SWIFT Update August 25, 2022

2022 Year End Update

A successful Fiscal Year 2022 hard close was implemented last weekend.This accomplishment is due to agency staff working hard to meet deadlines and resolve issues.Thanks to everyone for making the FY2022 close a great success!


EProcurement Module Upgrade this Weekend

When you sign into the EProcurement module on Monday morning, August 29, you’ll notice an upgraded system. Due to the upgrade, SWIFT will be unavailable Sunday, August 28, at 6:00 a.m. until 2:00 p.m.

Quick Reference Guides and SWIFT Help in the EProcurement Module

One of the changes is how to access the quick reference guides (QRG) and the SWIFT Help Desk information. There are two different ways to get this information depending on where you are in the EProcurement module.

1. Use the Actions icon from the global menu in the Requisition Defaults or Manage Requisitions pages.

When you are inside of the Requisition Defaults or Manage Requisitions page, the global header is different from other modules.

  • The global header contains the same options as other module pages, but the SWIFT Help Desk and QRGs are accessed in the Actions menu. The Actions icon has three dots.
  • Once you select the Actions icon, SWIFT brings you to the Actions menu with three new options at the top of the list.

Accessing the quick reference guides from the Actions icon

  • eProcurement Homepage. The eProcurement Homepage serves as navigation to the EProcurement page with the tiles.
  • Create Requisition/Manage Requisitions: If you are in the Create Requisitions page, this option brings you to the Manage Requisitions page. If you are in the Manage Requisitions page, this option brings you to the Create Requisition page.
  • eProcurement QRGs: This option brings you to the eProcurement QRGs page in a separate window. It defaults to the SWIFT Help Desk page.
    • On the left menu of the SWIFT Help Desk page, open the Requisitions section to see the QRGs for EProcurement.
    • Use the Procurement Guides section to find reference guides across procurement modules such as Category Codes.
    • When you are done, close the EProcurement QRGs window from your browser. Use the X icon in the browser tab.

Use the Need Help? button when you are in the Requisitions Workcenter.

If you are in the Requisitions Workcenter, you’ll find the Need Help? button on the top right of the page.

Quick reference guides from the WorkCenter

IMPORTANT! Follow the steps from the updated EProcurement/Requisitions quick reference guides to process requisitions. The updated QRGs will be available on August 29, inside of the module and on SWIFT’s Training & Support webpages.

Supplier Support

Effective immediately, suppliers wishing to change their banking information will need to contact MMB to request a form. At this time, we are not able to accept bank changes on the Supplier Portal. Bank Change form requests should be emailed to [email protected]. Please direct suppliers to this email to request the form. Once we have received the completed form, we will review and process the change. A letter will be mailed to the supplier’s address on file to confirm the bank change is complete.

SWIFT Help Desk is Looking for Team Lead

Minnesota Management and Budget (MMB) is hiring a SWIFT Help Desk Lead for the SWIFT System Support team.

The Help Desk Unit is responsible for providing the initial level of support via phone or email to agencies on any questions they may have regarding the SWIFT, data warehouse, or budget system applications. The help desk also responds to inquiries on the Human Capital Management systems: Self Service, SEMA4 and Enterprise Learning Management (ELM). As a lead, you will provide a higher level of support to agencies, assist the supervisor of the team in scheduling, reporting, and training the help desk staff to ensure the highest level of team performance, and take lead on enterprise system communications and testing.

SWIFT and EPM Data Warehouse Training

The SWIFT Training team offers online training through webinars, training guides, video tutorials, eLearning, and one-on-one sessions.

  • Webinars/Labs: Enroll in online training for SWIFT and the EPM Data Warehouse on Enterprise Learning Management (ELM). See Upcoming SWIFT Training below. Webinars and labs run for 60 to 120 minutes. They include live demos of SWIFT and EPM Data Warehouse processes. SWIFT training options are webinars. Some of the EPM training are labs so that you can follow along and create and save your own reports or My Dashboard.
  • SWIFT Training Guides and Video Tutorials: Find quick reference guides and a user guide on our Training Guides page and video tutorials on our Training Videos page.
  • EPM Data Warehouse Training: Locate quick reference guides on our EPM Warehouse Training page. Topics include the most common EPM Data Warehouse processes and SWIFT reports.
  • eLearning: Complete self-paced training in ELM. After learning the material at your own pace and passing the quiz, you can request a Certificate of Completion.
  • One-On-One Sessions: Still feeling stuck? Request a one-on-one training session by emailing us at [email protected].

Upcoming SWIFT Training

To enroll in a SWIFT training, sign in to Self Service or the Administrative Portal and select the Learning Management tile.

  1. On the Find Learning tile, enter “SWIFT” in the search field, and press the Search button.
  2. From the Search Results, select the webinar you would like to take.
  3. Press the Enroll button, and check your email later for an invitation with instructions on how to attend the webinar.
