9
Spreadsheets

Definition of spreadsheets
A spreadsheet is a table, grid or matrix of data that shows data
in rows and columns and used to perform a wide variety of
simple to complex calculations.

Definition of spreadsheets software

A computer program that allows the user to enter text and
numbers into a table with rows and columns, and then
maintain and manipulate those numbers using the table
structure.

10
Spreadsheets

 A spreadsheet is a rectangular table (or grid) of

information, often financial information.
 The word came from "spread" in its sense of a
newspaper or magazine item (text and/or
graphics) that covers two facing pages,
extending across the center fold and treating the
two pages as one large one.
Spreadsheets

 The compound word "spread-sheet" came to

mean the format used to present bookkeeping
ledgers—with columns for categories of
expenditures across the top, invoices listed
down the left margin, and the amount of each
payment in the cell where its row and column
intersect—which were traditionally a "spread“
across facing pages of a bound ledger (book for
keeping accounting records).
Spreadsheets

Spreadsheet- Microsoft Excel

 Microsoft Excel is a spreadsheet application
that allows you to easily track, manage, perform
calculations on, and Analyze almost any type of
data.
 You can enter the data yourself or you can
import it from another source. In Addition, you
can use the data that you store in a spreadsheet
to make customized graphical charts for
Presentations that can be placed on the web or
printed for distribution.
Spreadsheets

Spreadsheet- Microsoft Excel

 Excel consists of a grid with rows and columns
that make it easy to keep your information
organized.
 Once you have entered information into the
cells of your spreadsheet, you can format the
data in any way that you wish.
Spreadsheets

Spreadsheet- Microsoft Excel

 Excel allows you to apply formulas to adjacent
cells so that you can add, subtract, multiply and
divide numbers.
 Excel also provides you with easy-to-use built-
in functions that perform even more complex
calculations from averaging to time
calculations.
Spreadsheets

Features and capabilities of spreadsheets

1. Calculations and comparisons
2. Automatic recalculations
3. Copying of cells
4. Lining up information in columns
5. Creation of graphs that correspond to data
6. Creation of custom functions

16
Spreadsheets

Advantages of using spreadsheets

1. Saving time
calculate quickly, recalculate easily, update data faster…
2. Creating charts
create different types of chars, chart wizard, chart prosperities…
3. Answering “what if” questions (problem-solving)
visualize the impact of changes, recalculate changes, transform data…
4. Motivation
play with numbers, immediate feedback, explore the relationship
between inputs and outputs…

Presentation Software-
 Presentation software is a special type of
graphic which is used to exploit effects of
movie
 MS- PowerPoint is a presentation software
which helps to create eye catching slides
 Help in bring out printed handout

Presentation Software- PowerPoint view

 Microsoft PowerPoint has three main views:
normal,slide sorter, slide show view
o Normal views : this view has three working
areas on the left ,tabs that alternate between
an outline of slide test and slide displayed as
thumb nails. On the right ,the slide pane,
which displays a large view of the current
slide and on the bottom , the notes pane

Presentation Software- PowerPoint view

o Slide Sorter View : is an exclusive view of
your slides in thumbnail
 Make it easy to recorder ,add or delete
slides and preview your transition and
animation effects
o Slide Show View: takes up the full computer
screen, a complete presentation is displayed
with graphics ,timings ,movies, animated
elements

CREATING PRESENTATION

 Involves starting with a basic design; adding new

slides and content ; choosing layout etc
 Blank Presentation: In this case, slide starts with
minimal design and no colour.
 Existing Presentation: New Presentation is
prepared on already written and designed one.

CREATING PRESENTATION

 Design Template: Presentation is made based on a

Power Point template that already has a design
concept, fonts, and colour scheme.
 Other Sources: Slides content from the other
source of presentation or text(e.g. MS –Word) can
also be inserted
