ABSTRACT
The report contains details of Declaration, Dedication, Approval, Acknowledgement, Table of
contents and five chapters as shown below. In chapter one, contains a brief introduction
highlighting what chapter captures, Organization’s background, organization chart.

This report provides details of all activities undertaken during my internship training. It’s clearly
indicates all the assignments and activities undertaken during my internship training in the field
of accounting. It comprises lessons learnt during my internship training, the skills gained while
carrying out particular activities and the skills gained during the internship and also provides
the details of the challenges and limitations encountered during my internship training.

Lastly this chapter provides a summary of the recommendations and conclusion.

The internship report on field attachment which is mandatory for the university wide range for exercises for
all students in the third year undergoing bachelor degree of development studies was carried out at the
international committee of the red cross in South Sudan .the purpose of this field attachment was to help
me as student perusing a bachelor degree of development studies at KAMPALA UNIVERSITY to gain
practical experience in relevance in the theory studied at the university.
In due course of the training, I utilized different methodologies of information collection and gathering. In
accordance with various technique they include observation, review of literature, consultations, self-
discovery by physically involving myself different activities are carried out among other distribution of seeds
and tools in the field for one month in Tonj North in Warrap state carrying out distribution of essential
household items (EHI) and giving them advice about the importance of treated seeds are for planting but
not consumption
In trying to affect this activities I faced numbers of challenges which among them include registration and
verification of beneficiaries, unfordable weather condition and hostility of some communities with inter
communal violent OD subnational conflict among the communities.
Therefore, conclusions and recommendations were devised correctly the above challenges

CHAPTER ONE

ORGANIZATION BACKGROUND

1.2.0 INTRODUCTION
Agenda for Relief and Development Initiative-South Sudan (ARDI-SS) is a
leading national non-governmental organization founded as a nonprofit making
Humanitarian Organization responding to rural societies issues in South
Sudan because human and societal development can only be achieved through
collective participation of the state and its citizens through partnership at local,
national and international level hence the birth of Agenda for Relief and
Development Initiative-South Sudan (ARDI-SS).We work alongside together
with government and other developmental partners to build local capacities
and resilience to factor that exacerbates human suffering which is the greatest
enemy of development. Agenda for Relief and Development Initiative-South
Sudan (ARDI-SS) ‘S registered with the Relief and Rehabilitation Commission
with Reg. No :( 4780). It was founded by youths since 2021 and establish on
28TH- of March 2023. Its headquarter is in Thongpiny-Juba, South Sudan and
Field Offices in the Six states of Northern Bahr el Ghazal-Aweil, Warrap -
Kuajok, Western Bahr el Ghazal-Wau, Lakes – Rumbek and Jonglei-Bor.
1.2.1 Background of the organization

Agenda for Relief and Development Initiative-South Sudan (ARDI-SS)’s aims to
deliver effective relief and development programmes, our work focus on a
Strategy that will promote the development of sustainable Livelihoods, Health,
Education, water and sanitation, Child Protection/GBV and a more effective
in an interventions such as resilience programmes for Children and their
parents, recovery and capacity building services to the affected communities on
the identified gaps that undermines human development and reduces the

vulnerability of children and women. Agenda for Relief and Development
Initiative-South Sudan (ARDI-SS) will work to strengthen emergency
preparedness and response capacity.
The Agenda for Relief and Development Initiative-South Sudan is dedicated to
work with children, women, their families in the communities to help achieve
quality life with full potential through addressing impacts of natural and
manmade shocks. To ensure that the acute needs of disadvantaged children
and women are timely met in a need based and sustainable manner regardless
of race, religion and ethnicity.
so, the young and vulnerable people will rise up and take the fore front step
into a hope-filled future which shall positively impact their lives in their
respective communities through provision of equitable and access to
Healthcare, Education, social protection, sustainable livelihoods as well as
other interventions such as resilience programmes for Children and their
parents, recovery and capacity building services to the affected communities on
the identified gaps that undermines human development and reduces the
vulnerability of children and women in the rural communities..
1.2.2 Mission statement
Reaching out with quality, affordable just and equitable socioeconomic
development Services to the vulnerable populations in the society
1.2.3 Vision statement
To totally overturn the lives of the poor and vulnerable individuals
affected by misfortunes, and life threatening disasters to a better
life
1.2.4 What the organization does
A. To alleviate human suffering through quality education, clean water and a
society free of Gender based violence and respect for human rights.
B. Increased access to Basic Healthcare Services and other essential lifesaving
services.
C. Contribute to the reduction of maternal and child mortality.
D. Seeing to it that young and vulnerable people from undeserved
backgrounds become successful entrepreneurs by building sustainable
social enterprises and opportunities that creates employment and
entrepreneurial space for support of livelihood into their respective
communities.
E. To increase the resilience of vulnerable communities to observe and predict
impacts of climate change through a series of complementary interventions
that will produce and disseminate knowledge on climate change and
adaptation to inform evidence-based decision-making in relevant sectors of
development.
F. To alleviate Inter-common-ed disputes through alternate dispute
resolutions mechanisms, and Peace Building Inclusive education promotion

programs for all to ensure increase in peace awareness and inter communal
integration.
G. To improve Food Security, promote Livelihood/Nutrition and rural
development for the Youth and women through empowerment to ensure
self-reliance in reduction of dependency ratios.
H. Support universal education for all which to increase literacy levels in the
country.

1.2.7 Organizational practices
During the course of duties, employees may become acquainted with
facts and information concerning the organization’s business. All such
information and facts are to be treated as confidential and will not at any
time, be disclosed (except in so far as may be proper in the ordinary
course of business). A breach of confidentiality will result in disciplinary
action.

All employees are expected to arrive on time that is from 8:00 am and leave at 5:00pm,
with a one hour break for lunch from 1.00 p.m. - 2.00 p.m. The normal
working week is Monday through Friday for a total of 40 hours with the
exception of public holidays and day offs.

CHAPTER TWO:

ACTIVITIES UNDERTAKEN

2.0 Introduction
This chapter contains detailed information of the student’s experience that includes the
title or position occupied in the organization, duties and responsibilities, activities
handled during the internship period, supervision levels and relationship with the
supervisor, work team and its composition, working relations among team members and
authority levels to the student.
My Regular duties and responsibilities for finance department include generating and
analyzing reports, taking notes during meetings, preparing statements, Cash count,
entering data into the financial system of the organization, checking all Budget codes,
developing and utilizing spreadsheets and other computer applications, and assisting
with audits
My Office Intern also I was responsible for assisting the staff with general office duties

including, but not limited to, research, data entry, filing and general coordination. Assist
in managing the flow of paperwork, following up accountabilities, Assist and facilitate
staff as necessary - whenever and however needed.

 Fulfilling tasks assigned by a supervisor.


 Performing clerical duties.
 Managing organization books of accounts.
 Event handling or planning.
 Job shadowing.
 Learning technical skills related to the organization.

The relationship I have with my supervisors?


It's in a supervisor's best interest to develop a good, friendly rapport with each person
who reports to him or her, but it's also important to stay focused on the job. My
supervisors always very open to me in lines of communication and are able to boost
morale among the team without losing sight of work priorities.

2.1 Title.
She was placed under procurement department.
2.2 Duties and Responsibilities
 I Participant in implementation of effective financial management system and
control procedures by ensuring proper accounting records and payment vouchers.
 Maintaining and securing adequate petty cash book and writing of payment
vouchers and collating, retaining all accountabilities documentation.
 Liaise with APM to ensure expenditures are incurred according to the budget
 Proper expenditure description has put responding to the approve Budget
 Right account code & funding codes recorded
 Liaise with PM on cost analysis and timely cash projection request.
 File requisition went it recorded and photo copies the vouchers
 File documents in their sequential numbers
 Daily update of the cashbooks
 Liaise with PM on timely Staff float liquidation.
 Reconcile month end report
 Reminding Deadline 26th of every month to Liaise with PM on timely preparation &
submission
 Liaise with PM to ensure right projection amount is requested
 Liaise with PM to ensure grand is requested according to monthly activity plan
 Monitor cash balances & make requisition when its below 15,000 SSP as cash at hand

2.2.1 Activities handled during the internship period.
Orientation. The first day which was Monday 29th- May 2023, the organization
supervisor oriented me on how the organization operates its rules and regulation, the
dressing codes at the workplace, the code of conduct with the fellow employees at
work, mission of the company and its background.

Also introduce to me the five principles namely: consistency, timeliness, justification, documentation, and
certification.
I assist the contracts. When I was at the company I was involved in contract
assessment of SPOC ltd, these contracts were brought by the stakeholders of the
company.
Involved in purchasing. This is a section which involve monitoring files up during
auditing with head section of contract section. This was done through the help my
company supervisor who always check whatever has been done.
Printing and copying. I involved in printing of the documents in the company like,
inquiries, receipts, purchase order forms and many others. These forms were filed after.
Scanning documents. The intern scanned documents then after sends them to the
given emails. These documents were scanned using a scanner.
Taking documents to the respective departments. An intern assisted in always
taking documents for filing and stamping.
Engaged in RFI(Request For Information). This was done through sending request to
those that may want to register their companies.
Drafting a requisition form. This is a form done by internal employees. asking for the
purchase of needed items. As some procurement personnel I designed it following the
guidelines and requested my bosses to purchase some items
Reviewing of proposed budget. This is where the procurement department worked
together with the accounts department in reviewing proposed budgets prepared by the
procurement office on the items to be procured and the total expenses that the budget
will take.
Engaged in preparing an Inquiry letter. The interne was given a task to make an
inquiry letter for the items to be purchased from the companies listed by the company.

CHAPTER THREE:

LESSONS, EXPERIENCE AND SKILLS

3.0 Lessons Learnt.


 Processing the RFI; whereby I was able to formulate her own information and CV to the
best of her knowledge and skills.

 Recording equipment of the company and making recommendations; the intern learnt
on how they record company equipment since it’s necessary and important in an
organisation

 The intern gained knowledge on the duties and responsibilities. The intern learnt the
duties and responsibilities of an accountant and finance manager and also considering
the necessary skills and competences that are required to be a good accountant.

 Handling Interviews. During the exercise, the interns were trained on how to present in
office interviews and how to manage them effectively. That’s talking in front of people
and how to present before your seniors in terms of management.

 Making of a purchase order; I was able to gain knowledge on how to formulate a


purchase order all the suppliers to be contacted within the organization.

 Office management, I learnt on how to do office management of how to manage the


office like understanding the value of work, recording office, documents, recording
office equipment, time management, office communication, recording daily activities
and lastly the office discipline.

 Computer knowledge: I gained computer knowledge on many different programs for
example Microsoft word, Excel and learnt many more computer skills and how to use it
in computing given activities.
 Counter productive work behavior, I learnt on how to counter productive work
behavior their examples, the causes and the effects and then how to stop the
counterproductive work behaviors from happening in the society. I learnt about the bad
behaviors that are common within the organization for example stealing, misuse of
company resources, indecent dressing among others.
 Making the budget. I was able to learn on how to design and formulate given accounts
that are of importance within an organization and the day to day life.
 Time management; Time keeping was of paramount importance as this would help
finish the assigned work in time because there was no departing unless the assignment
was completed.
 Knowledge on the tips on how to manage money; I was able to get the tips on how to
handle money for example how you know that you are in financial trouble and also
working towards acquiring assets that put more money in your pocket once you achieve
this, you can support your lifestyles.

3.1 Experience
 She got experience in computing procurement cycle and accounting expenses
 I got experience in working with people of different nationality since the company had
interns like Somalis, Rwandese, Congolese, Nigerians, south Sudanese and north
Sudanese.
 Public speaking; the internee got experience in speaking publically to a number of
people through arguments and presentations within the organization.
 What real work is; the internee was able to get hands on what real work is since she
handled real practical work for example formulating petty cash book for JCL
 She got experience in handling and relating with different people, who are rude, short
tempered, envy and jealousy.

 Hardworking; the internee got experience in working hard according to the tasks and
activities given to her which needed a lot of energy and commitment to easily
accomplished.

3.2 Skills gained


 Interpersonal and management skills; I was able to gain interpersonal skills through
communicating and interacting with other interns since the company policy is to work in
teams and also provide feedback.
 Procurement skills. the intern gained procurement skills at the company, these skills
helped her to manage a lot of work.
 Presentation skills; I got more skills on how to present because she went through
different presentations for example through practical oral interviews, meeting
presentations, business plan presentations among others.
 Listening skills, I was able to learn how to carefully listen to individuals while they talk
and this helped her to learn how to properly analyze the important information from
what someone is talking.
 Business skills, I was able to gain more skills on business mind whereby she got the
factors needed for a successful business, the barriers and how to stay in business.
 Coordination and conflict management skills; the capacity to organize one’s work and
to link with the overall work flow. I learnt that coordination skills are very important for
the success of a business department; all the bits and pieces of work carried out by
different user departments are related.
 Organization and Planning skills; the intern learnt that for there to be efficiency and
effectiveness within an organization planning is the most vital factor to be considered in
the organization as a whole.
 Communication skills; During the training, I interacted with many other colleagues who
made interaction very easy and also have the internee more skills on how to inter-relate
with other people within the organization.

 Decision making skills; During the exercise, I was trained on how to come up with a wise
investment decision, managing your personal finances on top of putting the investment
decision into a plan.
 Collaboration skills; I acquired collaboration skills through working in teams since she
used to share ideas with other interns and also solve different problems together hence
good working environment.
 Computer skills; Typing, printing and photocopying helped me to improve on my
computer skills and hence improving on my typing speed and also easy access to some
networks and gain skills on printing given documents and files needed.

CHAPTER FOUR

CHALLENGES

4.0 Introduction
This chapter basically consists of the challenges, limitations issues and the analysis I
went through during the internship training
4.1 challenges faced by me while at the internship work place
 Inadequate staff: since the workers where few some could get heavy work load as they
could not find anyone else to do that activity
 Weak students could not have grasped things very easily and they needed more time
explaining.
 Limited computers which caused the us to share the same computers with the workers
forcing us to link the office work.
 Lack of transport funds. This was a major problem to me since i had to fund myself and
the distance was so long yet i had to train every day.
 I got a challenge of grasping the all session since the program was limited to two
monthly only making me not to be equipped with everything i needed to know during
the internship program.
 Limited space in that the office has limited space to accommodate all of us and the
workers themselves.

CONCLUSIONS AND RECOMMENDATIONS

5.0 Conclusions and Recommendations


This chapter consists of the conclusions and recommendations to the university,
Ministry and students to strengthen the internship program.
5.1 Recommendations
This part comprises of my recommendations to the organization, to the university and to
students in order to strengthen the internship training.
5.1.1 To the University
The university school should continue with this program because it is very important for
every student to graduate with practical skills and knowledge.
The school also needs to allocate more time for internship to enable students to have
exposure for two months are not enough to practice everything. I recommend the
institute to schedule internship program at least twice before graduation.
The school should provide internship money due to high inflation in the country
everything is expensive and also students need money in order to make their work
easy.
The school should revise the provision of internship money to facilitate students during
the internship process for example transport, food, rentals among others.

5.1.2 To the Students


 I recommend my fellow students in Uganda and other institutes to endeavor and
take internship exercise very seriously to carry out and practice in order to gain more
skills and knowledge for their profession. And it is very important to embrace it since
the experience got can be significant for job opportunities after graduation.

 I recommend students to be punctual at work so as to avoid arriving late. This will help the
student in good time management skills. Time management also says a lot about an
individual’s capabilities.

 I recommend students to constantly keep in touch with their academic supervisors when
doing their training. This will help the academic supervisors easily reach form.
 I request students to respect the agency’s dress code while conducting internship. They
ought to be smart daily; this is because personal appearance says a lot about an individual’s
state of mind and organization.

5.2.1 Conclusions.
The internship exercise was successful where I engaged into various activities within
the company for example given responsibility of purchasing orders, scanning, copying,
typing among others and these are to help me exercise practically what is taught in
class and also be well phased with the necessary knowledge and skills needed for my
career development and path.
Further on, i was able to realize the importance and benefits of internship field work
which includes provision of practical job related competences
