Being an Inter-Prompt Global (IPG) field engineer comes with certain responsibilities. All the respective Field Engineers (FE)
and Full Time Engineers (FTE) are requested to follow and comply with the IPG rules and guidelines.

1 Communication:
For IPG communication stands the most important aspect through that you will be known to IPG as well as the IPG clients.
FEs/ FTEs are required to complete the assigned task and report clearly and effectively through Site Visit Report (SVR).

Following points will help FE/ FTEs maintain good communications:

a. Use “Reply All” for emails, so that IPG OPS and Support teams are informed on the task progress and provide on-
site support where required

b. Keep the “Email Subject Line” same for the respective service request

c. Highlight technical issues to the relevant IPG team; so that on time senior support engineer will be engaged for
support and resolution

d. FE/ FTEs needs also to engage the IPG team only, for issues like: site access, network connectivity, system
availability, non-availability of onsite POC etc.

e. Contact only related IPG OPS/ Support person/ on duty shift officer

2 Professionalism:

a. In due compliance IPG FE/ FTEs should not get into any political or religious discussion on-site or during the
execution of assigned tasks.

b. Restrict your interaction with on-site contact POC and offshore engineers to minimum. Strictly adhere to approved
communications as per instruction from the IPG OPS/ Support teams/ client’s technical remote team.

3 AROUND THE TASK:


3.1 Preparation:
a. FE must have the “Task Details” (i.e., Scope of Work, date and address, POC details and any special instructions)
communicated by the IPG OPS

b. FEs has to share the “Acknowledgment” once task details received from IPG OPS team

c. FEs are required to take his/her “Photo ID” before appearing on-site

d. FEs are required to take the Print Out of “SVR” along with the “Task Details”

e. Immediately contact IPG Support staff in case of doubt or ambiguity on task details

f. Make sure FE know name of representative company or ask the IPG OPS team

g. Assess tool requirements with help of IPG OPS; procure/obtain relevant tools

h. Plan journey well in advance and inform assigned IPG OPS team member

i. FEs has to take required toolkit on the task day

j. FEs needs to make sure he/she fully understands any special instructions. In this case do not follow usual practices
and act according to the special instruction.

3.2 Before FE’s arrival:


a. FEs needs to be presentable; this includes proper dressed up, shaved and odor nicely etc.

b. FEs are required to inform IPG’s on duty support officer before the start of journey, so that IPG Support team can
share ETA with client accordingly.

3.3 When FE arrives on-site:


a. FEs are required to engage the IPG OPS team before arrival on site

b. In case of travelling overseas FEs are required to share their local SIM number with the IPG OPS team

c. FE needs to make themselves familiar with onsite staff (Introduce themselves *only* with the company name
advised)

d. Get connected (Wi-Fi/Mobile data, laptop charger etc.), notify IPG Support by phone in case of any connectivity
Problems

e. In case of any trouble on site FEs needs to go outside and call IPG Support team on phone/internet

f. In case FE not able to use his/her phone; request reception desk or site POC to make a call

g. FE needs to note down the hardware details (i.e., make, model and serial number) as advised, take pictures and
email as instructed

3.3.1 Do & Don’ts


a. Do not get into unnecessary discussion with onsite staff

b. Do not explain and get into argument with the onside teams and POC

c. Do not discuss any personal or IPG related issues

d. Additional tasks can only be assigned through IPG officials/ Client’s Remote Team; FEs are not authorized to
commit any additional tasks on their own

e. In case of connectivity issue prolongs, only contact the IPG Support to engage the client for facilitation

f. In case of onsite argument/dispute, FEs are required to stay calm and inform the IPG support teams for facilitation

g. FEs are required to be proactive and confident onsite and engage IPG Support team for any technical assistance

3.4 Before FE leave:


a. FE needs to make sure he/she finishes the task as per the confirmation/ consent of client’s remote team.

b. FE needs to seek approval from Client’s Remote team before leaving the site premises.

c. FE needs to inform the site POC before he leaves and duly signed the SVR by the Site POC

d. FE needs to share all the deliverables (Signed SVR, activity pictures etc.) to IPG Support before leaving the site.

4 Accounts & Finance:


a. FE required to send scan copy of all receipts and expenses to [email protected] and keep cc
[email protected] within 05 days of the task completion

b. FE needs not to disclose the compensation/ any other financials with anyone onsite or with the Support team.

5 Expense Claim:
a. In case you are eligible to claim any expense (travelling, accommodation, toolkit etc.), you must communicate the
expected expense before the task is assigned to you. You must get in writing the approval of Operations Team for
any expense claim.

b. After the completion of the task FE may submit the invoice as per the template, with following details

• Scanned copy of actual receipts

• Approval email by IPG OPS Teams

6 Payment Terms & Conditions:


All payments will be handled by IPG accounts; FE/ FTEs are required to share the payment details with IPG OPS and IPG
Accounts.

Once the invoice is received by the Accounts Department after due approvals, the payment for the task with IP Global will be
processed within 30 business days. (Excluding weekends and bank holidays)

Payments will be cleared in three batches every month; thus beneficiaries (FE/FTEs) have to wait for the nearest batch for
payment.

6.1 Payment Gateways:


Inter Prompt Global works with contractors in more than 160 countries and we are continuously looking to enhance our
collaboration, especially by making seamless payment transactions and lesser fee deductions.

Take a look into the below mentioned points:

a. All wire transactions are subjected to intermediary bank deductions, transfers going out of European Union would
incur a higher fee compared to transfer inside European Union.

b. Inter Prompt Global bears complete transactions fee inside EU but shares 50% of the transaction charges for
outgoing EU transactions. We are not liable for any hidden charges by the recipient’s local bank as it may depend
on number of intermediary banks involved in between.

c. To avoid all the hassle with banks we suggest choosing few alternatives such a transfer wise etc.

d. All Engineers having concerns with commission fees and heavy deductions can open a borderless EURO account on
Transfer Wise, it will be beneficial for future transactions and comes with almost zero fee deductions.

We have standard Payment guidelines for our engineers as below and these will be helpful for future transactions:

6.1.1 Payoneer Accounts:


We cannot pay any tech using Payoneer ID, e.g. XYZ ID 0000000, however Payoneer techs can have IBAN number for their
account, and we can only pay using a valid account number.

6.1.2 Transfer wise :

7 Undertaking:
e. During engagement with IPG, you need to comply with all applicable country, local laws, regulations, codes, rules
and any other legal mandates of any type in effect in the respective country where the services are provided,
including, but not limited to such Laws relating to export, import, re-export Laws, anticorruption and/or anti-
bribery Laws, data privacy and data security Laws.

f. You need to fully cooperate with IPG, its clients and all governmental authorities in connection with any such actual
or suspected violations

g. You will comply with the confidentiality, privacy and security obligations with respect to Personal Data of IPG and
its client/s

h. You will NOT use, possess, sell, transfer, purchase, smell of, or be under the influence of alcohol, illegal drugs, or
other intoxicants as this is prohibited at all times on client’s premises / during task execution

i. You will NOT discuss any of the payment matters with End Customer or any of the company involved in field work
with IPG and that payment matters will only be discussed with IPG relevant team person. Failing to do so or
violating this may result in NO PAYMENT, banned or penalties.

j. It is also clear that you have totally understood all clauses mentioned in the Non-Disclosure agreement and you will
at your best all the time work according to that and failing to do so will result in legal actions.

k. In order to comply with the WHO guidelines on COVID-19 spread. Wear a mask to protect yourself and others and
stop the spread of COVID-19. Stay at least 6 feet (about 2 arm lengths) from others who don’t live with you. Avoid
crowds. The more people you are in contact with, the more likely you are to be exposed to COVID-19
