy for knowledge management is actively managing
knowledge, also known as a push strategy. Employees enter their expertise into a
database or other common knowledge repository. Employees looking for information
can use the database. The utilization of specialists on an as-needed basis, or a pull
approach, is the polar opposite. The specialist offers advice to those seeking
knowledge.

2.3 How can coaching or mentoring processes help teams and individuals
participate in continuous improvement processes?
Mentoring is the process of a more experienced individual, generally a
colleague, advising and leading a less experienced (and usually younger) person.
Mentoring is a less formal sort of training that is used to assist someone with promise.
The coach or mentor can help people become more focused on the subject at hand
and encourage them to visit the actual problem location to understand more about
what's going on. This makes it much more precise, much more focused, and greatly
enhances the likelihood of long-term improvements. Coaching or mentoring is a
technique for ensuring that systems and processes are in place to track operational
progress and create strategies for improving planning and operations. Finally, it
monitors the opportunities for further
improvement.
Question 2.4
When evaluating ways in which planning, and operations could be improved
list six key factors that should be considered.
 Why is it necessary to measure it
 What should be measured
 How the data will be utilized
 How can this be documented
 How data can be gathered
 Who is capable of gathering information

Question 2.5
A). When recommending proposed changes, list at least six processes that
you can focus on to make changes occur more easily.
 Choose activities that will protect whatever progressive improvement you make,
allowing it would last.
 Determine the strength of the forces that are preventing you from moving to the
desired condition. Attempting to move the Rock of Gibraltar would be fruitless;
instead, climb over it, tunnel through it, or walk around it. Create adaptable
techniques to overcome immovable impediments and variable circumstances.
 Choose activities that will either help you get closer to your goal or help you
overcome hurdles or resisting forces.
 Prioritizing actions so that those that are interdependent are performed in a
logical order
 Sequence the activities so that you begin with the ones where you can see
immediate results.
 Concentrate on a small number of key actions that will move the current state
closer to the desired one.
B). How can an organisation’s continuous improvement processes be
communicated to stakeholders and how can individuals and teams be
encouraged and supported to embrace it?

 Organizations with effective internal communication processes are better able to

foster a change-tolerant culture. Individuals with more knowledge are more likely
to actively contribute to the improvement of tasks. Task delegation may help to
keep people engaged, provide mentorship and coaching, applaud, involve, and
honor them. High-performing organizations concentrate their vision, processes,
and outcomes on establishing long-term relationships with stakeholders, as well
as developing an integrated value, process, and performance measurement
system that recognizes effective communication as a key to organizational
success.
