SAP B1 – Rapidtrade Order Capturing

Introduction
Rapidtrade will be the sales tool with which orders will be captured in-trade and then automatically sent
to the SAP B1 (ERP solution) for processing and delivery.

All orders should be captured within Rapidtrade or through EDI. It is with exception that manual orders
will be captured within SAP B1 directly.

How to:
 Your username and password for Rapidtrade will be supplied with which you need to log into
Rapidtrade.
 Rapidtrade Application will be available for download unto your hand-held device, from the
Google Play store.
 For office use, you can use the URL below in your Google Chrome web browser. Details as per
below:

 Any queries or support regarding the application, can be logged by sending an email with the
details to [email protected].
When logged into your application you will now be able to log a ticket to a support consultant
from Rapidtrade directly, by using the following shortcut, within your Home screen or your “My
Profile” tab.

Navigation:
1. Once logged into the application you will be directed to the home page on which you will find
your navigational pane below:

 “My Customers” tab – to be used when placing an order for a customer


 “My Profile” tab – to be used when you want to log a support call within your
application
 “Synchronize” tab will only be used when you want to perform a sync at a specific time
or when directed to do so from a support consultant.
The application will automatically synchronize in the background every 15 minutes and
orders will synchronize immediately, permitting you have signal.
Whenever you don’t have signal, the order will be saved within the application or device
and will automatically synchronize when you have signal again.
2. By clicking the “My Customers” tab, you will be directed to the below screen:

 In the instance that you are a sales representative, you will only see the customers that
are allocated against your name within SAP B1. These will be the stores you need to
service.
 In the instance that you are tele-sales or internal sales admin, you will see all customers
within the database or that is assigned to your region.
 In both instances you will only see customers that are active within SAP B1.
 You can search for a customer within the “Search for a company” tab, in the top of your
screen.
You can type in any word or partial word, contained within the name of the customer.
Then click on Search.
All customers containing that word or partial word will then appear within your screen.
Select the customer you need to place an order for, by clicking on the customer name.

3. You will now be directed to your selected customer’s details as shown below:
 Click on the orange icon situated at the bottom right of your screen
 You will now be presented with three more icons as indicated below:

 Click on the top icon to create an order for this customer


4. Your products screen will now open as per below:

 Same as when you searched for a customer, you can now search for a product within
your “Search for products” tab at the top of your screen.
You can type in any word or partial word contained within the product description.
Click on search
All products containing that word or partial word will then appear within your screen.
5. The below screen is how you will see the products, based on the word or partial word within the
product description you have searched

 Note! product price, within this screen, will be indicated in one of two ways:
1. In the instance that this customer is linked to a cycle deal within SAP B1, this cycle
deal price will be shown and you will not be allowed to enter an additional discount
or change this discount.
2. In the instance that this customer is not linked to a cycle deal within SAP B1, the
price indicated within the above screen will be the list price less the Max discount
agreed for the price region that customer falls in.
 You can now enter your customers order quantity within the field “Qty” indicated next
to the product you want to order.
If you do not want to apply the maximum discount, in the second instance mentioned
above, you need to click on the product description instead. Product details will now
open as per below:
This screen will indicate your list price, maximum discount you are allowed to give on
this product, as well as your Nett price after this max discount is applied.
“DiscountID” will indicate “MD” for Max Discount or “CP” for any cycle deals loaded
within SAP B1.
At the bottom of the screen, you will notice a grey box showing Discount and Price.
Within the discount box you can enter any discount % lower than the indicated Max
Discount, and the price will automatically adjust accordingly.
You will not be allowed to enter a discount % higher than the indicated Max Discount.
Upon entering the lower max discount, a new field will appear in which you can now
enter the order quantity for this product, as indicated below:

Once you have entered your order quantity you can click on “OK” and you will return to
your product screen previously opened. Your ordered product will now be indicated as
per below:

 Repeat steps 4 and 5 until you have entered all products you want to order for this
customer.
 Note your order total at the bottom right of the screen.
6. When you are comfortable that all products have been ordered and that your order total is
agreed with the customer, Click on “Shopping Cart” tab within your screen
 Above screen will open and this will be your second confirmation screen that you can
ensure all products are ordered and that your order total is agreed with the customer.
7. You may now proceed by clicking on the “Checkout” button in the top right corner of your
screen. Herewith the Checkout screen:

 Enter the customer order number in the “Reference” field


 An email confirmation of the order will be sent to your email address automatically, and
you will not need to forward this to anyone within the Bevco Dispatch- or Order
departments.
Within the “Email” field you may enter for instance the customers’ email address,
should they require a confirmation of the order placed.
 Within the “RequiredByDate” field, you may enter the date on which the customer
would like to receive delivery of the goods. This field will be defaulted to two days after
the order date.
 You may add any “Comments” within the field provided.
Do not enter any additional discounts, as your order placed to SAP B1 will not
necessarily have any manual intervention before being delivered as in the past. Also
prices cannot be changed within SAP B1.
8. Once above field were entered you can click on “Save” button in the top right corner of your
screen. Your order will now be placed immediately within SAP B1, permitting you have signal on
your device.
Should your device not have sufficient network coverage, your order will be saved and sent into
SAP B1 as soon as your device has recovered network signal. No intervention required from your
side.
9. You will now be directed to the following screen, on which you can select your next task. Also
note your order reference from Rapidtrade:
